| How To Deal With Difficult Customers Who Complain About You Online, Especially On Social | 30 Jun 2025 | 00:25:05 | |
1. Don’t Take It Personally (Even If It Feels Personal)
Stay calm and resist the urge to get defensive. Take a moment to assess the situation before responding.
2. Respond Promptly—but Not Hastily
Acknowledge the complaint publicly within 24 hours if possible. This shows others that you’re attentive and professional.
Example response:
"Hi [Name], we're sorry to hear this. We'd love to make it right—please message us directly so we can help resolve the issue."
3. Take It Offline When You Can
Invite the person to discuss the issue in private (DM, email, phone). This avoids a public back-and-forth and gives you more control.
4. Apologize if Appropriate—But Stay Professional
Even if the customer is being unreasonable, show empathy. Acknowledge their frustration without admitting fault if the complaint isn’t valid.
"We understand how frustrating that must have felt. Let’s look into this and see how we can help."
5. Know When to Walk Away
If someone is trolling or repeatedly acting in bad faith, it’s okay to disengage after making a good-faith effort to help. Other customers can often tell who’s being unreasonable.
6. Learn From Legitimate Feedback
Even harsh feedback can reveal real issues. Look for patterns over time—product problems, miscommunication, or service gaps.
7. Follow Up Publicly If Resolved
Once an issue is resolved, consider a polite follow-up comment:
"Thanks for working with us to sort this out! We’re glad we could help."
This shows others you take accountability seriously.
8. Encourage Positive Reviews
Ask happy customers to leave reviews. A few loud complaints matter less when they’re drowned out by authentic, positive feedback.

In the last episode we went a bit off topic and discussed the very important topic of staying healthy and using technology to help us achieve that. This week we’re going to talk about helping small businesses not only get online, but thrive.

Shannon: Let’s do it! Before we start diving in, can I just say something? Digital marketing is freaking scary!!!
Seth: It definitely can be. But with the right plan, it doesn’t have to be.
Shannon: Seriously. You’ve seen my ineptitude when it comes to the mechanics of social media and websites… you’ve had to be my knight in shining armor more than once! For everyone listening, who shares my distaste for the details...take a deep breath. We are going to do this together!
Seth: Yea, we’re in this together.
Shannon: There are so many resources. So many paths to take for effective social media, and so many networks to utilize. How do you decide what’s best for you and your company?
Seth: It can be daunting. But planning it out can help. Also, remember, not all networks are needed to promote your business. Go where your customers are.
Shannon: I’ve found that it is of utmost importance for the small businesses that we work with to have a plan. A GOOD PLAN. Find someone to build a comprehensive plan for your business. Everything needs to work together. Social media, websites, email/text blasts, events, etc. The messaging needs to be consistent across all platforms. The messaging also needs to be consistent in its frequency. We are creating trust. Find someone who knows how to incorporate all of that into your marketing plan. If that isn’t something you can do right now, build a plan yourself temporarily until you can.

We wanted to make this episode because of some new stats that have come out about SEO… In 2012 people thought Google was crazy because they updated the algorithm on average 3 times per day… Today, in 2020, that number is up to 9 times per day.
Understand that fluctuations are natural… so chill out, grab a beer, and your rankings will likely recover. (As long as you’re not doing anything that is inherently risky)
Preemptively eliminate the risky baggage. If you partook in “sub-par” SEO efforts in the past and Google has not dinged you yet, count your lucky stars and start removing the negative stuff
Look for keyword stuffed pages & blog posts
Analyze your backlink profile
Start adding new, baller ass (that’s Shawn speak for “high quality”) content. The best antidote to bad SEO is Good SEO.

Before you dive in, understand there is a TON of data in there and it can be overwhelming. The purpose of this episode is to narrow down the data you look at so that you can make better informed decisions without wanting to pull your hair out.
Traffic by Source - look at what area is getting you traffic compared to previous time frames
Side note… it’s important to make sure you look at this information in a realistic time frame. For example, if you compare January to the pre-holiday rush, it’d be depressing.
Bounce Rate/time on site - if people are leaving right away, you know that your message is not resonating. This is where we go with that ol’ school “gut” metric. If you don’t think your website looks good, your audience probably doesn’t either. Put yourself in their shoes.
Traffic by Landing Page - This is an easy way of identifying what is and isn’t working on a molecular level. This is an indicator of SEO success as well as acting like a magnifying glass to what needs to be improved from a content perspective.
