111 | What can I do with all my videos?12 Jul 202400:44:09

Today we are going to talk about identifying, converting and managing videos and home movies. Videos are of course part of our collection, and we feel is very important for us to do an episode just on videos – so we brought in and expert to explore this topic with us: Adam Pratt from Chaos to Memories

Regular listeners might remember Adam from previous episodes, and you might also remember that we love his courses*, about which we talked in episode 67. He has added new ones in the meantime and we highly encourage you to check them out.

Adam loves people, photography, and a good story. After working at Adobe for 22 years he founded Chaos to Memories which is a professional photo and video preservation studio in Chicago. He’s also the author of the best-selling book, Declutter Your Photo Life about which we talked in episode 92.

Today, we will talk about videos and movies specifically because photos and movies are of course similar but different.

We are not only discussing and listing what to gather when you want to tackle this project, we also talk about preserving - which is the conversion from old to new media (check out  episode 42)  - and decluttering.

Finally, we chat about the fun part once everything is organised. And yes, we agree with Adam in saying that we recommend culling the unnecessary and unneeded videos, sorting them and adding some metadata before starting to create projects. It will be so much easier and so much fun!

102 | Is using only a folder structure outdated?01 Sep 202300:35:34

The short answer is: No, it seems it is not outdated!

Findings from a recent survey we conducted amongst our listeners showed that using a simple folder structure as opposed to a photo management program is not as out of fashion as we might have thought.

Listen in to find out

  • where people store their digital photos,
  • how they structure their folders of their photo collection and
  • which programs they use to manage them.

We also respond to some comments and questions such as what to do when running out of storage space on your computer, or if you’d rather not use the cloud and many more.

We were especially pleased to hear from multiple listeners that they have put the 3-2-1 backup system in place - bravo! If you haven’t got a system in place yet, check out our episode Episode 002 Golden Rule 1 - Backup.

005 | Golden Rule 4 Sort and Organise (Part 1 - Digital Photos)14 Dec 201800:35:40
How can we easily sort and organise our digital photos so we can later easily find them? Join Fiona Staff and Chantal Imbach as they answer this and other important questions. Once we have gathered all photos it is time to sort and organise them. Before starting to move any photos though, we'll run a backup and create a copy of the 'mess'. In this episode, you receive a little gift: we have created an empty folder structure which you can download and use however you want to. But before you start moving photos into your new structure, you'll de-duplicate (check out our links for software that help you do the job). This step is followed by a good declutter and by highlighting your favourite photos! Only then will you start moving your photos into the structure you chose. Our gift to you: various empty folder structures to download from here. 101 | Design Photo Books like a Pro04 Aug 202301:03:58

Meet Libby from Momento in Sydney and discover how this Australian photo book printing company came into existence - as the second one in the world at the time - and how they are serving their clients in Australia and New Zealand today.

Momento is so much more than a printing company. The three founders, of which Libby is one, came from the world of digital media in the mid 1990s and met when working for a CD-ROM company.

They loved photography, travel and also family memories. Because they couldn’t find a printing company that suited their needs and fulfilled their printing quality requirements, they started their own business, offering exactly this! One of the main focus for them is accuracy in colour reproduction and quality at every level has been their defining feature. They even developed their own book designing software, which is accessible for free.

Interestingly, one of Libby’s first books was her dad’s memoirs, bringing together decades of photos. We can’t but agree when she shares how book creation is about story telling.

We are also talking about different formats and sizes of books, and how to choose the right one. There are different paper options, too, and Libby explains which one is good depending on the purpose and kind of book. She also shares many more practical tips that start long before the book design … namely, when taking photographs!

One of her favourite ways to pass on family history is through recipe books, for which Momento has developed various templates if you don’t want to create your own.

She says: ‘Making a photo book is not just about you, it is also for those people in the future who won’t be sitting beside you when they’re looking through it, who get to learn about you and through learning about you, they learn about themselves.’

Momento offers something for every taste: whether you want to design minimalistic photo books with lots of white space or are a scrapbooker who likes frames, embellishments, background and other decorative features, they’ve got you covered.

Libby encourages us to let the purpose of the book guide us and to turn a book from a record into a keepsake by adding stories.

If you need more inspiration go to https://www.momento.com.au/inspiration and don’t forget that they offer a special to our listeners with

25 % off your next Momento photo book (offer valid until 31 October 2023).

097 | How a timeline helps with photo organising07 Apr 202300:15:31

As we are organising photos, we usually like to know what happened when. There is a whole range of information we can gather during that process that can help us to date or place photos. This applies to printed and digital photos.

A great tool to help us gather that information that sometimes randomly comes up during the sorting is a timeline.

Some options to record a timeline are:

  • A simple note book
  • Index cards
  • One sheet per year in a binder
  • An Excel sheet
  • A bubble chart

Links mentioned in this episode:

Our freebie for you! Two simple timeline templates to choose from. Simply go to this link, download your favourite version and print it as often as you like.

The bubble-chart timeline can be found here.

Some topics we chat about:

  • What is the Apple ecosystem?
  • What do you need to use it?
  • Sharing and synchronising your photos with the family - find out more about the new feature of a shared library and why it is important to have a family photo curator!
  • How a shared photos library could be used in a business environment, too.
  • How backing up works and how it depends on your settings within your ecosystem (downloading originals or using an optimized storage option).
  • Legacy collections and where we're going from here to curate our photo collections.

095 | What to do with negatives03 Feb 202300:26:04

When organising our photos, we inevitably encounter a packet of negatives. So, what do we do with them?

Keep them?

Separate them from the photos they are with?

Throw them out and only keep the photos?

Before we even suggest listening to this podcast episode we are here to suggest you….

Keep them…(please)

In this episode, we talk about

  • Your negatives
  • Why we recommend keeping them
  • Archiving options for your negatives
  • The difference between scanning prints and negatives

094 | What's a photo without the Story? (with guest Hazel Thornton)25 Nov 202200:43:31

Join us and our today’s guest Hazel Thornton who gives us an insight about how you can research your own family’s stories - and find out more about the bathing beauty on the book cover of her latest book What’s a Photo Without the Story? How to Create Your Family Legacy!

Discover why it is so important to tell the stories of our photos and how it can be beneficial not only to ourselves. The great thing is that you don’t have to write a book or a biography, you can start small and keep it simple. Hazel’s practical tips will help you along the way.

We love how Hazel offers us different approaches throughout the book such as things to do with

  • low effort (do this if nothing else),
  • medium effort (your family will thank you) or
  • high effort (ask for help if you need it)

The book is meant to help people at all levels - you don’t have to be a photo organiser, writer or genealogist!

Buy the book from here: Amazon and keep an eye out for her next book: Go With the Flow! (The Clutter Flow Chart Workbook)

Hazel Thornton is the creator of The Clutter Flow Chart Collection and is based in Albuquerque, New Mexico. 093 | Digital Photo Management on the Go21 Oct 202200:21:49

We both have been fortunate enough to travel earlier this year. Like everybody else, we both took lots of photos during that time.

There are many different ways you can manage and also back up digital photos while travelling. However, today we are simply sharing what we both did. Some steps were the same, such as a daily purge in which we deleted the duds and other unwanted photos we took.

Others were a bit different because one used the phone only and the other also used a DSLR camera and had a notebook with her.

Another important part of documenting such wonderful adventures is writing down the stories - or at least some - that go with the photos. Don’t forget to check out Katie’s offering when it comes to that part of the process.

110 | Roadblocks in photo management and how to overcome them14 Jun 202400:42:43

We’ve all been there! We finally want to tackle that photo organising project, we’re off to a good start and motivated and then we encounter the first roadblock which stops us in our tracks. Next thing we know: we are procrastinating and the project comes to a halt.

Here are some of the most common roadblocks we have encoutered:

  1. Not knowing where to start
  2. Too many photos and pictures everywhere
  3. Too many software options
  4. Deciding whether to scan photos vs negatives
  5. Which is the right scanning equipment?
  6. What to do after you have scanned photos - archive them in albums or boxes?
  7. Do I want my photos in books and in which order? Chronological or just done?
  8. Figuring out dates of undated photos
  9. Tell one person's story? Or integrate several chronologically?
  10. Time and place to work on a project without interruption

We discuss solutions to all those roadblocks and also invite you to listen to episodes 49 and 106 that are all about how to stop procrastination (see links in related episodes below)! And don’t forget to download our free e-guide about this very topic here!

090 | How to share your family photos using SmugMug12 Aug 202200:55:48

One of the most asked questions when it comes to photo management is: how can I share my photos with others?

As always, it depends on a lot of variables such as the photo management software and computer you are using. However, a great solution, which we have mentioned many times, is SmugMug - a cloud-based sharing software. Today, we talk with Kaydin Carlsen from SmugMug, who has been a passionate advocate for the photography industry for more than a decade and has been supporting and working with professional photo organisers on best practices and workflows for managing photo and video digital assets using SmugMug.

If you have wondered how to share your photos easily after you have managed your collection on your computer, we encourage you to try SmugMug. There is even the added bonus that it is an off-site backup!

Use this link here to get 25% off your first year of any SmugMug account level.

Here are some of the features we like about SmugMug:

  • It is software independent, i.e. it works on Windows PCs and Macs.
  • You can upload photos and videos. Space is unlimited.
  • It keeps metadata you have previously added intact.
  • The files are uploaded in full size. You decide who sees what, it can be totally private.
  • You can invite people to upload their photos to your account (very handy for events!).
  • You can upload an existing folder structure (6 levels).

These are only a few advantages. We invite you to try it out yourself - the first couple of weeks are free! If you want to keep it afterwards, don’t forget you get 25 % off your first year if you use this link to start with.

Also, don’t forget to check out the YouTube playlist How To SmugMug where you find lots of tutorials that will also give you a better visual of how SmugMug looks like.

087 | Transferring Android phone photos to a computer08 Apr 202200:30:43
We see the phone as a camera and we want to transfer new phone photos to a computer and our photo hub regularly. Not only to back them up, but to be able to curate them and our photo collection easily. Today, we are looking at how to transfer those photos from Android phones to a computer. We are sharing a variety of options with you, some require just a USB cable, others an internet / wifi connection or the cloud. One would think that transferring phone photos is easy. It usually is, but there are some things to be aware of. A typical stumbling block are phone settings. Also, many Samsung users are not aware that their phone has an SD card and an internal phone storage, hence photos might be stored in two different places. We cover all those details in this episode for Android users! From all the options, choose the one that seems easiest and most straight forward to you and giving it a go. If it's not the right one for you, try another one. Once you've chosen, write down a step-by-step checklist for yourself. Here are some of the options we are sharing: •SD card (PC and Mac) •USB connection to a PC or a Mac •Using apps you already have on your computer •USB sticks (also listen to our episode 46) •Various apps •Cloud services Sources mentioned in this episode: •Step by step description about how to use Android File transfer app for Mac users: https://thedroidguy.com/transfer-files-from-galaxy-s20-to-mac-1124696 •Using Smart Switch: https://www.samsung-messages-backup.com/resources/transfer-photos-from-samsung-to-mac.html Related episodes: #2 GR1 Backup https://www.diyphotoorganising.com.au/golden-rule-1-backup/ #4 GR3 Create a photo hub https://www.diyphotoorganising.com.au/golden-rule-3-create-a-photo-hub/ #16 Keep photos safe while travelling https://www.diyphotoorganising.com.au/keep-photos-safe-while-travelling/ #46 What is your take on Photo Sticks? https://www.diyphotoorganising.com.au/what-is-your-take-on-photo-sticks/ If we could ask you for 2 minutes of your time we would love to hear from you. 086 | Expert advice to help people who hoard photos25 Mar 202200:38:29
Decluttering and organising photos is hard. It can be a very overwhelming and time-consuming task and, naturally, photos belong to the very personal and sentimental belongings. Imagine how much harder it must be for a person who hoards. Unfortunately, there is quite a high part of our population with hoarding disorders, around 5%! However, there is help and we have the pleasure to learn from today's podcast guests: Angela Esnouf and Wendy Hanes from Hoarding Home Solutions, who are internationally recognised experts in their field. They generously share how friends and family members of people with a hoarding disorder or chronic disorganisation can help and what should be avoided. Some of the tips are: •Leading with compassion and being patient. •Being aware that organising is not a linear process. •There needs to be a readiness for change, which can come and go. •Understanding that - especially for elderly loved ones - photos can be a catalyst to tell their story and that it can help them make sense of their life and their legacy. •Knowing that searching for the perfect solution can be paralysing. They also share some practical strategies on how we can help a loved one. We believe these strategies work for anybody, not just for people who hoard. You can find more information on Wendy's and Angela's website over at: www.hoardinghomesolutions.com.au. There are some free resources for you to download, lots of blog posts to learn from and a directory 'Find a Provider' in which you can find a local, trained expert if you'd like further help. You can of course also sign up for one of their courses and dive deeper that way. 085 | Removing duplicate photos from your photo collection11 Mar 202200:44:40
We all have them in our collection: duplicate photos (and videos)! Learn what programs can help you find and remove those duplicate photos from your collection. We are talking about programs for Macs and Windows and there is also one that runs on both operating systems (no affiliation): •DupeGuru (cross-platform, works on Apple Mac and Windows PC) https://dupeguru.voltaicideas.net/ •PhotoSweeper (Mac only) https://apps.apple.com/au/app/photosweeper/id463362050?mt=12 •PowerPhotos (Mac only, allows you to merge libraries) https://www.fatcatsoftware.com/powerphotos_downloads/ •Duplicate Cleaner Pro (Windows only, by Digital Volcano) https://www.digitalvolcano.co.uk/dcpro.html •VisiPics (Windows only, free) https://www.fosshub.com/VisiPics.html These little helpers are worth every cent, it will save you a considerable amount of time cleaning up your gathered photo mess. We recommend you try them for free before you make a decision. Know that deduplicating a gathered photo mess is often one of the most time consuming steps in the whole process. The programs mentioned will find duplicates and even similar photos for you but you still have to then decide which copy you want to keep and which one/s you want to delete. It is not fully automated and you will be in control of this decluttering process. If we could ask you for 2 minutes of your time we would love to hear from you. 084 | What to do with the original gathered mess25 Feb 202200:14:07
Following our call for your questions, a listener has asked "What am I supposed to do with the original hub in the end?" To answer that question, we are looking back at our Golden Rule 3 - Creating a Hub - to clarify the steps that we suggest you follow to start off your photo organising project. We are explaining in detail how to copy the gathered mess before you start deduplication and sorting of your photos. We also talk about where and how long to keep that copy of the original mess, and when to delete it and all the original source files. Remember, the goal is to have one single place where you keep all your photos. We hope this episode clarifies our Golden Rule 3, to which you can listen here. Looking for a book to help you on your photo organising journey?...We have authors Cathi Nelson and Jordan Babeon as our guests on the podcast today, talking about their updated book, Photo Organizing Made Easy! Cathi and Jordan join us for an engaging conversation about how they worked together on the newest edition of the book, and how they are from two different generations, but still share the same passion for photos. Cathi Nelson is a baby boomer whose passion for photos and stories developed from a career in teaching photo organizing and scrapbooking. Cathi is the leader of a global photo organizing movement. A cutting-edge entrepreneur and speaker, in 2009 she founded The Photo Managers, the leading organization and certification program in the photo management industry. She's been featured in the New York Times, The Atlantic, Real Simple Magazine, and The Wall Street Journal about how to organize and preserve the legacy of your family heritage through photos. Connect with Cathi https://thephotomanagers.com/ Facebook: @thephotomanagers Instagram: @thephotomanagersofficial Jordan Babeon is a tech entrepreneur born in software consulting. She founded her company, SurroundUs Services, in 2018 after struggling to find help organizing her digital photos following the birth of her twins (now seven years old). She passionately believes that working Moms need more help, specifically when it comes to their growing digital lives. While all the new apps are great, knowing which to choose and getting set up correctly with all of the legacy data is hard. 108 | How to make a photo gallery wall in your home05 Apr 202400:46:10

This episode has to do with our Golden Rule 5 - Do something! What we mean is find means to bring your photos back into your life so you can enjoy them.

One beautiful way of doing so is creating a photo wall or a photo gallery in your home. We are excited to have our colleague and expert Haleh Shoa from Picturli back for this episode!

She not only shares some practical tips but actually shows us how she designs a photo wall using Canva. Hence, we strongly encourage you to watch this episode rather than listen. If you prefer to listen, click here to see the screenshots of the visuals she shared with us.

You don’t necessarily need Canva to design your photo wall, Haleh also shares some simple tips about how to tackle it without digital help.

We talk about

  • where in the home a photo wall can be,
  • what we can display - hint: not just photos!
  • pros and cons of using frames and what substrates photos can be printed on,
  • how to arrange the pictures and memorabilia
  • designing a picture wall with and without Canva

Again, please watch it here (and subscribe to the channel, we might add more videos in the future) and share with anybody who might be interested - thanks!
