  • Look at your past attendee data (if you've hosted an event in the past). 
  • Review your customer demographics (they are likely similar) if you don't have past attendee data.
  • Ask all the important questions on your registration form to ensure you have data for your next event.
  • Poll and survey your audience to gather data on what they want and love at events to help you curate the agenda and content.
  • Customize your marketing to the audience demographic. For example, if you have a new attendee and an alumni attendee, they could get different messages. Or if you have someone that attended a VIP in the past, their email can be different than someone that was general admission. 
  • Attendee demographics is critical to be able to get sponsor investments.

In this episode, I share tips on helping sponsors succeed at your event.

  • Booth traffic

    Tips: Plan activities and meals near the booths so there is a guaranteed audience in the area. Host a contest for attendees to visit booths to win prizes. Remind sponsors of the importance of being approachable and ready to engage so attendees feel comfortable coming to their booth. Ensure you set-up specific times on the agenda for attendees to visit sponsors so they are a priority.
  • Quality leads.

    Tips: This starts before a sponsor signs-up. Make sure you are clear and transparent on the demographics of your attendees and event so sponsors can make an informed decision if the attendees are a good fit for their product or service. Have a way to collect attendee contact information on a form or lead retrieval.
  • Did they have the opportunity to engage with attendees outside of the booth.

    Tips: Include passes to the event in the sponsor package so sponsors can be part of all aspects of the event. Include benefits like speaking opportunities, networking events, help coordinate meetings with key attendees.

I just attended an incredible retreat for Powerhouse Women last weekend and I am SO inspired by the power of live connection and retreat experiences to create major transformation.

Here are 10 tips for hosting retreats.

1. The attendee connection and support is everything. Really look at who is being invited to the program or retreat to make sure the dynamic will be positive.

2. Pick a location has the vibe you want, is photo worthy and has the space you need for sleeping, eating and meeting. Don’t forget to check parking and noise restrictions

3. If you can afford it, hire a photographer and videographer to capture the experience.

4. If you don’t have an event planner, ask someone you know to come and help me BTS helping organize, set-up, also take photos/video and just be your helper so you can focus on the people there.

5. Create an agenda that allows for group discussions, breaks, free time, reflection. One thing I loved with the Powerhouse Women retreat is having the mornings open to go on walks together, talk, work out, have breakfast.

6. Bring food into the experience and have a chef that creates beautiful dishes that are weaved into the already inspiring environment.

7. Add in surprises like special guest to speak, goodie bags, branded items, a notebook is a must. Love the idea of doing something small each morning.

8. Add in experiences outside of the sessions like fitness, sound healing or other things that create connection and fun. You can even survey attendees in advance to see what some of their favorite activities are.

9. Make sure the sleeping arrangements are very clear.

10. Have a container to connect after the event to keep the conversation and experience going. Like a Voxer group, FB group, song playlist. Also, do a survey and request testimonials.

73. Behind the scenes - tips to keep your event running smoothly27 Oct 202100:08:36

I have been on-site for hundreds of events and there are many plans you can put in place to create a smooth on-site experience for not only the attendees, but your internal team, vendors and venue staff!

1. Establish a go-to communication plan with your event team and vendors. You need to be able to reach people instantly and communicate as a group with various people. For example, set-up a group for Production, a group for video and photo and a group for event staff. You can do group texts, Whats app, Slack or others methods. Make sure you set this up before you go on-site.

2. Always be in touch with your registration team so you know the attendee check-in numbers and the experience that is occuring. This will help if attendee numbers are low and you may want to pull chairs so the room still looks full or if there is an attendee with a challenge at registration you can address it quickly so they do not have to wait.

3. Make sure you have a welcoming team in the meeting room or ballroom to assist attendees with seating or any questions they might have.

4. Think of your sponsors, vendors, and venue staff as an extension of your team. Before your event, it’s important that you provide them with one central point of contact so they can easily communicate with your team on-site. VIP speakers or talent should have their own person assigned to make sure they feel like they have someone available for them when they need it.

5. Set up signage so it is clear to attendees where things are located and as an added bonus, human directionals to help attendees personally find their location. Many events also have info desks to help support attendee needs.

6. Depending on your event and budget, having a mobile app on-site is a great way to keep continuous communication with your attendees or you can do daily emails to wrap up the day and set the tone for the following day.

7. This a pre-event item, but also flows into on-site. Always make sure to ask attendees for their dietary requirements when they register so you can ensure to have special meals available for them, if needed. Also, ensure food stations and buffets are labeled in detail so it is easy for attendees to figure out what they can and can’t eat. If your budget allows, I always suggest having nonstop coffee, water, and soft drinks through out the day versus just at specific times. Coffee can be a very sensitive topic and quite upsetting when it is missing. 😊

8. Set it up so attendees can easily share event photos and tag your event on social media. You can set-up signage or include it on a digital PPT loop to remind attendees to share their experience at the event.

9. Be really clear on your call to action after the event. You don’t want them to leave with all of the momentum and energy with no place to go with it. Do you want to invite them to join a program, sign-up for the next event, join a post-event webinar etc..

10. Do an on-site survey to gage feedback while attendees are excited and inspired. It's also good to do a survey post-event.
