Hi and welcome to the Techcess podcast. I'm Mark Riddell and in this episode I'm talking to you about the number one problem I can guarantee your business is suffering with its cyber security!

The problem with weak passwords

I take no pleasure with sharing troubling statistics, but I do feel it's necessary when it comes to hosting a podcast educating people about the dangers their business faces when they're not on top of their cyber security!

I can pretty much guarantee your employees are using easily guessed passwords and writing down those passwords on sticky notes.

Another common practice in most businesses is reusing passwords across personal and work accounts. And this poses a grave security risk.

I'm here to tell you about the consequences of insecure passwords, from costly data breaches to account takeovers and insider threats.

Solving the Problem

My goal with this Techcess podcast episode is to suggest two primary solutions for businesses to address the issue of weak passwords.

Firstly, implementing strong password policies and providing end-user security training can create awareness and enforce good password practices.

However, policies alone are not enough.

Your businesses needs to provide employees with tools and technology to simplify password management.

And that's where we come in, with this episode.

What you'll learn from listening to this episode of Techcess

  • Employees writing down passwords on sticky notes and using weak and easily guessed passwords
  • Statistics demonstrating the extent of the problem, such as storing credentials on personal devices and reusing passwords
  • Risks associated with breach passwords, including data breaches and cybercrime
  • Getting the basics of cybersecurity right
  • Policies and end user security training on creating strong passwords
  • Limitations of policies alone and the importance of providing better tools
  • The drawbacks of using web browsers as password managers and the need for a decent business password manager - with our recommendation!

Email CC vs BCC and the impact each has on your business operations11 Oct 202300:24:06
The Importance of Knowing the Difference: CC vs. BCC in Email Communication

In this episode, we're covering a topic that many people overlook but is critical for email security: understanding the difference between CC and BCC.

It's astonishing that in 2023, email remains a common target for cyberattacks and data breaches.

We'll explore the reasons behind this and share guidance from the Information Commissioner's office (ICO) on how to send bulk communications safely.

We'll also discuss a real-life case of a data breach caused by misuse of the CC field, highlighting the potential consequences of getting it wrong.

If you're new, welcome to Techcess, the show that helps you get the right technology and cybersecurity in place to enable your business to thrive.

I'm Mark Riddell, host of the Techcess podcast.

In this episode I want to explain the importance of understanding the difference between CC (carbon copy) and BCC (blind carbon copy) in email communications.

Despite the technological advancements of the modern era, email remains a widely used and vulnerable platform for cyberattacks.

Data breaches often result from improper use of CC, posing significant risks to businesses and individuals alike.

The Information Commissioner's Office (ICO) has published guidance on this issue, emphasising the need for organizations to adopt appropriate security measures when sending bulk emails.

The Consequences of Misusing CC

The ICO has observed a disturbing trend of data breaches caused by incorrect usage of CC.

These breaches have the potential to cause real harm, especially when sensitive personal information is involved.

NHS Highland, an NHS organization, was reprimanded after inadvertently exposing the email addresses of individuals accessing HIV services due to a CC error.

The ICO's response highlights the severity of such breaches, as this incident could have resulted in a significant fine if it had occurred in the private sector.

Protecting Personal Information

Even if an email does not contain sensitive content, the mere knowledge of who received the email can inadvertently disclose confidential information.

It is crucial for organisations to assess and implement appropriate technical and organisational security measures when sending bulk emails.

Training staff on security protocols is also essential to reduce the risk of data breaches. Considering alternative secure methods, such as bulk email services or mail merge, can help prevent accidental disclosure of personal information.

Getting your head around those hr obligations in this new remote tech world

As businesses increasingly adopt remote working arrangements and rely on technology for seamless operations, it's crucial to understand the HR obligations that come with this shift.

HR consultant Sandie Holmes joins Mark Riddell to shed light on the essential considerations when employing staff who work from home.

The discussion covers the importance of equipping remote workers with the necessary tools and supplies.

Sandie stresses the need to provide appropriate desks, chairs, monitors, and other office essentials to promote productivity and prevent physical discomfort or injuries.

The Big Switch Off: How It Will Impact Your Business and What You Need to Do27 Sep 202300:20:57
The new 'Y2K' for businesses is coming. Are you prepared for it?

Hi, this is Mark Riddell, host of the Techcess podcast.

In this week's episode, we'll be discussing a significant event that will impact businesses across the UK – the big switch off of the public switch Telephone Network (PSTN).

I'll be breaking down what this switch off means for your business and why it's essential to be prepared for it.

From the migration to VoIP telephony to the potential impact on fax machines, security cameras, and more, we'll explore all the key aspects to ensure a smooth transition to a fully digital future.

The big switch off - an impending change for uk businesses

The UK's public switch Telephone Network (PSTN) is set to be switched off in December 2025, signaling a significant change for businesses across the country. I'm sharing the implications and impact of the switch off, urging businesses to be prepared for the transition.

The analog PSTN has served businesses well over the years, but it is unable to keep up with the demands of modern communication.

Therefore, the move towards a fully digital future is underway, where everything will run over the internet.

This shift will not only affect phone systems but also other devices such as fax machines, security cameras, door entry systems, and EPOS machines.

planning the migration from analogue to digital

Businesses need to plan for migrating away from analog lines and embracing more modern and up-to-date technology, such as VoIP Telephony.

I recently changed my home broadband circuit from a traditional analogue line to a digital line using a technology system called SOGEA, which is solely for broadband.

This transition allows for cost savings and simplification.

Make a list so nothing gets missed!

To successfully navigate the switch off, businesses are advised to create a list of all the analog-dependent devices within their operations.

Neglecting to identify and transition these systems could lead to disruptions, such as non-functional alarm systems or inaccessible CCTV cameras.

It's often the overlooked components that cause the most problems.

Although the switch off poses challenges, it also presents opportunities for businesses.

Traditional phone lines may be fading, but they will be replaced by better alternatives.

Many businesses are already utilising VoIP phone systems, which offer additional features and improvements over traditional analog systems.

Embracing these new technologies can enhance efficiency and productivity for businesses in the long run.

The UK's top 5 industries targeted by cyber criminals. The first one's a shock!20 Sep 202300:21:13
We're revealing the top 5 industries our 'delightful' cyber criminals love to target!

Hi, this is Mark Riddell, host of the Techcess podcast.

We talk about cyber criminals and cyber security on this podcast a lot. But in this episode we're actually going to list the industries most valuable to attack. If you work in any of them, you'll need to send the episode to your boss to listen to, asap!

As I recently spoke at a Cyber Lunch and Learn event, a question caught my attention: Do cybercriminals target all businesses equally? The answer is no, and in this episode, we'll explore the industries most vulnerable to cybercrime.

However, there's one industry on the list that may not apply to our listeners, yet it's still a shocker given the level of expertise and the value of the data within that industry!

But before we dig into the details, let's start with a quick introduction.

Despite warnings, cyber security still a massive threat to UK businesses!

Cybersecurity is a subject we've covered extensively on this podcast, and for good reason - it's the number one threat facing businesses today.

In the midst of a global digital transformation, where technology is advancing and businesses are moving towards the cloud, AI, blockchain, and Web 3.0, the possibilities seem limitless.

However, with these advancements come vulnerabilities, and cybercrime is on the rise year after year.

In fact, the pandemic and the shift to remote work have only accelerated cyberattacks.

In fact, the threat of cyber attacks has increased!

With employees working from home or public spaces, securing an IT estate has become more complex than ever. Unfortunately, cybersecurity remains an underinvested area for many businesses—most don't even have a dedicated cybersecurity budget.

This podcast aims to shed light on this critical issue and encourage businesses to take proactive measures.

Now, it's important to note that cyber criminals don't target only big tech giants and government agencies. Small and medium-sized businesses are equally at risk and often fall victim to cyberattacks.

The consequences are not limited to immediate financial loss but can also entail long-term damage to a company's brand, loss of customer trust, potential legal costs, and the high expenses associated with recovery.

the stats and facts

In this episode I'll be revealing the percentage of cyber attacks that target small businesses, and how many of those businesses that suffer an attack go out of business within six months.

The impact may not be immediate, but the implications on cash flow, sales, and customer loyalty can deal a devastating blow.

You'll definitely want to listen in as we get into the top five industries most affected by cybercrime in the UK.

Whether you're in these industries or not, this episode will provide valuable insights to help you safeguard your business.

What you'll learn from listening to this episode of Techcess
  • Does cybercrime affect all industries equally?
  • The significance of cyber security in all businesses.
  • The impact of global digital transformation and technological advancements.
  • The double-edged sword of technology, with limitless possibilities and vulnerabilities.

Small or medium sized business owner? Oh boy do cyber criminals love you!

Hi, this is Mark Riddell, host of the Techcess podcast.

The danger your business faces if you're under investing in tech!06 Sep 202300:18:33
Is your business investing in technology for operations? No? Oh dear. You need to listen!

You know me as Mark Riddell, host of the Techcess podcast.

But my job is being Managing Director of an IT support company named m3 Networks which is offering a range of managed services.

And a large part of that day job is fielding objections from people who think we're just scaremongering them into buying stuff.

But we don't need to use those kinds of underhand tactics.

We're a healthy, thriving business, with a healthy bottom line, and we work with customers that we know appreciate and understand the importance of IT and technology for their smooth operations.

But there are some business owners and IT decision makers we just can't help because they think we're just trying to sell them new stuff.

So this episode is for you if you're one of the staff members of such an organisation, and you're getting increasingly frustrated with your boss's apparent unwillingness to invest in keeping things running well.

The frustrations of failing tech

We all know the frustration of waiting for a sluggish computer to load while deadlines loom.

The effects of slow technology are even more pronounced when trying to finish tasks before the weekend or a holiday.

I recently stumbled across an article that made some concerning points about the growing number of employees contemplating quitting their jobs due to frustrations with their inadequate technology that impedes their work.

Workers can easily assess whether their employers prioritise technology by its impact on job performance and overall satisfaction.

And they're now voting with their feet.

What you'll learn from listening to this episode of Techcess
  • Workers are quitting jobs due to poor technology
  • There's a connection between employee satisfaction and investment in technology
  • The trend is businesses are investing in higher-end tech for younger workforce
  • Some actual statistics on workers leaving jobs due to inadequate technology
  • How to approach the boss for technology upgrades
  • Key points to consider when requesting an upgrade

overcoming technology roadblocks

While upgrading technology may seem like a substantial financial investment for a lot of small and medium sized businesses, it actually offers numerous long-term benefits.

Waiting for prices to decrease or ideal circumstances may lead to missed opportunities and potential loss of valuable and even vital staff members.

The point of this episode is to empower the employees who desire more efficient tools for their work so they can approach their employers, highlighting the key advantages an upgrade would bring.

You can listen to the episode to hear them in detail, but these include increased productivity and efficiency, potential cost savings, utilisation of newer and better software, improved morale and overall increased job satisfaction.

Not to mention the positive perceptions from clients!

Timestamped Summary:

00:00:00 Old, slow tech reduces workplace productivity. 00:04:10 Upgrade: Time-saving, efficient, and productivity boosting. 00:07:51 Poor customer service reflects poorly on business. 00:13:00 Upgrade tech to avoid inefficiencies and downtime. 00:15:32 Businesses benefit from investing in technology.

Understanding Web 3.0 and blockchain business use cases!30 Aug 202300:33:54
How blockchain and nfts could revolutionise small business technology!

If like me you're a little green around the topic of blockchain and Web3 (web 3.0) then this could be the episode for you!

As the host of this technology podcast "Techcess", I, Mark Riddell, am used to being an expert on the topics we're usually covering, such as cyber security, networking, MFA, and other business technology matters. But when it comes to this Web3 stuff, I'm still very much at the learning stage. So that's why I've invited a real expert on the topic to join us!

blockchain's back story

Blockchain has become a real 'buzzword' in recent years, and for good reason.

Major organisations are now harnessing its power to streamline internal processes and revolutionise supply chain management.

From tracking raw materials in the shipping industry to combatting counterfeit products in luxury goods, blockchain provides transparency, verification, and access to a secondary market.

Our guest Sean Delaney from Sens talks us through the importance of focusing on specific use cases rather than getting lost in the technical details of blockchain itself.

He explains how by identifying pain points and exploring industries like real estate, music, and digital identity, we can easily uncover the true value and potential applications of blockchain technology.

Throughout the episode, we discuss the future of blockchain technology, the challenges posed by regulation, and the importance of a strong Web3 community.

So whether you're curious about the impact of blockchain on your industry or simply want to stay ahead of the technological curve, this episode is not to be missed.

What you'll learn from listening to this episode of Techcess
  • Blockchain technology in big organizations and supply chain management
  • Traceability in industries like shipping
  • Authentication in luxury goods industry
  • Transparency and verification for buyers and sellers
  • Secondary market access
  • Researching specific industries for blockchain use cases
  • Future prediction of universal blockchain usage
  • Marketing opportunities with NFTs
  • Risks eliminated by NFTs
  • Ethereum and smart contracts
  • Public and private blockchains

The power of blockchain in business

One industry in which the advent of blockchain technology has unlocked unprecedented levels of transparency and efficiency in, is supply chain management.

By utilising blockchain, organisations can trace products from raw materials to end consumers, curbing inefficiencies and minimising wastage.

The implementation of blockchain in industries like shipping has proven immensely successful, reducing costs and enhancing trust by ensuring verifiable, tamper-proof records.

Also, the luxury goods industry, plagued by counterfeit products, has found a savior in blockchain technology.

Watch brands, diamond industries, and other luxury goods manufacturers are utilising blockchain for authentication purposes.

By leveraging the transparency and verification offered by blockchain, both buyers and sellers can confidently participate in the secondary market, deterring black market trade and ensuring the authenticity of products.

How can your own business harness The potential of blockchain?

That's a great question. And it's one that we can't answer for you!

But like Sean suggests, rather than getting caught up in the technical intricacies of blockchain itself, the episode...

The human/tech multitasking myth: how to improve focus and get things done23 Aug 202300:23:57
Focusing for success by breaking down big tasks!

In this episode of Techcess, we're talking tech hacks for those who struggle with productivity thanks to an unfocused mind.

We're directly addressing a common struggle that many of us face when it comes to maintaining focus.

As the host of Techcess, I, Mark Riddell, share my own personal challenges with focus and how it affects my productivity.

From trying to juggle multiple tasks at once to the allure of multitasking, we explore the science behind our brain's ability to focus on one thing at a time.

Additionally, we'll uncover different strategies, such as breaking tasks into smaller steps and using apps to help with that.

So, whether you're someone who loves tackling one task at a time or thrives on multitasking, this episode is sure to provide valuable insights and practical tips for sharpening your focus in our increasingly digital world.

What you'll learn from listening to this episode of Techcess

  • The struggle with focus
  • Trying to do too many things at once
  • Multitasking and its limitations
  • Time Division multiplexing
  • Different approaches to thinking while exercising
  • Frustration with incomplete tasks on to-do lists
  • Breaking tasks into smaller steps
  • Undiagnosed adult ADHD and the desire for achievement
  • The dopamine hit of ticking off tasks
  • The use of timers and the Pomodoro technique
  • Minimising distractions

the illusion of multitasking

Humans are not built to effectively handle multiple tasks simultaneously.

Drawing a parallel with computer processors, which employ time Division multiplexing to give the illusion of multitasking, I'll be explaining that our brains can only focus on one specific task at a time.

Attempting to do otherwise results in a lack of progress and a perpetually growing to-do list.

Tackling those to-do lists... effectively

One of the challenges mentioned is the ineffectiveness of traditional to-do lists.

While they serve as reminders, they often lack a sense of urgency and time constraints.

I'll be explaining how I use methods and tools for breaking down larger tasks into smaller, manageable steps, providing a greater sense of accomplishment with every ticked-off item.

Timestamped Summary:

[00:00:00] Struggle with focus, multitasking hampers productivity.

[00:04:54] Breaking tasks down into smaller steps helps.

[00:08:02] Physical exercise helps with focus and productivity.

[00:09:48] The two apps that help with focus, starting with Motion.

[00:13:59] Motion's extra special bonus calendar sharing feature.

The 5 biggest mistakes to avoid when implementing CRM (with a Zoho master!)16 Aug 202300:32:12
Beyond Free Trials: Choosing the Right CRM Software and Planning for the Future!

In this episode of Techcess, I'm joined by Zoho software expert Leigh Partin, from "Work Grow", who will talk us through how we can get our CRM systems nailed for business growth and success.

Psssst! Click this for your free 30 day trial of the Zoho One software, on Leigh!

Leigh's journey began when he left school at 16 without a clear direction.

He attempted college but it didn't work out.

At the age of 17, Leigh found himself working an IT job with the NHS before joining an IT outsource company called Bridge Partners.

Within two years, Leigh was promoted to Managing Director and learned how to grow a £3 million business with 27 employees.

He's now a consultant offering Zoho training to businesses who want to implement a streamlined CRM.

What you'll learn from listening to this episode of Techcess
  • The common mistakes made during CRM implementation
  • The problems with lacking clear objectives
  • Issues stemming from ignoring user needs and providing insufficient training
  • The importance of scalability in business apps
  • The consideration for long-term suitability
  • The dangers of choosing systems based on outdated factors
  • The importance of self-assessment and creating a shopping list
  • How to plan for scalability and evolving needs

CRM

In the latest episode of the Techcess podcast, I, Mark Riddell am joined by Leigh Partin, a Zoho expert, and we chat about the world of CRM software, highlighting the five biggest mistakes businesses often make when implementing such systems.

Our conversation starts with an exploration of Zoho, a brand known for its continuous product improvement.

We talk about Zoho's extensive range of apps and particularly Zoho Mail, which Leigh suggests is a genuine alternative to Microsoft's popular email client offering!

The evolution of software

We talk about the evolving methodology for project execution, emphasising Leigh's recent experience with a workshop that involved too many participants.

We discuss the need for clear objectives and engaging all stakeholders to avoid a few dominant voices overshadowing the conversation.

Common mistakes made during implementation

The episode also addresses common mistakes in CRM implementation.

Ignoring user needs and providing inadequate training are just a couple of identified critical errors.

We also chat through an exciting feature called "Blueprints" in Zoho's CRM, which helps reduce the need for extensive training while still requiring ongoing support.

Scalability

Scalability emerges as a crucial factor in choosing business apps and platforms. It's necessary for the planning for future growth. So we're here to shed light on the misconception that software scalability is unlimited, using Microsoft's enterprise licensing as an example.

The readiness of businesses to adapt their systems is analysed, and we're offering practical advice for selecting the right tools.

Why cyber security awareness training is so important for your business19 Jul 202300:11:58
Don't fall for cyber threats! get your teams properly trained!

In the world of business, where human error is the biggest cybersecurity risk, business owners must take action to protect their company.

Join me, Mark Riddell, as in this episode of Techcess as we uncover the shocking truth behind CEO Fraud and the devastating consequences of simple mistakes.

Will you and your business learn from the suggested vulnerabilities, or will you also fall victim to the ever-evolving tactics of cybercriminals?

Listen in to ensure you're properly armed with knowledge.

This episode features a free guide. You can download that here:

https://m3networks.co.uk/itguides/human-error-your-biggest-cyber-security-risk/

Understanding your cyber security baseline

Once you have established a clear understanding of your cyber security baseline, the next step involves identifying the risks that could threaten your business.

Risk evaluation is a targeted method to reveal vulnerabilities and prioritise actions that can minimise potential damage. So during the episode, I'm stressing the need for a thorough risk assessment to identify vulnerabilities across the organisation's network and digital assets.

With examples of how risk analysis guides the creation of tailored training programs, I'm offering insights into the strategic necessity of knowing the stakes before devising a plan of action.

Finally, remember that rules are only as good as their enforcement. Setting clear guidelines about safe online practices, incident reporting procedures, and consequences for non-compliance helps in fostering a security-centric culture.

Timestamped Summary:

00:00:00 - The Risk of Human Error in Cyber security Human error is the biggest cybersecurity risk for businesses, as demonstrated by a phishing scam that cost a company thousands of pounds.

00:02:18 - Establishing a Cyber security Baseline It is important for businesses to understand their employees' current awareness levels and identify security threats.

00:04:22 - Assessing Risks and Prioritising Actions After establishing a baseline, businesses should assess the most pressing risks they face.

00:05:33 - Creating a Tailored Training Plan Businesses should create a training plan that is tailored to different roles and responsibilities within the company.

00:07:45 - Managing Policies and Staying Updated Policies need to be managed and enforced to be effective.

Why SLAs are bullsh*t (but why we still need to talk about service level agreements anyway!)12 Jul 202300:11:02
the Truth Behind SLAs: Why They Matter in Choosing Your IT Partner!

Are service level agreements (SLAs) just a bunch of meaningless jargon or a crucial factor in selecting the right IT provider for your business?

In this episode of Techcess, I'm here to challenge common perceptions and reveal the untold truth about SLAs.

Brace yourself for a lightbulb moment that will shatter your preconceived notions and empower you with the knowledge to make informed decisions.

We’re getting into the world of SLAs and discovering why they hold the key to unlocking a reliable and trustworthy IT partnership.

Demystifying Service Level Agreements (SLAs)

Today, we're going to tackle a topic that often sparks confusion and raises eyebrows: Service Level Agreements, or as we affectionately call them, SLAs.

Now, you might have heard some misconceptions floating around about SLAs being all about the customers and their satisfaction.

Well, I, Mark Riddell, am here as the Director of one of the UK's top IT managed services providers (m3 Networks) to set the record straight.

In this episode of Techcess, I'll be your guide as we delve into the fascinating world of SLAs, unraveling their true purpose and shedding light on their pivotal role in choosing the perfect IT provider for your business.

So, grab a cup of coffee, sit back, and let's unravel the mystery together!

The Real Value of SLAs and Customer Experience

Let's talk about Service Level Agreements, or SLAs, shall we?

You see, while most customers rely on their personal experiences to gauge the quality of service they receive, there's a fascinating side to SLAs that often goes unnoticed.

These agreements aren't just about satisfying customers; they serve a greater purpose.

At m3 Networks, we understand the significance of SLAs and go the extra mile to provide top-notch IT support.

But I feel it's important to go behind the scenes and reveal why metrics alone can't always capture the true essence of exceptional service.

Choosing the Right IT Provider and Making SLAs Work for You

When it comes to selecting an IT provider, the Service Level Agreement, or SLA, is often the one aspect that gets overlooked!

Think of it as a safety net—an essential written agreement that protects both you and your chosen provider.

But here's the catch: not all IT companies have a proper SLA in place.

In this episode of Techcess, I'll shed light on the significance of SLAs and provide practical tips for business owners and IT decision-makers.

We'll explore how to evaluate potential IT providers based on their SLAs, including doing your due diligence, checking track records and testimonials, and even requesting sample SLAs.

Remember, it's not just about the technical expertise—it's about finding a trustworthy partner who values their commitments.

So, join me on this enlightening journey as we uncover the power of SLAs and discover the key to a successful IT partnership.

A cyber security masterclass! 15 expert tips for defending your business05 Jul 202300:25:40
Stay Ahead of Cyber Threats: 15 Expert Cybersecurity DefenCe Tips for SMBs

Hi! I'm Mark Riddell and I'm here with the Techcess podcast's 100th episode.

This week - a cyber security masterclass with expert tips. We're here to empower small and medium-sized business owners through an action-packed journey to defend their businesses against cyber threats, uncovering the surprising irony that prevention is cheaper than dealing with the aftermath of an attack.

Email Phishing Prevention

Email phishing! Sounds fishy and indeed is a typical bait-and-switch situation that the netizens often fall prey to. It's a clever cyberhack where the attacker disguises as a reliable entity to scam the recipient into providing confidential information.

Quite unsettling, isn't it?

The straightforward solution here is training the skill of recognising phishing attempts and a substantial part of what we do at m3 Networks.

I'm hoping my episode emphasises on this for you.

Reach out to me, Mark Riddell, on LinkedIn here if you want to discuss more.

Remember, awareness is the first step to prevention.

I'm bringing you up to date with some alarming statistics about the number of cyber breaches and compromises hailing from phishing, and I'm underscoring the need for training to spot such hackers.

The Importance of Security Assessments

So you might ask, why are security assessments integral to a business's cybersecurity measures? Think of this as a medical check-up but for your digital assets.

Similar to how a doctor identifies health issues and suggests relevant treatments during a regular check-up, a security assessment helps businesses pinpoint vulnerabilities in their cyber systems and provides solutions to strengthen those areas.

And we all know, prevention is always better (and more cost-effective) than a cure, right?

Now, coming from my experience, it's vital to not just carry out a solitary assessment at the start of your business, but to incorporate regular checks into your business workflow.

If the term 'security assessment' hasn't cropped up in your discussions with an IT provider, it might be high time to switch to a more aware one.

Because just like trends, cyber threats also evolve over time, and continual assessments help keep your business in pace with them.

Backup as an Essential Part of Cyber security

Why should backing up your work be a mandatory practice?

Just imagine, you're typing out a report, and suddenly your computer crashes. If you've been saving your work periodically, you'd still have most of it intact, right?

The same principle applies to businesses, but at a much larger scale, with much more at stake.

Many businesses still rely on pure luck, and two thumb drives, to back their sensitive information. In this episode I'm recommending a far safer strategy.

Timestamped summary of this episode:

00:01:04 - The Importance of Security Assessments A security assessment helps establish a baseline and identify vulnerabilities in your cybersecurity.

00:02:32 - Email Phishing Prevention 90% of breaches start with phishing attacks.

00:03:19 - Password Management Creating strong and unique passwords...

Managed IT services vs the 'break/fix' model - which is best for YOUR business?28 Jun 202300:15:14
Break/fix Solutions versus Proactive Managed IT Services

Hi, Mark Riddell, host of Techcess here! Are you tired of constantly dealing with IT issues in your business?

In this episode, I explore the difference between managed IT services and breakfix systems, revealing a shocking truth about the latter that will leave you questioning your current IT support approach.

Listen in now to find out more!

Managed IT Services vs. Breakfix

In the world of business technology support, there are two primary approaches: managed IT services and break/fix systems.

Managed IT services involve a dedicated IT provider taking on the responsibility for a company's technology needs, providing continuous and proactive support.

This all-in-one solution covers a broad range of services, such as endpoint security, data backup, and web content filtering.

On the other hand, break/fix systems rely on contacting an IT professional only when something goes wrong.

While this reactive method may be cheaper for smaller networks, it can lead to extended downtime and potential inefficiencies. In this episode I'm aiming for one key outcome for you; focusing on the differences between managed IT services and break/fix systems so you can make an informed decision on which is right for your specific business and challenges.

Scalability and Flexibility

Managed IT services provide businesses with the flexibility and scalability they need to maintain competitiveness in a rapidly changing market.

With managed IT support, a company can quickly adapt to changes in its infrastructure and requirements.

Consequently, managed IT support partners can proactively recommend and implement new strategies and technologies that enhance business performance.

Are you a business owner or office manager looking to leverage technology for a competitive advantage? You need to listen to this episode as I'll be talking you through how to do just that.

Cost Savings

In case you can't or won't listen, let's TL;dr it here.

One of the most appealing aspects of managed IT services for businesses is the potential for significant cost savings.

With managed IT services, the monthly fee covers a wide range of services, allowing companies to budget for their IT expenses more predictably.

This ensures that businesses can maintain a healthier bottom line while still keeping their technology up-to-date and secure.

In this episode, we'll delve into the cost-saving benefits of managed IT services.

Notes from Neal the producer on the takeaways you can expect to hear in this episode of Techcess:

·

  • Explore the differences between managed IT services and traditional break/fix systems in the context of business growth.
  • Appreciate the value of proactive support and comprehensive IT solutions with managed services.
  • Realise the importance of predictable monthly expenses in making sound financial decisions for your company.
  • Become aware of the potential downsides of breakfix systems, such as delays and unexpected costs.
  • Grasp the adjustable and scalable nature of managed IT services to match your business's changing...
Stop! And think! Before you act on that email..25 Jun 202300:01:23

How many times a day do you respond to an email without really thinking about its contents?

Maybe it’s a request for some information. Perhaps it’s asking you to pay an invoice. All mundane stuff. But no sooner than you’ve hit send, you’ve fallen victim to a Business Email Compromise (BEC) attack.

How to stop phishing hackers from preying on our human psychology!21 Jun 202300:19:29
Don't fall for urgency, greed, or trust scams! Here's how to stay safe online

In this episode of Techcess, we uncover the dark art of phishing and how attackers exploit human psychology to gain access to your sensitive information.

But what happens when one of your senior staff members falls prey to their tactics?

Find out now by pressing play on the episode!

Common Types of Phishing Scams

Phishing scams are becoming increasingly sophisticated, using a variety of tactics to deceive their victims. These schemes often involve impersonating legitimate organisations or entities, with the end goal of tricking individuals into disclosing sensitive information.

Some more common types of phishing attacks include email phishing, spear phishing, and smishing, which involve different methods of delivery and level of personalisation.

As technology continues to improve, so too do the methods used by cybercriminals, making it imperative for businesses and individuals to stay educated on the latest phishing techniques.

In this latest episode of the "Techcess" podcast, I'm sharing some of the scenarios where attackers gain access to Microsoft 365 mailboxes and exploit this information to steal money from businesses.

Practical Measures to Protect Against Phishing

Executing practical measures is vital in protecting businesses and individuals from phishing attacks.

Adopting a strong defense approach, such as implementing two-factor authentication or using a password manager, can provide an additional layer of security to mitigate potential threats.

Moreover, ensuring that employees are aware of phishing attack tactics and regularly updating software and operating systems can significantly reduce the risk of becoming a victim of phishing schemes.

If you follow me, Mark Riddell, on LinkedIn, you'll know I'm always saying how you don't know what you don't know. And in this episode, I'm suggesting lots of 'you don't knows' that you can start implementing.

Take robust email filters, anti-spam solutions, and multifactor authentication as methods to hinder phishing attacks, just to get us started! I'm also offering another piece of business saving advice on how you can ensure you're not falling for a scam!

Psychological Tactics Used by Phishers

Phishing attacks exploit the human psyche to elicit the desired response from their targets. Certain tactics are employed to manipulate individuals and prompt them to disclose sensitive information or perform a specific action.

For instance, the sense of urgency is created through messages that demand immediate action, while familiarity and trust are used when posing as someone the target knows.

I'll explain more about how they use that, and additionally greed and fear, when they're trying to motivate a victim to provide sensitive information or click a link.

"So once you receive an invoice from a supplier, say you're due to play a supplier 10,000 pounds. The attackers also received a copy of that invoice. And what they will do is within minutes or hours, they will reply back to your accounts person with a domain that they've registered. It's very similar to the domain that sent the original email. They've seen who sent it, so they'll impersonate that user. 00:03:28 They'll see the language and the tone that they use. If the emails come from someone called Robert and he signs his emails off as Bob, they'll do that too, to make sure...

They may be investing in new technologies without a clear strategy, resulting in wasted resources, time, and money. They may also encounter unexpected challenges and disruptions, such as cyber-attacks or system failures, that can harm their business.

By creating a technology roadmap, they can gain clarity, direction, and control over their business's future, leading to improved productivity, efficiency, and resiliency.

Here's what you're going to learn.

Avoiding Costly Mistakes

Investing in the wrong technology can lead to significant financial losses, wasted time, and resources, while also negatively impacting your business operations or your customers.

A technology roadmap helps you identify the potential risks associated with different technology options and enables you to prioritize investments based on the potential return on investment and value.

And focusing on the day to day stuff, things that can make improvements in efficiency, resiliency, all these things are not that interesting to talk about, but definitely are things that should be prioritized for all businesses. IT Troubleshooting beyond the 'IT Crowd method' 😁07 Jun 202300:12:37
Master the Art of IT Trouble-shooting: Simple Solutions for Common Problems

If you're feeling frustrated and helpless when your logical problem-solving isn't resolving the issue, then you are not alone! Despite trying various methods and techniques, you still end up with the same result and might even feel like giving up.

The Simple Trick - Turn it off and on again

Sometimes, the easiest solution to an IT problem is to simply restart the device. This basic step can often resolve minor issues quickly and efficiently. It's such a well-known IT industry fix that the comedy programme "The IT Crowd" parodied it almost every episode!

The process of rebooting forces the system to reset and discard any temporary data or background processes that might be causing the issue.

It might seem counterintuitive to resort to such a simple solution, but bear in mind that complexity isn't always the answer to a problem.

In this episode I'm (Mark Riddell, Managing Director of m3 Networks) pointing out that the tried-and-true method of restarting a device is often all you need to resolve a wide range of IT complications.

Considering that many IT professionals and users alike tend to overlook this step in favour of more advanced troubleshooting methods, it's a reminder that keeping things simple makes a difference.

This common-sense approach saves time and effort, making problem solving more efficient.

But, that said, assuming you've tried the reboot procedure...

Identifying the Problem

Once you've tried the easy solution, the next step in troubleshooting is to identify the exact issue you're dealing with.

Consider any error messages that the device might display, as these can provide valuable clues. Understanding where the problem lies narrows down potential solutions and ensures a more effective troubleshooting process.

It's so important to grasp the root of the problem before attempting any resolutions.

Look carefully at error messages, as well as any actions the user performed when the issue occurred. Taking the time to accurately pinpoint the underlying issue is crucial and makes the troubleshooting process more streamlined and successful.

Types of IT Problems

IT problems generally fall into three categories: hardware issues, software issues, and network issues. By recognising the type of issue you're encountering, you can deliver a targeted approach for resolving it. Remember that attempting to fix a problem yourself might not be the best option, as this can exacerbate the issue or make it harder for IT professionals to diagnose and solve. I like to pop all IT problems into these three groups, and there are different strategies that will be required for each type of issue.

Oh, by the way... be cautious about attempting to address the problem without professional assistance, as this could lead to more significant challenges. When in doubt, it's always best to seek help from IT experts.

In this episode, you will be able to:

  • Discover easy-to-follow strategies for resolving recurrent IT setbacks.
  • Hone your skills in recognizing and organizing standard IT concerns that affect operations.
  • Understand why comprehensive communication with IT support companies is crucial to achieving resolution.
  • Delve into the risks of attempting

Upgrade to VoIP before PSTN switch-off so you don't get left behind!24 May 202300:09:39
Do you want a phone system that won't break the bank and is dependable? Time to switch to VoIP. After all... you have to!

Do you feel like you're constantly throwing money at an outdated phone system that still drops calls?

Do you struggle with poor sound quality and inefficient call routing?

It's time to take action before the PSTN switch-off leaves you without a working phone line.

In this episode, we'll help you understand the criticality of transitioning to VoIP, how it provides superior sound quality and cost savings, and give you practical steps to prepare for the switch-off.

Say goodbye to frustration and hello to reliable communication.

Switch off of PSTN

The Public Switched Telephone Network (PSTN) has been a cornerstone of the UK's communication infrastructure for over a century.

However, with increasing demands for modern communication capabilities, the outdated system will be switched off in December 2025, as part of a nationwide initiative to transition towards a fully digital system.

Consequently, businesses currently using landlines or phone systems connected to the PSTN are urged to upgrade to Voice over Internet Protocol (VoIP) solutions before the deadline.

Furthermore, the switch-off will impact other devices that utilize analogue phone lines, such as EPOS machines and alarm systems, which will also need upgrading.

During the episode, I, Mark Riddell, will be emphasising the cruciality of preparing in advance for the upcoming switch-off by evaluating affected devices and planning necessary upgrades, such as internet phone systems and fibre connections.

I'll also elaborate on the background of PSTN, its role in UK communications and the eventual need for modern systems like VoIP as a replacement.

Benefits of VoIP

Voice over Internet Protocol (VoIP) technology offers a range of benefits over traditional landlines, which includes improved sound quality, better call routing, and significantly reduced costs.

One notable advantage is its flexibility, allowing users to make calls from anywhere across the globe, only requiring a stable internet connection.

This attribute helps support remote workers and employees who travel frequently.

Additionally, VoIP bypasses long-distance charges and other fees associated with PSTN calls, leading to considerable cost savings and increased affordability.

Lastly, the digital nature of VoIP equates to greater reliability, limiting instances of dropped and interrupted calls.

I'll also be highlighting the advantages of switching to VoIP, such as its enhanced flexibility, cost efficiency, and reliability, especially in contrast with...

Seriously! Don't rely solely on MFA!

I'm Mark Riddell, and in this episode of the Techcess podcast, I discussed the risks of relying solely on multi-factor authentication (MFA) for online security.

As a digital security specialist, I've seen how cybercriminals are constantly evolving their techniques and how relying only on MFA can create a false sense of security.

That's why I recommend adopting a multilayered approach to online security.

To enhance online security, I suggest using strong, unique passwords, staying vigilant against phishing attacks, keeping software and devices up to date, and enabling additional security features offered by online services.

Implementing security awareness training for team members can also help educate and raise awareness of potential cyber threats.

As a busy business owner or IT manager, it can be difficult to keep up with the latest cybersecurity threats and best practices.

That's why it's essential to work with a security-focused IT company that has your back.

By following my recommendations and adopting a multilayered security approach, you can ensure the security of your online accounts and data.

Dangers of relying solely on MFA

While MFA is a valuable and widely recommended security measure, it should not be the only line of defense for online accounts. Cyber criminals continue to evolve their tactics to bypass MFA, and a false sense of security can leave your accounts vulnerable to attack. Additionally, there is the risk of a single point of failure if access to the MFA token or device is lost or compromised. In the Techcess podcast, Mark Riddell outlines these risks and calls for caution when it comes to relying solely on MFA. He underscores the importance of adopting a multilayered security approach, which provides a more robust and comprehensive defense against potential threats.

How to protect online accounts In today's digital world, online accounts can contain a vast amount of personal, sensitive, and valuable information.

Ensuring the security of these accounts is of utmost importance for both individuals and business owners.

There are various measures that can be taken to safeguard online accounts, including the use of strong, unique passwords, enabling multi-factor authentication (MFA), and being cautious about the information shared online.

Regularly updating account recovery information and keeping a close eye on account activity can also help in detecting and preventing unauthorized access.
