  • So many people think productivity is about being organised and is a constant race against time – that certainly used to be my answer to everything, to go faster and harder. The transition happened when it was pointed out to me that I was starting to lose some of my charm due to lack of sleep. I went from 16 hours a day to 6, which didn't happen overnight, but I was lucky that I had done that because my husband got diagnosed with cancer and I had to get pulled away from the business for about 2 years. When I returned after his passing my existing clients had no idea that I'd been absent. Then I started getting asked by people how to manage their productivity.
  • It was shocking to me how much I was working against myself, it was shocking that my efficiency, my income, my joy for the job, my productivity all went up. When I think of productivity, I don't mean getting more done, I mean getting the next thing out: writing a book; starting a podcast; whatever the next thing is for you.
  • Simply hiring someone to transcribe my meeting notes, my first hire years ago, was like taking a pebble out of my shoe, it relieved pain throughout my whole body. The burden it took off me was immense, and on the weeks I was using I was paying her $12, on the weeks I didn't use her I didn't pay her, all of a sudden I'm not misquoting people, getting stressed and staying later and later.
  • SOPs (standard operating procedures) aren't usually written by the end user, they're used to cover reliability and they're static in nature. My Super Tool Kits are breathing documents and you can always improve them. It takes anything you do more than once systematised so you can move on and create the next thing. It means you can get stuff done quickly without having to make decisions which fatigues the brain.
  • A to do list is an excellent tool if you just want to stress yourself out, it creates all sorts of anxiety and open loops in the brain. What you should do is use your calendar like a time bank account where the work is measured out and prioritised. Work backwards, like you do in your personal life. I'm Canadian, so my kids play hockey: You think about the time you need to be at the rink (2pm), what time do you need to leave – adding in time for bad weather, feeding the kids first… all of a sudden you're starting off at noon, meaning you've got to start getting organised at 11am.

On this episode of The Business Mastermind Podcast, Gavin is joined by Robin Waite, the founder of Fearless Business Coaching, to talk about how to avoid under-pricing/under-selling yourself.  How to double business revenue in 3-6 months and why charging by the hour is unethical.

  • Fearless isn't about being reckless. Fearless is about fearing the thing in business ever so slightly less that would ordinarily hold you back. Things like doing a 60 second pitch to a room full of strangers at a network meeting. Some people are terrified of doing that, but if you don't do it no one's ever going to know anything about you, and you won't be able to grow your business and sell stuff.
  • Most business owners will only ever put their prices up once a year or two years, and even then just by 5-10%. They have a belief that if they put their prices up clients will leave. Actually that's not a bad thing. There are two different types of clients: your existing clients who will be anchored to a specific price point and are more price-sensitive, but you've also got prospective clients who haven't been exposed to your prices yet so aren't anchored, there's no tension, you can pitch whatever you want to them and if they feel that's a good value for money they'll go ahead.
  • The money mindset that's been drilled into us by our parents between the age of 3-7 can be quite negative. The education system needs to talk about money and love more. These are two big questions in life: how do I find a partner to be with and how do I make more money? If you have a negative money mindset we seek evidence to back this up in our businesses. If you're always looking back at the past, you're always going to be looking at the blueprint that already exists. In order to change that you've got to look to the future; you can have abundance, you can charge more, you can have cash flowing through your business and you can create the opportunities that you want. This is something you can change in 30 days, maybe less.
  • Too many business owners want to keep control over absolutely everything. But why would you hire someone just to look over their shoulder the whole time, then two people are doing the same job. It's pointless. Perhaps implement SOPs (standard operating procedures) and review them every month or two to make sure they work. I'll take family fit first, skills afterwards. They have to get on with the crew first, we can train them afterwards.
  • In business there are only two things that can go wrong: Either you look a bit stupid, or you lose some money. That's it – unless you do something grossly negligent or nefarious. You can always come back from looking stupid and losing money.

They discuss the psychology of self and the psychology of others to get the both out of you and your teams.

  • There's a lot of emphasis on mindset and getting the best out of yourself, goal setting and psychological concepts that I can relate to and understand, but what used to frustrate me sometimes in some of these discussions was the missing piece about where really good, skilled psychological thinking can come in. We model how the brain actually works alongside what we know about relationships, linking and integrating the mind and the body. That's our passion.
  • We are fundamentally social beings, the evolution of getting to the thinking brain is a higher evolved process, so when we're in situations of threat that's going to activate parts of our brain that drive us to primal behaviours. Who hasn't been in this state in the past 18 months? We can utilise neuroscience knowledge of how our brain works to explain our behaviours and give us choices rather than jumping straight to strategy – missing the process.
  • There are three steps to assessing people who have been through traumatic events 1) Regulate, 2) Relate 3) Reason. These are based on the way the brain is structured. Most people intuitively just straight to reason to problem solve. 
  • The right and the left brain are disconnected during traumatic experiences which is why we don't have words for certain experiences, but we can be triggered into remembering exactly how it feels. That's how we feel we're going crazy because we sense something, but we know logically in the moment there's nothing to be scared of.
  • Business owners might be sensitive to moments of potential failure, or criticism, or not meeting an expectation that you'd set yourself and feeling you're coming below par. These feelings don't come out of nowhere, they have an historical route and it can be fascinating to get some coaching to work out what your relationship patterns are. Then you have choices, you can see it coming and choose your response.

On this episode, Gavin brings to a close what is now Season 1 of The Business Mastermind podcast after more than two years with a solo episode. In this episode, Gavin draws on his background in accountancy and looks at finance and accounting systems in business, specifically how a lot of businesses are doing far too much manual input rather than using the power of cloud accounting which enables quicker, better data, better interpretation and saves man hours.

  • I've found that there's a huge amount of manual inputting around financing; manual inputting of purchase invoices, sales invoices, re-keying and typing stuff in. It surprised my but made me think that you don't know what you don't know.
  • So many business owners manage their business by the amount of cash in the bank, slightly more sophisticated business owners manage their business by profit and loss as well with an accountant, other will manage profit on a monthly or quarterly basis, which is still a couple of months after the month end and the data is then out of date. Even more sophisticated owners have management accounts within two weeks of the month's end and they increase the value of the balance sheet because they're building a business with an exit in mind.
  • Apps like Xero and Quickbooks are much more intuitive to use, save you time and grant you access to an ecosystem of apps and software that provide massive bang for your buck.
  • They also give you visual data on the dashboard so you can see the state of your finances through graphs, charts, etc.
  • There are apps that also ways to manage cashflow and cashflow forecasting including Float and Fluidly which has AI that learns your transactions and help to forecast cashflow which helps you to scenario plan.

Specifically, five strategies around developing your content, how you can use something as simple as your email footer to encourage people to engage with you, email campaigns – what works and what doesn't – building and nurturing relationships with prospective and existing customers, and much more.

  • A sales funnel is really about building a relationship with a new contact, introducing them to your world and giving them a little bit of value in exchange for an email address and then keeping that relationship going to the point they become a customer and repeat customer.
  • A lot of people already have a big email list but don't know what to do with it. Don't just sell through it. Build the back end first then the front end, then the traffic. If you don't have a plan after getting people to your website, you're missing a ton of opportunities, wasting a lot of time and missing money.
  • The five buckets: If you had to pick five areas of your business that are different but overlap, like a Venn Diagram, what would they be? For example; motivation, entrepreneurship, digital marketing, sales funnels, etc. This gives you different buckets to pull ideas and content from and it prevents your list from being exhausted from hearing about the same things every week. This can be used for social media and podcasting content throughout the month as well.
  • I use a passive journey customer footer at the bottom of my email that points people towards my social media, resources and content, podcast, how to work with the company and myself. It shows people how to move down the funnel without drawing attention to it.
  • Any time you can go live, on Facebook Live for example, and interact with your audience is really powerful. Try to open up actual dialogues in conversation. You can pick the brains of your best clients to see what they'd like you to offer.

  • I've always wanted to know how my role, such as working as an engineer 6000 feet down a mine shift, impacted on the gold we were getting out of the ground and on the greater organisation. So, I left the mines to do an MBa… not that makes you a specialist or even an entrepreneur. I did get to understand HR though.
  • I love motivational speaking because I get to see the lights turn on in people's eyes, I want to see them get it and say: “I can be successful in business”.
  • The key to growing my businesses has been giving up control to gain control. As soon as we started outsourcing certain tasks, it freed us up to grow the business. Putting trust in the right people and empowering them really makes a difference.
  • I never ask staff to do something I wouldn't do. I've had staff that have messed up or staff that have taken advantage, but by opening up yourself as the boss (the good, the bad and the ugly) and being real with people it keeps your finger on the pulse of what's going on with your staff and your business.
  • Don't overcomplicate your systems. If you can't explain the way your business works on one A4 piece of paper, it's too complicated. Also, communication is king and certainly don't lie or bend the truth, the truth will always out.
