How to Start Outsourcing in Your Photography Business w/ Jill Gum22 Aug 202200:45:02

If you have been doing every single thing in your photography business by yourself and wondering why you are exhausted, this episode is your wake-up call. I sat down with Jill Gum of Jill Gum Photography & Education, and we are spilling the tea on outsourcing: when you are actually ready, what to hand off first, and the systems you need before you bring someone new into your business.

Jill is a wedding, brand, and family photographer in central Illinois, a former high school choir teacher, and a mom of three. She has been outsourcing in her photography business for over six years, and her virtual assistant now handles about half of her weekly work hours. She also teaches other photographers how to build successful businesses through her education platform.

What you'll hear in this episode
  • Why waiting until you are "ready" to outsource is actually the worst plan
  • The two-week tracking exercise that shows you exactly what to hand off
  • How Jill started outsourcing with just two tiny tasks (and why that was the move)
  • Why your systems have to be buttoned up before a VA can help you
  • The difference between a contractor and an employee (and why it matters for your taxes)
  • How to build a 90-day VA budget using $25 from each session
  • The communication rhythm that keeps your VA relationship strong
  • Which tools you actually need: Google Drive, Trello, password managers, and your CRM
  • How to handle mistakes without spiraling (because they will happen)

A Systems Pro Breaks Down Dubsado and ClickUp Together04 Jul 202200:33:20

If you have ever felt like your CRM handles half the job and the rest of your client workflow lives on sticky notes and random Google Docs, this episode is going to hit different. I'm sitting down with Abby Martinez, OBM and VA agency owner, to talk about how to connect Dubsado and ClickUp so your client experience runs on a real system instead of scattered memory.

Abby is the founder of Abby Martinez & Co, an OBM and VA agency that helps women bring their business vision to life through behind-the-scenes systems and support. She switched from HoneyBook to Dubsado and pairs it with ClickUp for her agency's project management. She is spilling the tea on exactly how she sets up automations between the two platforms and why having both a CRM and a project management tool is non-negotiable.

What you'll hear in this episode
  • Why a CRM and a project management tool are two different things (and why you need both)
  • The real difference between Dubsado and ClickUp and where each tool shines
  • How to use Zapier to trigger automations between Dubsado and ClickUp when a contract is signed
  • The three-phase client workflow: inquiry in Dubsado, project execution in ClickUp, and offboarding back in Dubsado
  • How to build SOP templates in ClickUp so you never reinvent the wheel for a new booking
  • ClickUp's built-in forms and how to use them for client feedback, applications, and customer support
  • A practical "start with one service" approach, so you do not burn out trying to set up everything at once

Your Client Experience Is Costing You Referrals (Here's How to Fix It)27 Jun 202200:20:13

Your portfolio could be stunning, your editing could be a chef's kiss, and you could still be quietly losing referrals and repeat bookings. Why? Because your client experience has gaps you haven't mapped out yet. In this episode, I'm breaking down the four phases of a strong client experience for family photographers and showing you exactly where Dubsado fits into your workflow so nothing falls through the cracks.

This is a solo episode where I walk you through the client experience framework I use in my own family photography business, including the specific automations I've built inside Dubsado and the small, personal touches that keep families coming back year after year.

What you'll hear in this episode
  • Why your client experience is doing just as much work as your portfolio (even if you haven't thought about it that way)
  • The four phases every client moves through when they work with you: inquiry, booking, session, and offboarding
  • How to map out your entire client process on paper before you even open Dubsado
  • The specific automations I use inside Dubsado that save me time without making things feel cold or robotic
  • Why automation actually protects the personal touch instead of replacing it
  • The $5 surprise-and-delight move I do for every newborn client
  • How to decide which steps get automated and which ones stay manual
  • The feedback loop that helps you refine your client experience over time

CRM for Family Photographers: Why I LOVE Using Dubsado29 May 202200:23:45

Are you running your family photography business on sticky notes and scattered Google Docs? In this episode, I am spilling the tea on why a CRM matters for family photographers and sharing my top four reasons I chose Dubsado as my all-in-one business management tool. Spoiler: one of those reasons involves my toddler, a wall of sticky notes, and a toilet.

I walk you through what a CRM is, how it keeps your contracts, invoices, workflows, and forms under one digital roof, and why you need one if you want a consistent client experience (instead of the "I hope I remember to send that questionnaire" approach).

What you'll hear in this episode
  • What a CRM is and why family photographers need one
  • The sticky note disaster that convinced me to get serious about systems
  • How Dubsado keeps all my services, contracts, and forms organized in one place
  • Why building workflows inside your CRM gives you back brain space and consistency
  • What makes Dubsado's customer support stand out (hint: they send GIFs)
  • How Dubsado's customization options let you brand your entire client experience

4 Reasons Family Photographers Need Contracts23 May 202200:20:24

Let's talk about the one system that protects your photography business, your client relationships, and your sanity: contracts. If you have been running sessions without a signed contract, this episode is your sign to change that today. I am breaking down four reasons why contracts are non-negotiable for family photographers, plus a bonus tip on automating your entire contract process with a CRM.

This is a solo episode where I am walking you through exactly why I send a contract before every single session in my photography business, including complimentary ones. Whether you are in year two or year five of your business, contracts are one of those foundational systems that change everything about how clients perceive you and how protected you actually are.

What you'll hear in this episode
  • Why contracts serve as a written record of commitments for both you and your client (and why verbal agreements are not enough)
  • The real reason I still send contracts for gifted and complimentary sessions
  • How having a contract in place shifted the way clients treated my business and how they responded to my professionalism
  • What your contract should spell out to prevent scope creep, especially during mini sessions
  • Why you do not need to hire a lawyer right away to get a contract in place (and where to get a solid template instead)
  • How to automate contract delivery using a CRM like Dubsado so you never have to chase a signature again

How To Choose A Mastermind As A Creative Business Owner09 May 202200:34:19

Ever wondered what actually goes on behind the scenes of a well-run mastermind? In this episode, I'm sitting down with my former mastermind leader, Kat Schmoyer, to break down what a mastermind really is, how it differs from group coaching, and the exact systems and workflows Kat uses to make her mastermind sustainable. Whether you're thinking about joining one or creating your own, this conversation will help you figure out what to look for (and what red flags to avoid).

What you'll hear in this episode
  • The real difference between a mastermind and a group coaching program (and why it matters before you invest)
  • How Kat used Trello to build a repeatable workflow for onboarding and managing mastermind members
  • Why she started with a three-month program first before committing to six months

How to Grow Your Email List with a Quiz w/ Linda Sidhu21 Mar 202200:31:10

You keep hearing "grow your email list" but your PDF freebie is sitting there collecting digital dust while your subscriber count barely moves. What if there was a lead magnet that converted at 70%? In this episode, I'm sitting down with quiz expert Linda Sidhu to break down exactly why personality quizzes outperform every other type of lead magnet and how you can create one for your own business.

Linda Sidhu is a list-building expert and strategic partner with Interact (the quiz platform) who helps entrepreneurs create personality quizzes that bring in hundreds of new subscribers on autopilot. Her framework converts views into leads at 70%, and she has helped business owners grow their email lists by the thousands through six-figure course launches.

What you'll hear in this episode
  • Why Linda's pharmaceutical sales background led her straight to personality quizzes (and what DISC has to do with it)
  • The conversion rate stat that made Interact reach out to Linda personally
  • How quiz leads come in warmer and more qualified than typical freebie subscribers
  • The #1 mistake people make when building a quiz (hint: they start with the wrong step)
  • Why skipping your welcome email sequence wastes all that quiz momentum
  • The "if I build it, they will come" trap and how to actually promote your quiz
  • How to research your ideal client before you write a single quiz question
  • Why you do not need a validated offer or years of experience to create your first quiz

How To Create Passive Income As A Creative Business Owner W/ Megan Martin07 Feb 202200:39:57

Can a family photographer really build passive income without burning out or over-promising? In this episode of the Systems and Workflow Magic Podcast, I sat down with Megan Martin of Jeremy and Megan to talk about how she built a successful digital membership from scratch, why she starts with the bare minimum instead of a 47-point launch plan, and how knowing your personality type changes everything about the way you set up systems in your business.

Note: This episode was originally recorded in 2022. Some specific offers mentioned by Megan (including the Passive Bundle) may no longer be available, but the strategies and lessons shared are timeless and still apply to building passive income today.

Megan Martin is a 10-year entrepreneur, Showit website template designer, and digital product educator who runs the Digital Lab All Access membership alongside her husband Jeremy. She has spent the last several years teaching creative business owners how to create, market, and scale digital products on their own terms.

The 5 P's of an Aligned Photography Business w/ Annemie Tonken03 Jun 202400:50:19

If your photography business feels like a water bottle with a crooked lid, something is out of alignment, and your clients can feel it too. In this episode, I'm sitting down with photographer and educator Annemie Tonken to break down the five components of business alignment (she calls them the 5 P's) that determine whether your business is profitable, sustainable, and one you actually love running.

Annemie has been a professional photographer since 2010 and is now a respected educator and the host of This Can't Be That Hard, a top-rated weekly business podcast for photographers. She's also the creator of the Simple Sales System, used by thousands of photographers worldwide.

What you'll hear in this episode
  • Why "alignment" is not woo, and how to define it with a practical framework
  • The bottle cap metaphor that explains why clients ghost you (this one hit hard)
  • How your preferences should be the foundation of every business decision you make
  • The difference between preferences and parameters, and why you need both
  • Where your business falls on the spectrum from drive-through to fine dining (and why both models work)
  • Why pricing your services is not the same as pricing yourself
  • How your policies send signals about your brand before clients ever book
  • When and how often to audit your business for misalignment

Have you been dreaming about starting a podcast but feel stuck on... well, everything that happens after you hit record? In this episode, I'm sitting down with my own podcast producer, Haylee Gaffin of Gaffin Creative, to break down five systems and workflow steps you need for podcast production.

Haylee is a podcast producer and strategist based in Chattanooga, Tennessee, who helps creative entrepreneurs launch and grow podcasts that support their business. She is also the host of the Clocking In with Haylee Gaffin podcast and a photographer with nearly a decade of experience behind the camera.

What you'll hear in this episode
  • Why the "best" project management tool is the one you will actually use (and how Haylee adapted her Asana system to Trello just for me)
  • How to build podcast episode templates so you never start from scratch
  • The case for batching your podcast content and why half of Haylee's clients are scheduled months in advance
  • A real talk moment about podcast monetization and why most solo business owners should not expect direct revenue right away
  • When and how to outsource parts of your podcast workflow without losing your mind (from a fellow control freak)
  • Why knowing your podcast goal before you launch will save you from burnout and directionless content

How I Batch 30 Days of Content in One Week As A Photographer20 Dec 202100:27:32

*This is the original podcast, which aired in 2021, but I have since updated the content that goes with it in the blog post + notes below ⬇️*

If you've ever felt like content creation eats up your entire month, I want to show you a different way. In this episode, I'm walking you through my updated content batching system and showing you exactly how I batch 30 days of content in one week as a family photographer and systems educator. Whether you create YouTube videos, podcast episodes, and blogs like I do, or you only blog, there is a version of this system that can work for you. You can watch the full breakdown on YouTube or listen right here on the podcast.

I used to build my entire batching workflow around blogging alone. But over the past two years, I shifted to YouTube as my primary long-form content platform, and my whole system changed with it. In this episode, I'm sharing the real, behind-the-scenes look at how I record four YouTube videos, turn them into SEO blog posts and podcast episodes using AI tools trained to my brand voice, and then repurpose everything across Pinterest, Instagram, Google My Business, and email using what I call my PIGE system.

Why I Started The Systems and Workflow Magic Podcast13 Dec 202100:12:27

I started the Systems and Workflow Magic Podcast because I got tired of watching talented family photographers burn out on marketing they were making up as they went.

I am a Nashville family photographer and a mom of two young kids. My photography journey started in 2006, and for years I did what most of us do: I posted on Instagram when I remembered, sent an email when I felt inspired, and crossed my fingers that inquiries would keep coming in. Some months they did. Some months they didn't. And I had no idea why.

What changed was not a course on going viral or a hack for beating the algorithm. It was building systems. I started documenting my own workflows, mapping out my client experience, and creating a marketing plan I could follow week after week without reinventing the wheel every Monday morning. And something clicked. Not in a dramatic way. In a quiet, "oh, I actually know what I'm doing this week" way. In a "my clients keep telling me this was the smoothest experience they've ever had" way.

I realized I loved the backend of business just as much as the creative side. And I noticed that the photographers around me needed this too. Not more content ideas. Not another trending audio. A system. A rhythm. A plan.

That is what this podcast is about. I help family photographers think like the CMO of their own business and build a sustainable marketing cadence that works even when life is full, time is limited, and you have zero interest in dancing on camera.

Budgeting Tips For Small Business Owners From My Bookkeeper (Anamarie Knapp)29 Apr 202400:36:06

I finally brought my bookkeeper on the podcast, and she did not hold back. If you've been avoiding your business finances, burying your head in the sand, or joking your way through money stress (guilty), this episode is your wake-up call wrapped in a warm hug.

Anamarie Knapp is the owner and CEO of Will & Abby Bookkeeping, a Nashville-based company that serves small, service-oriented, solo-owned businesses across the U.S. She has an MBA, QuickBooks certifications, and years of experience managing university-level budgets. She also happens to be one of my favorite photography clients turned financial right-hand. We sat down (on Tax Day, no less) to talk about budgeting, financial health, and why your numbers deserve the same attention you give your physical and mental health.

What you'll hear in this episode

-Why financial health is the missing piece most small business owners ignore

-The difference between reactive and proactive financial thinking (and why budgeting is a roadmap, not a report card)

-How to build a simple budget using two lists and zero fancy apps

-Why sitting down with your expenses is hard but necessary (especially as a solo business owner)

-How seasonal income swings can trick you into panicking

-And so much more!

How to Build a Blogging Workflow That Actually Works11 Mar 202400:40:44

If you know you should be blogging but the whole process feels like a tangled mess of brainstorming, writing, and wondering what to do next, this episode is going to be your new best friend. I sat down with Amy Reinecke and Jennifer Draper of Spark Media Concepts to talk about how to actually build a blogging workflow that fits your real life and real schedule.

Amy and Jennifer have over 16 years of combined blogging experience and run Spark Media Concepts, which helps women create blogs that support real business goals. They coach students through courses, memberships, and their own podcast, The Ultimate Blog Podcast.

What you'll hear in this episode
  • Why knowing your business "why" is the first (and most overlooked) step in building a blogging workflow
  • How to take a time inventory so you stop guessing where your hours go
  • The one thing that keeps creative business owners from documenting their process (and how to get past it)
  • Which project management tools work for blogging and how to pick the right one for your brain
  • How much time you actually need to blog consistently (the answer might surprise you)
  • A realistic take on how long it takes for blogging to drive real traffic to your website
  • The AI and blogging conversation: where the line is between helpful tool and content crutch
  • Why consistency will always beat volume when it comes to long-form content
