364: The Automated Campaigns Every Play Cafe Should Have Running (And How To Set Them Up) 04 mai 202600:56:08

In this episode of The Profitable Play Podcast, I’m joined by Nick Veneris, Email Marketing Expert at Aluvii, for a conversation all about email marketing, automation, and how indoor playground and play café owners can turn the customer data they already have into more bookings and repeat visits.

One thing I really want to emphasize upfront: this conversation is NOT platform specific.

Even though Nick is from Aluvii, the strategies we discuss apply no matter what POS, CRM, or email platform you use.

This episode is really about understanding your customer journey and communicating with more intention.

We talk about:

  • Why email marketing is still one of the most powerful tools for play-based businesses
  • The automated campaigns that are actually driving birthday bookings and repeat visits
  • How birthday, half-birthday, bounce-back, and review request campaigns work in practice
  • Subject lines, timing, and messaging strategies that are getting parents to engage right now
  • The biggest mistakes play café owners make with email marketing
  • How to segment your customer list in a simple, manageable way
  • How to “sell” naturally without sounding overly promotional
  • Realistic ways busy owners can implement these systems without adding more overwhelm

If you’ve ever felt like you’re sitting on valuable customer information but not fully using it—or like your marketing feels reactive instead of predictable—this episode is packed with practical strategies you can start applying immediately.

363: Google’s NEW Review Rules — What to Stop Doing + What to Do Instead29 avr. 202600:27:27

Google updated its review policies in April 2026—and many of the strategies play café and indoor playground owners have relied on for years are now considered violations.

BLOG for this episode: https://www.michelecaruana.com/blog/new-google-review-rules

In this episode, I break down what actually changed, what’s now banned (including incentivized reviews, in-person asks, and review gating), and how Google’s AI is actively flagging suspicious behavior.

More importantly, I walk you through exactly what to do instead—so you can continue generating consistent, high-quality reviews without putting your business at risk.

If reviews drive your bookings (and they do), this is a shift you need to understand.

In this episode, we discuss:

  • The biggest Google review policy changes in 2026
  • Common review tactics that are now violations
  • What “review gating” is and why it’s banned
  • Whether you can still share your Google review link (and how to do it correctly)
  • The new role of AI in detecting review manipulation
  • How to build a compliant, system-driven review strategy
  • Practical ways to still get consistent, high-quality reviews

In this episode of the Profitable Play Podcast, we’re breaking down 6 "micro-trends" or shifts some play cafes are quietly making behind-the-scenes as we go through 2026.

BLOG for this episode: https://www.michelecaruana.com/blog/simplify-your-play-cafe

These aren’t big flashy trends—but they’re the small operational shifts that can have a huge impact on your day-to-day, your team, and ultimately your quality of life as an owner.

  • Going cashless
  • Collecting party payments in advance
  • Simplifying or eliminating drip coffee
  • Short-term or seasonal memberships
  • Encouraging or requiring reservations
  • Positioning your space as a “third space” or community hub

If you’ve been feeling stretched, overwhelmed, or like your business is more complicated than it needs to be, this episode will help you start thinking differently about what to streamline, what to rethink, and what actually makes sense for your space.

360: How Hangtime Play Café Hit 250+ Members in Just 2 Months30 mars 202601:10:13

In this episode of the Profitable Play Podcast, I sit down with Erin and Justin, the owners of Hangtime Play Café in Arlington, Washington—an indoor playground and play café that scaled to over 250 members just two months after opening.

We break down how they pre-sold over 100 memberships before they even opened, the exact strategies they used to build demand early, and how they created strong recurring revenue from day one.

We also dive into how they designed a smaller 2,500 sq ft space to feel bigger, more premium, and highly functional—maximizing every square foot to support open play, memberships, and birthday parties without sacrificing the customer experience.

Plus, we discuss what’s actually driving revenue in their play café business, including how their café is contributing a significant portion of total sales, how they’re balancing memberships, open play, and private parties, and what they’ve learned about capacity, pricing, and operations in their first few months.

We also cover a major build-out challenge—a delayed play structure shipment—and how they used that time to build hype, collect leads, and strengthen their brand before fully opening.

If you’re starting or growing an indoor playground, play café, or kids’ activity center, this episode is packed with real-world insights on membership growth, play café design, revenue streams, and what it actually takes to launch and scale successfully.

359: Feeling Like You Can't Compete With "Free"?: How to Sell Out Paid Events at Your Indoor Playground19 mars 202600:35:07

If you’ve ever opened social media and thought, “How am I supposed to compete with all these FREE events and classes?”—this episode is for you.

BLOG for this episode-- click here!

In this episode, I break down why indoor playgrounds and play cafés don’t actually compete with free events—and how to position your paid classes, camps, and events so they consistently sell out.

Free events often come with crowds, long lines, and unpredictable experiences, while paid events offer structure, convenience, and a higher-quality experience that many families are happy to pay for.

We’ll cover:

  • Why you don’t need to compete with free events at all
  • The mindset shift that changes everything for your marketing
  • How to attract the right customers (not everyone)
  • Why smaller, curated events can be more profitable
  • How to position your events as premium, not optional

If you’ve been second-guessing your pricing or struggling to fill events, this episode will help you reframe your strategy and sell with confidence.

358: From Speech Therapist to Multi-Location Inclusive Play Space Founder With Lindsay 02 mars 202600:55:37

In this episode of The Profitable Play Podcast, I’m joined by Lindsay, the founder of Spirited Play Labs—an inclusive, membership-based indoor play space in the San Francisco Bay Area designed to support neurodivergent children and their families.

Lindsay is a former speech therapist, a parent of a neurodivergent child, and she now identifies as neurodivergent herself—so this conversation blends real-life inclusion, sustainable operations, and multi-location growth.

We talk about how Lindsay scaled from one location to three (with a fourth planned), how she built a team structure that allows her to stay out of daily operations, and why her staff and culture are the most defensible part of her business model.

We also cover the behind-the-scenes of becoming a vendor with California’s Regional Center so certain families can have memberships covered—creating a B2B revenue stream and a strong referral engine.

If you want practical ideas around membership models, inclusive play design, staff training, customer experience consistency, and scaling beyond one location, this episode is for you.

BLOG with top 12 takeaways: https://www.michelecaruana.com/blog/spirited-play-labs-interview

In this episode, Lindsay and I cover:

  • How she launched Spirited Play Labs after COVID and the needs she saw in her community
  • What it looks like to build an inclusive indoor playground that supports neurodivergent kids without feeling clinical
  • Why she chose a membership-based model and how her first-time visit process works
  • How she scaled from 1 to 3 locations (and what changed operationally as she grew)
  • The staffing structure behind her locations: managers, training, and culture consistency
  • The real lessons she learned about real estate, buildouts, and overspending early on
  • How she became a Regional Center vendor in California and what “B2B memberships” can look like
  • How she thinks about behavior, regulation, and safety without relying on strict “rules boards”
  • The referral engines that actually work in the disability community (and why she spends very little on ads)
  • How being neurodivergent impacts her leadership, energy, and long-term sustainability as an owner
  • Simple ways traditional play cafés can become more inclusive—starting with who you listen to and who you hire

n this episode, I’m sharing 11 sneaky patterns I consistently see holding play cafés and indoor playgrounds back—not because owners aren’t working hard, but because these habits are easy to miss when you’re in the day-to-day.

BLOG For this Episode: https://www.michelecaruana.com/blog/why-play-cafes-struggle-to-grow

In this candid conversation, I sit down with Kaylinn from Kay’s Play Days — former owner of Monkey Around Play Café and now floor manager at Wise Wonders Children’s Museum — to talk through the real behind-the-scenes of purchasing, running, and ultimately closing a play space.

355: Retain Customers And Get Repeat Bookings By Creating A "Disney-Level" Experience At Your Play Cafe With Vance Morris02 févr. 202600:36:05

Retain your customers and get repeat bookings by creating a Disney-level experience at your indoor playground business or play cafe business!

Watch on YouTube: https://youtu.be/S5mc-itOHuk

What if the reason families don’t rebook birthday parties, memberships, or repeat visits isn’t your pricing, marketing, or competition—but your customer experience systems?

In this episode, I’m joined by Vance Morris, a former Disney leader who spent over a decade designing and operating guest experiences at Disney—and now helps brick-and-mortar businesses create raving fans for life without overspending or burning out.

This conversation is especially relevant for indoor playground and play café owners who are:

...Facing increased local competition

...Frustrated with always chasing new leads

...Tired of the social media hamster-wheel and getting new customers in the door each day

...Competing against chains or copycat concepts

...Relying heavily on birthday parties for revenue

...Trying to stand out without discounts or constant promotions

In this interview, we cover:

...Why customer retention beats customer acquisition for play businesses

...How Disney delivers consistent, magical experiences using systems—not perfect staff

...The biggest mistake small businesses make when training employees

...How scripts, SOPs, and onboarding create freedom instead of rigidity

...Low-cost ways to create tellable moments that drive referrals

...How experience impacts party rebookings and guest-to-customer conversion

...What indoor playground owners should focus on after the party ends

Vance also shares real examples of how small changes—many costing little to nothing—can dramatically increase repeat business and lifetime customer value.

If you want families talking about your business, choosing you over competitors, and coming back year after year, this episode will completely shift how you think about experience.

354: Managing Parties, Capacity, and Staff in a Large Play Café With Kristina Lai From Busy Bee Play Cafe26 janv. 202601:00:34

What does it actually take to run a successful play café once you’re past the opening phase—especially when your space is larger than most independent, non-franchise-chain locations?

In this episode of the Profitable Play Podcast, I sit down with Kristina Lai, owner of Busy Bee Play Cafe in Indianapolis, Indiana. Their 8,500+ sq ft facility is on the larger side for a non-chain indoor playground business, which brings its own unique challenges and advantages.

On the challenge side, a larger space means a bigger team (often with a high number of teenage staff), higher capacity to manage, more moving parts operationally, and the ability—and pressure—to run a high volume of birthday parties every single week.

On the flip side, that size also creates real opportunities: multiple parties running at once, diversified revenue streams beyond open play, a full balloon bar, stronger café potential, and more flexibility in how the business actually makes money.

In this conversation, Kristina shares a candid, behind-the-scenes look at how she navigates both sides of that equation.

We cover:

...Operating a larger independent play café without franchise systems

...Managing a large, mostly teenage team in peak seasons

...Running a high volume of birthday parties each week—and why systems matter

...Hosting multiple parties at the same time without overwhelming staff or guests

...Real revenue breakdowns: open play, parties, memberships, café sales, retail, and balloons

...Building a profitable balloon business after Party City closures

...Using reservations and memberships to control capacity in a high-traffic space

...When memberships attract the wrong families—and how to handle it

...Letting go of problem members and employees (and why some money isn’t worth it)

...Launching hot food in a play café without turning it into a full restaurant

...The emotional toll of running a large play business and being “always on call”

...How ownership impacts family life when your kids grow up alongside the business

This episode is especially helpful if you:

...Own or are planning on opening a play café or indoor playground

...Are considering (or already running) a larger-than-average independent space

...Run frequent birthday parties and want better systems

...Want multiple revenue streams without burning out

...Are managing staffing, capacity, or boundaries

352: 2026 Trend Predictions For The Indoor Play Industry (Part 2- Operations and Day-to-Day)12 janv. 202601:06:11

This is Part 2 of my annual indoor playground and play café industry trends episode — a series I’ve released every single year since 2019.

Part 1 focused on business design and planning.

Part 2 is about operations, systems, and the decisions owners are making behind the scenes that will quietly determine who is still standing in 3–5 years.

These aren’t “ideas to try.” These are structural shifts happening right now inside profitable, sustainable play businesses. And if you miss them They’re expensive to fix later.

In this episode, I break down the operational and ownership trends shaping 2026, including:

  • Why owners are stepping back earlier — and how systems (not hustle) are making it possible
  • The rise of businesses designed to function without the owner present
  • Why you cannot out-market a broken layout, bad flow, or poorly designed space
  • How intentional design decisions reduce staffing costs, customer friction, and burnout
  • Why some owners are quietly cutting hours — and increasing profit
  • The shift toward making money during downtime, not just peak hours
  • How smarter owners are evaluating revenue streams based on profitability and energy, not ego
  • Why “just add more offerings” is becoming a dangerous strategy
  • The growing gap between owners who track numbers weekly and those who “feel busy”
  • How over-reliance on AI without real-world context is already costing new owners time and money

351: 2026 Trend Predictions For The Indoor Play Industry (Part 1- Planning and Design)03 janv. 202601:07:15

Every year (since 2019!), I release a trends episode for the indoor playground and play café industry — and this year, there was simply too much to cover responsibly in a single episode.

BLOG For this episode: https://www.michelecaruana.com/blog/2026-play-cafe-trends

As I reviewed what I shared in my 2025 trends video (linked below) alongside what I’ve been seeing all year in Play Maker Society, my live events, and 1:1 coaching, the trends naturally fell into two buckets:

1) planning and design decisions that are expensive to undo

2) operational choices that determine whether a business actually runs sustainably

That’s why the 2026 trends are split into two parts.

Part 1 focuses on planning: space design, revenue structure, and early decisions that quietly lock owners into years of unnecessary stress if they get them wrong.

Many of the 2025 trends from last year's episode are still very relevant — including indoor/outdoor spaces, experience-led design, and bold, playful use of color — but the cost of missing these shifts is higher than ever.

This year's list is less about what's "new" and more about what's becoming non-negotiable to have a competition and receccsion-proofed business (that YES: actually pays you).

What’s IN for 2026 (Planning & Design):

  • Treating cafés as a core profit driver, not a side feature
  • Designing spaces that increase length of stay and per-visit spend
  • Inclusion and universal design as the standard, not a bonus
  • Intentional layouts that reduce friction for families and staff
  • Revenue models that prioritize retained profit, not just top-line sales
  • Designing businesses that work with family behavior, not against it

What’s OUT for 2026 (Planning & Design):

  • Over-relying on AI to plan your business without real-world validation
  • Relying on hustle to fix structural problems
  • Depending heavily on third-party vendors for food and party add-ons
  • Skipping cafés without a clear replacement revenue strategy
  • Treating inclusion as a marketing angle instead of a design foundation
  • Assuming volume will make up for thin margins
  • Building spaces that look good online but don’t function well in real life

This episode sets the foundation for Part 2, where we’ll shift from planning to execution — covering operational trends, optimization, and how owners are building businesses that run without burning them out.

350: My 7 Best Pieces of Advice for Indoor Playground Owners as We Head Into 202631 déc. 202500:53:10

As I wrap up 2025, I wanted to record an episode that goes deeper than trends (but YES, my annual trends prediction is coming up next!)— because what I’m seeing across the industry right now isn’t necessarily a lack of ideas.

It’s a lack of foundations.

BLOG for this episode

After a full year of interviewing indoor playground and play café owners, working through countless 1:1 sessions, and supporting owners inside Play Maker Society, the same patterns keep showing up — regardless of location, size, or years in business.

Owners are busy, but still stressed.

They’re marketing constantly, but not converting.

They’re deeply involved, but exhausted.

This episode brings together the seven pieces of advice I’m giving to (and getting from!) current owners right now — not based on theory or predictions, but on what I’m actively seeing work (and not work) in real businesses.

These are the areas where small leaks are creating big problems — and where tightening the fundamentals can immediately change how a business feels to run in terms of quality of life for YOU, the owner.

In this episode, I break down:

  • Why what you post matters more than how often you post
  • How most websites and patched-together booking systems quietly lose you money
  • Why open play can’t be the thing holding your business up
  • How recurring and high-ticket revenue change how the business feels to run
  • Why email is still one of the most effective tools owners aren’t fully using
  • How cafés, retail, and small add-ons raise spend per visit without more traffic
  • What actually has to be in place for you to step out without everything breaking

I also share real examples from owners I’ve interviewed, coached, and worked alongside — including how some have intentionally reduced owner dependency, diversified revenue, and designed businesses that work even when they’re not physically present.

This episode isn’t about adding more to your plate. It’s about tightening what’s already there and focusing on the few things that actually make a difference right now.

If you’re heading into 2026 feeling busy but still stretched thin, this will help you get clear on where your attention really needs to go next.

349: How Tiny Play Café Uses Business Sponsorships, Cafe Sales, and Camps to Create Long-Term Stability23 déc. 202501:01:35

In this episode, I sit down with Jayci, owner of Tiny Play Café, for a thoughtful, experience-based conversation about what it looks like to operate a play café several years into the business.

Jayci shares how her café fits into the overall revenue picture, including how the café itself contributes to monthly sales and why local B2B sponsorships have become a meaningful and reliable part of her business model.

We dive into how she uses summer camps strategically to help offset slower seasons, what finally made camps work for her, and how timing, structure, and staffing played a role in their success.

We also discuss staffing realities, running a business from nearly an hour away, lessons learned during the build-out process, and how Jayci is thinking intentionally about the next phase of the business as her season of life evolves.

If you’re looking for practical insight, real examples, and perspective from an owner who has successfully navigated multiple seasons of this business, this episode offers a lot to learn from.

348: How Indoor Playground Owners Can Use AI NOW to Set Up a Stronger 202616 déc. 202500:35:53

Most indoor playground and play café owners don’t need more ideas going into a new year — they need better execution on the ones they already have.

In this episode, I break down exactly how I’m using AI right now to help my indoor playground business owner clients review numbers, tighten systems, and remove the operational friction that quietly drains time and profit.

This isn’t about trends or tech overwhelm. It’s a step-by-step, practical walkthrough of how I recommend using AI as an analyst, operations assistant, and planning tool so you can head into 2026 with clearer priorities, stronger systems, and far less on your plate.

346: Turning Your Retail Section Into a Reliable Revenue Stream With Justine From Liv and Mimis01 déc. 202500:59:08

In today’s episode of The Profitable Play Podcast, I’m joined by Justine, the owner of Liv and Mimi’s Play Café, who is now two years into her business journey.

WATCH on YouTube (plus get a tour of Justine's retail section: https://youtu.be/BpxtDLo8SNIz)

If you’re inside Play Maker Society, you already know how thoughtful and generous she is with her real-world experience—and today she’s sharing it all.

We focus heavily on retail, because Justine brings a strong background in merchandising and has used that expertise to turn her retail section into a powerful, profitable part of her business.

She walks us through how she chooses products, how she thinks about display and flow, what sells best for her audience, and the small changes that have had the biggest impact on her sales.

Beyond retail, we dig into the lessons she’s learned in her first two years of ownership—what she expected versus what surprised her, what she changed after year one, and how she continues to refine her operations, staffing, birthday parties, and membership strategy based on customer behavior.

If you’ve been wanting to grow your retail revenue—or you’ve felt stuck trying to choose the right products or manage inventory—this conversation will give you tons of practical insight and real examples you can apply right away.

Tune in to hear how Justine approaches retail with intention and how those strategies have contributed to both her revenue and her customer experience at Liv and Mimi’s Play Café.

345: 9 Things I'd Tell A Prospective Play Cafe Owner If I Was NOT Afraid To Hurt Their Feelings28 nov. 202500:36:50

In this episode, I’m sharing the exact tough-love truth I give my one-on-one clients inside Play Cafe Academy and Playmaker Society—the things I say privately that genuinely help people avoid incredibly expensive, stressful, and sometimes irreversible mistakes when opening an indoor playground or play café.

This audio is pulled directly from a YouTube video I recently published, and I wanted to share it here because it’s that important. But if you want to make sure you never miss content that doesn’t make it over to the podcast feed, be sure to subscribe to my YouTube channel as well.

If you’re in the planning phase, this is the reality check you need before signing a lease, building a business plan, launching a GoFundMe, choosing a location, or assuming open play alone will carry your business.

I walk through the most common misconceptions I see every week—unrealistic revenue projections, relying too heavily on vendors, expecting your customers to be loyal, thinking you can bring your kids to work, underestimating the impact on your relationship, and more.

I’m also diving into why no one wants to fund your dream, how crowdfunding can work when used as a marketing strategy (not a funding plan), and why your startup budget, projected revenue, and marketing spend need to align if you want the business to be sustainable and your life to stay intact.

My intention isn’t to scare you—it’s to give you the full, unfiltered picture so you can move forward with clarity, confidence, and realistic expectations.

A play café can absolutely be profitable and joyful, but only if it’s built on truth, not wishful thinking.

If you enjoyed this episode and want a part two for current owners, send me a message or leave a review.

344: Year 1 Of Opening A Play Cafe With Owner Jessalyn Pustay From The Playroom WV24 nov. 202501:02:46

Year 1 Of Opening A Play Cafe With Jessalyn Pustay From The Playroom West Virginia!

This interview is also available on YouTube as a video here!

You can also get a summary of this episode on our blog here!

In today’s episode, I’m talking with The Playroom owner Jessalyn Pustay about her first year in business and the lessons she learned while creating a high-quality play and programming space in West Virginia — something she desperately wanted for her own kids after relocating from Washington, DC.

In this interview, we cover:

...How her staffing model grew from just herself to a small, reliable team that can now handle emergencies and weekend coverage.

...The tech struggles she faced early on, why pieced-together systems held her back, and why she’s excited to try something new.

...The marketing channels that actually work in her town.

...How she adjusted pricing and added unlimited memberships, plus which revenue streams perform best.

...The strong seasonality in her area and how she planned ahead financially to make summer slowdowns manageable.

...Her shift away from certain offerings, like read-and-plays and drop-off events, and the themed playgroups and holiday events that consistently sell out.

...The birthday party add-ons that made the biggest difference in profitability.

...How customer feedback shaped her hours and upcoming plans like co-working mornings and homeschool days.

...The vendor and community partnerships that drive real revenue, from bakers and roasters to photographers and local activity providers.

...Her biggest wins and biggest learning moments.

...How her personal workload has shifted — now just three short on-site days a week — and what she’s beginning to delegate.

Jessalyn closes with heartfelt advice for prospective owners: learn from people who have already done it, set boundaries early, and don’t let the business drain the energy you need to run it well.

If you’re planning, opening, or in your first couple of years, this episode is packed with practical insight and honest reflection.

343: Want Your Customers To "Shop Small" Instead Of On Amazon? The Honest Truth (And What You Can Do To Win Back Holiday Sales TODAY)18 nov. 202500:17:56

In this bonus episode, I’m breaking down a tough but important truth about holiday retail: parents aren’t loyal to Amazon—they’re loyal to convenience.

If you want families in your community to “shop small” with your indoor playground or play cafe business, you have to make buying from your business as simple and friction-free as possible.

I walk through exactly how indoor playground owners can streamline both in-person and online shopping, including mobile-first website fixes, tap-to-pay checkout, same-day pickup, local delivery, gift guides, and quick fulfillment systems.

When we make shopping with us the easiest option, we win more holiday retail sales—without having to compete on price.

342: Highly Profitable, Low-Lift Holiday Events To Add To Your Calendar (That Are NOT Santa Visits!)14 nov. 202500:45:40

In this episode, I’m sharing the simplest, most profitable holiday events you can add to your calendar — even in the middle of the December chaos. These ideas are designed to increase revenue, visibility, and loyalty without overwhelming you or your team.

BLOG for this episode

I talk about why you don’t need to compete with free community events, why age-specific offerings (especially for babies) are incredibly strategic, and how a few thoughtful touches can make small, curated events feel premium and sell out quickly.

In this episode, I cover:

• Why the holiday season feels overwhelming — and how to keep events simple

• Why free events aren’t your competition

• The power of baby-focused and age-specific programming

• How to use small group sizes to your advantage

• High-impact, low-lift event ideas you can run immediately

341: Earn Respect From Your Employees as A Leader With These 10 Important Habits10 nov. 202500:46:13

If you’re already open, you know this — and if you’re getting ready to open, you’re about to find out: managing a team is one of the hardest, most complex, and most draining parts of running an indoor playground or play café.

In this episode, I’m sharing 10 leadership habits that have helped me earn the respect and trust of my team — not because they had to follow me, but because they wanted to. These are lessons I’ve learned the hard way over the years, adapted specifically for our unique industry where most employees are part-time, often young, and juggling a lot outside of work.

I’ll walk you through how I:

  • Model the behavior I expect
  • Communicate clearly and address issues early
  • Listen to my team and act on their feedback
  • Take ownership publicly and coach privately
  • Empower instead of micromanage
  • Recognize wins that build morale
  • Stay calm when chaos hits
  • Stay fair and consistent
  • Invest in my team’s growth, even if they won’t stay forever
  • Lead with humility and openness

Because leadership in this industry isn’t about barking orders — it’s about setting the tone, building trust, and creating a culture that runs smoothly even when you’re not in the room.

If you’re ready to create that kind of team — one that respects you, supports each other, and helps your business grow — this episode is for you.

340: Checking in With Sunshine Play Cafe Owner Sarah Kobin 1 Year Later On What's Worked and What Hasn't After 18 Months In Business04 nov. 202500:52:33

In this episode, I’m catching up with play café owner Sarah Kobin, who I first interviewed about a year and a half ago when she was still in the early opening phase of her business.

Now that she’s been open for 18 months, Sarah shares what’s changed — from which revenue streams performed best (and which didn’t) to how her team, systems, and daily operations have evolved.

We talk about what’s surprised her most since opening, what she’d do differently if she could start over, and how her role as the owner has shifted as the business has grown.

If you’re curious what the first full year of running an indoor playground really looks like — the wins, the lessons, and everything in between — you’re going to love this follow-up conversation.

339: The Hidden Risks of Joining a Play Café Franchise28 oct. 202500:40:53

In this episode, I’m breaking down the truth about play café and indoor playground franchising — and why this model has failed to deliver lasting success for most owners, outside of what you may see on social media.

I’ve worked with countless franchisees who believed joining an established concept would simplify their startup journey, only to discover overwhelming fees, lack of flexibility, and corporate systems that didn’t fit their local markets.

In this episode, I share real examples of owners who struggled under these agreements and explain the key red flags to watch for if you’re researching a franchise opportunity (and we get VERY specific!).

You’ll learn:

• Why big national brands like The Little Gym or Goldfish Swim School can make franchising work — and why smaller ones rarely can.

• The financial math behind royalties, marketing fees, and hidden costs.

338: Whether You Sell or Liquidate, Every Play Cafe Needs an Exit Plan (Here's The Why and HOW)20 oct. 202500:37:14

At some point, almost every play cafe owner will exit their business — whether it’s by selling, transitioning to a new owner, or closing and moving on to the next chapter. It’s a natural part of the business lifecycle, but it’s something most of us don’t think about until we have to.

In this episode of The Profitable Play Podcast, I’m breaking down what it really means to sell your indoor playground or play cafe business versus liquidating it — and how to know which option makes the most sense for you.

If you’ve ever wondered what your exit strategy could look like — whether that’s years down the road or something you’re actively considering now — this episode will help you start preparing your business to be both sellable and sustainable.

Watch this episode on YouTube instead

Read This Info On The Blog

Here’s what I’ll cover inside:

  • Why some owners choose to sell versus liquidate
  • What a buyer is actually purchasing when they buy your business
  • What liquidation really looks like — and when it might be the right move
  • How to prepare financially, legally, and emotionally for either scenario
  • Why building a “sellable” business now makes it far more scalable long-term

I’ll also walk you through practical steps to get your finances, systems, and lease ready — so you can protect your investment, reduce your stress, and keep every possible door open for your future.

Whether your business is thriving or you’re simply feeling the weight of ownership right now, this conversation will give you the clarity, confidence, and next steps you need to move forward intentionally and on your own terms.

Thinking about opening a play café or indoor playground business? Or maybe you already own one and want to be sure you’re legally protected? Understanding trademark protection and cease and desist letters is essential for both new and current owners.

In this episode, I sit down with my lawyer to get clear, practical answers to the most common legal questions play café and indoor playground owners face, including:

...What a cease and desist actually is (and how it differs from a lawsuit)

...The right steps to take if you ever receive one

...Whether or not you should share cease and desist letters publicly

...What types of names, logos, and phrases are trademark-able

...If and when you should file your own trademarks to protect your business

...The potential consequences of sending meritless or false cease and desist letters

Whether you’re still in the business planning phase or already operating your play café and want to protect yourself legally if you ever receive a cease and desist, this conversation will give you the knowledge you need to safeguard your brand, avoid costly mistakes, and move forward with confidence.

As indoor playground owners, we didn’t open our spaces to spend nights chasing late payments or answering 10pm DMs. We opened to build community and have time with our families.

That balance is possible—with automation.

In this episode, I’m sharing 10 sales automations you can set up THIS week to recover lost bookings, increase revenue, and free up your time, including:

  • Abandoned cart emails & texts
  • Evergreen social media ads
  • Exit pop-ups & nurture sequences
  • Chatbots for off-hours
  • Party follow-ups, win-back campaigns & renewal reminders
  • Upsells & review requests
  • MUCH more!

These automations plug the leaks in your funnel so you stop losing sales—and stop choosing between being present at work or at home.

332: Thriving Through Your First Months Of Indoor Playground Ownership With Jan From Kinderland25 août 202501:06:46

In this episode of The Profitable Play Podcast, I share a recorded coaching call with Jan from Kinderland Play Cafe in Hendersonville, TN that covers the exact questions so many indoor playground and play café owners face when setting up their systems and preparing their business for growth—or even a future sale.

My guest’s long-term plan is to eventually sell their business, so every decision they make now is with that end goal in mind. During our conversation, we dig into:

  • How to realistically set up and enforce cleaning procedures with staff so you don’t need to rely as much on outside cleaners
  • When and how to delegate customer communication—whether that’s email or social media messages—without losing control
  • Whether to implement different pay grades for staff, and how that impacts team harmony
  • Handling tricky operational details and bottlenecks that present themselves as you go through your first weeks and months of operation
  • How to navigate software costs and adjustments as your customer base grows
  • And finally, how to streamline the entire party booking process—from the initial reservation all the way through confirmations, reminders, and follow-ups

If you’re in the trenches of creating processes, figuring out how much to delegate, or looking to build a business that’s scalable and eventually sellable, this episode is packed with actionable advice.

329: Summer Revenue Rescue for Indoor Playground Owners (Even WITHOUT Summer Camps)19 mai 202500:45:35

If you’re listening in real time, you know that summer is just around the corner—and if your foot traffic or bookings are starting to dip, you’re not alone. This season can catch even the most prepared indoor playground owners off guard. But here’s the good news: even if you didn’t get a summer plan in place months ago, it’s not too late to make a real impact on your revenue.

In this episode, I’m sharing creative, actionable, and low-lift ways to boost income quickly—even if you’re starting from scratch. These are strategies I used myself when we were struggling through slow summer seasons, and they helped us not only stay afloat but thrive.

I’ll walk you through how to:

  • Rent out your unused play equipment for outdoor and at-home parties
  • Offer balloon décor for off-site events, not just birthdays
  • Host preschool and kindergarten readiness camps without needing certifications
  • Fill a big market gap by offering baby-friendly classes and series
  • Launch short-term summer memberships, especially for teachers
  • Add a mini retail section with seasonal essentials and sensory-friendly options
  • Run themed drop-off nights with a summer twist
  • Take your café mobile by popping up at local markets and events
  • Host profitable micro events that don’t require big crowds
  • Open up private rentals for families looking for low-stimulation or exclusive play options

Remember, these don’t all need to be complicated or time-consuming. Many of these ideas can be launched in a day or two using the resources you already have—and just one or two can make a big difference in your bottom line this summer.

If you want help launching any of these ideas fast, be sure to check the show notes for links to free resources and templates inside Play Cafe Academy. And if you’re in Play Maker Society, bring your questions to our next group call and I’ll walk you through them step-by-step.

Don’t let the slower season catch you off guard. Let’s get creative, stay scrappy, and make this your most profitable summer yet.

324: The NICHE Indoor Playground Concept With Karla from Eat and Be Hoopy10 mars 202500:51:34

Considering opening a play space in a mall OR thinking of starting a very NICHE indoor playground concept? Watch this honest interview first!

In this episode, I have the pleasure of interviewing Karla, the owner of Eat and Be Hoopy, a unique business in Vermont.

Karla shares her inspiring journey as a single mother who turned her passion for hula hooping into a brick-and-mortar business. Initially offering classes and parties in clients' homes, she eventually rented a dedicated space to accommodate growing demand, especially during Vermont's colder months.

Karla's business now focuses on hosting parties and activities like hula hooping, art projects, sensory activities, and cooking classes, primarily for children aged three to nine. Located in a mall, her business benefits from foot traffic and a supportive community of small businesses, despite some challenges like space renovations and possible relocation.

Karla discusses her strategic indoor playground location choice, advertising efforts, and participation in mall events to attract families. She also shares her thoughts on seasonal business fluctuations and her plans for growth, including potential expansion to a second location and training someone to assist her.

Join us as Karla reflects on her entrepreneurial journey, the importance of starting small, and her excitement for future growth. Don't forget to check out her Instagram, "Eat and Be Hoopy," linked below, and leave your comments or suggestions for future topics. Thank you for watching!

319: Recorded Coaching Call With Jordan And Alexis, Owners of Play Cafe Nurture To Play13 janv. 202501:02:30

Today I have a coaching call for you to listen in on with business partners Jordan and Alexis of Nurture to Play which is a soon-to-be play cafe in Minnesota.

YouTube video of today's interview:

Jordan and Alexis are deep into the planning phase of their business and back when this was recorded were about to sign their lease so in this call, we talk about things like:

-how to space plan effectively, particularly for a strangely shaped piece of property

-money making square footage versus non money making square footage and when it makes most sense to prioritize each

-optimizing space layout to combat business seasonality and create enough revenue stream options to get through the slower traffic months

-crowdfunding and pre-selling things like memberships and play passes during the build out phase

-business sponsorships and the best way to network with local business owners to get some of your attractions funded through mutually beneficial agreements

-and finally we also touch on something that is unique to Jordan and Alexis’ situation which is that they are actually outsourcing the cafe operation in their business ot another local coffee shop owner

315: Recorded Coaching Call With Playgrounds Play Cafe Owner Natalie Goodall02 déc. 202401:04:17

In today's Profitable Play Podcast episode I have a coaching call for you to listen in on with Natalie Goodall, owner of Playgrounds Cafe and at the time this was recorded Natalie had been open for just under 5 months.

In this call we cover things like:

-how to choose a business focus

-how to maximize the revenue obtained from parties already booked

-how to fill empty party slots

-how to expand your event revenue to other types of events like family reunions, baby showers, nfl watch parties, and more

-how to maximize high-traffic holiday weeks in your business

-how to motivate your staff to sell more, communicate with one another effectively, and work together to move the business forward- even if they are all working different shifts and schedules

And Natalie has a unique perspective because she actually works full time in addition to owning her indoor playground (which is fully staffed for the most part)-- so if you are wondering what working full time while owning a business looks like in real life, this is a great episode to tune into.
