Your clients are using ChatGPT: How are you going to react when your clients use ChatGPT?28 Jul 202500:10:17

Your clients are using ChatGPT.

Your clients are going to try to do their accounts and their tax using ChatGPT.

Your clients are going to ask you questions generated from ChatGPT.

Your clients are going to ask you why you have not deducted THIS because ChatGPT suggested it.

Your clients are going to come to you with “the work finished by ChatGPT” and they are going to ask you to give it a quick look over and remind you that you should not charge them as much because ChatGPT has done the bulk of the work.

AND how are you going to react to this???

Firstly, be AWARE that it’s happening.

It’s good that your clients are taking an interest, and doing some of their own research.

REMIND clients that ChatGPT can make mistakes, and that important information needs to be checked. “That’s a helpful starting point, but it’s not always right, especially for tax.”

ChatGPT can help clients understand terminology, accounting concepts, simplify language, and help prep them for a meeting.

ChatGPT is not a professional accountant or bookkeeper. It may not know the latest tax legislation, may draw on international information, or suggest non-compliant responses.

ChatGPT rarely understands the nuances of a client situation, and has a tendency to oversimplify things, and be overconfident in its statements, as if they are facts.

I recall when I was pregnant, turning up to the Doctor's office with a large hardcover copy of Dr Miriam Stoppard’s Pregnancy Book, filled with post-it notes of my hand written questions. If the Doctor had been reluctant to answer my questions, then I probably would have found a new Doctor.

When your client comes to you with ChatGPT responses, how are you going to respond?

You could be prepared to suggest that ChatGPT can be a helpful tool, but it's not a substitute for the knowledge and judgment of a qualified bookkeeper or accountant.

Highlight where ChatGPT can be used, and where it’s not so good. Remind them that it needs to be triple fact checked! You could highlight that in some areas it could save them money, but in other areas such as reviewing ChatGPT responses may lead to inefficiencies and actually cost them more money.

Unravelling the future of AccounTech Sydney Xerocon 2023 🌐05 Jun 202400:44:43

Today, I’ve something exciting to share with you. You know how you get excited when a lost Beatle or Nirvana track is found, well the extraordinary Alexi Boyd uncovered the audio of a panel discussion from Sydney Xerocon PreXerocon 2023. I honestly thought I’d never hear it again, and then mid March she sent me a copy - making me a very happy podcaster cause I get to share it with you. The panel discussion was held at the beautiful Hinchcliff House at Circular Quay. Unfortunately the room was a little noisy on the day of the event. However much to my surprise the audio quality is really quite good.  

 

The topic for discussion was “Unravelling the future of AccounTech”.

 

If you are a regular listener you will know, I value bringing diversity to these tech conversations: The moderator Alexi Boyd ran a BAS and Bookkeeping business for 8 years. She is the Radio Show host of Small Biz Matters and now works in policy strategy and government relations. Her background led her to take the conversation in an interesting direction, consumer data rights and restrictions on data and innovation and the differences between data protection laws in Europe, UK, and Australia.

 

This event was the first time Sabby Gill, the new Dext formerly Receipt Bank CEO, had spoken in Australia. Sabby had literally just got off the plane. London based Sabby Gill brought an overseas perspective, as well as his 35 years in the UK technology sector. Aly Garrett is a modern, technology savvy accountant, from South Australia. She represented accountants, their small business clients, and living outside the major Australian cities, brought a regional perspective to the conversation.

 

Roger Gregg brought that unique energy that comes with being a Fintech founder, plus his expensive knowledge of the hospitality and brewing industry, which certainly flavoured the conversation. 

 

I shall add in some recent relevant news, congratulations are in order, 10 months after recording this, it has been announced that the Access Group Has Entered Into an Agreement to Acquire Pioneering AP Automation Provider, Lightyear 

 

Let me fill you in on a bit of a backstory. The Gregg brothers were one of the original App partners, with their solution InvitBox. I’m thinking within the first ten years? InvitBox won Xero emerging app partner in 2013. Then in May 2014 Intuit acquired InvitBox. The very blue boys turned green overnight. Several years later, in quite an unprecedented move, they bought InvitBox back from Intuit for a single dollar! And relaunched as LightYear. 

 

Here we are ten years later, and they have sold again, this time to The Access Group.

The Devastating British Post Office’s 📮 Point of Sale Scandal| Tom Herbert14 Feb 202400:42:06

In this episode, Tom Herbert, technology editor at Accounting Web, shares his insights on the British Post Office scandal, which has been ongoing for decades, ruining the lives of many subpostmasters. Heather and Tom discussed the problems with the Post Office's Fujitsu Horizon point of sale system implementation, leading to unbalanced reconciliations and accusations of theft against subpostmasters. The Post Office used its prosecution powers and prosecuted 700 subpostmasters between 1989 and 2015, resulting in jail time, financial ruin, relationship breakdown, lost homes, living in cars, and sadly much much worse. The scandal is discussed from the perspective of an accountant, the POS implementation, the forensic accountant who aided in uncovering the issues, the suspense account, the high tax hitting the subpostmasters when they received any compensation. The story behind this scandal, Mr Bates vs the Post Office, was broadcast on ITV in January 2024. We talk about the importance of storytelling in bringing this story into the narrative of the general public.

I had a brilliant time at the Expo. I delivered four sessions on Apps, Ai, ChatGPT & Habits and honestly was shocked at how packed they all were. Xero co-founder Philip Fierlinger shares the story behind building one of the world's most successful accounting platforms, Xero He discusses his early inspiration from car dashboards and the gamification of bank reconciliations. Fierlinger also reveals how his latest startup Upstock is transforming the inefficient B2B food ordering process and levelling the playing field for small suppliers. 

 

Many of our listeners will know Philip Fierlinger as one of the 5 co-founders of Xero, but let me share with you a bit of background about Philip:

For over 5 years, Philip has been creating digital products and experiences that have set new standards of design, business and technology. 

In 1992 a university project landed Philip an internship at General Magic where he conceptualised the “Mediaphone” a digital walkman, letting you download music anywhere, anytime. To give you some context this was 9 years before Steve Jobs introduced the iPod and 15 years before Jobs introduced the iPhone.

Philip went on to create a digital agency, with his brother in 1994, doing work for Apple, the Beastie Boys, Comcast, Disney, Dreamworks, Macromedia, Palm, Sony Playstation, among many others.

After moving to NZ, Philip co-founded Xero in 2006, where he was Head of Design for nearly 10 years. Philip was instrumental in Xero becoming a disruptive platform, an iconic global brand, and a market leading public company worth billions of dollars. And I suspect as he had a focus on design, he had something to do with making Xero beautiful software.

Philip is currently Co-CEO of Upstock, a B2B wholesale platform that's transforming the way the foodservice industry operates.

Along the way Philip has been an investor and advisor to numerous startups and scaleups including Sharesies, Milanote, Deputy, Atomic, Karbon, Chartio (sold to Atlassian) – helping with product, marketing, growth, team & culture, and investor strategy.

From Clutter to Clarity: Resolving Your Business’s Data Overwhelm16 Nov 202301:29:25

What are your options when your tech stack is bursting at the seams? You’re struggling to get visibility over what’s happening. You’re balancing multiple spreadsheets and you’re spending a lot of time consolidating data. 

 

If you are trying to resolving your business's data overwhelm there are a number of options:

 

Spring cleans all the files, and all the data.  Merge duplicates and expunge old data, and trim down the data files. 

 

Call in the professionals: Engage a professional cloud integrator to review your set up and advice of any efficiency opportunities.

 

Multi Entity Consolidation solution : I work with the Fathom team and they have a multi-entity financial reporting tool to help you compare and consolidate your organisations.

 

A new solution on the market that you may not have heard of is Translucent.io who I’ve recently started working with. It turns your existing single-entity accounting system into a multi-entity accounting solution. You connect your existing accounting software (Xero, QBO, etc.) and Translucent consolidates all your data to create a single financial system of record. Translucent Apps provide workflows for your muli-entity needs, such as searching for transactions at group level, creating consolidated reporting, managing intercompany transactions, live connecting your data to spreadsheets, and more apps being released every quarter. 

 

While you may not have heard of Translucent before, it is likely that you heard of Dext, or Receipt Bank. The founder and good friend of mine, Michael Woods is the founder of Translucent.io and he’s built it as a tool he would have liked when running Receipt Bank. 

 

A fourth option here is to migrate to an ERP solution. This is something you can potentially explore with a Cloud Integrator about or speak with a software consulting specialist. As you start to move into this area, you really want to engage an experienced specialist who can give you an unbiased assessment of your options to help you know what is possible, and suggest options to future proof your business.

 

Each option has a different price point, and it's important to understand the scoping, implementation, training, maintenance and ongoing costs involved. Likewise make an assessment of how many hours a solution will save you once implemented, and will it enable your business to scale.
