There is SO MUCH that you need to keep in mind at your wedding tasting. Not just choosing what food you like best.  You also have to be aware of other factors like the allergies and dietary restrictions of your guests. An average wedding will include

When couples plan their weddings, many hope that their day is relaxed and stress-free. Many will say the last thing they want is "wedding drama." However, as a wedding planner, part of my job is to choreograph moments of drama or excitement for your guests on the wedding day. This can be done in many different ways, one of them is with wedding music.

In Episode 54, we continue our conversation with Eddie and Caleb, who experienced firsthand the turmoil and drama that comes with wedding planning. With the seemingly never ending pandemic, more and more couples have had to rethink their wedding plans. Health guidelines,  venue restrictions, and vendor flexibility are all obstacles that make it difficult to book and plan a wedding during this time.  Especially for destination weddings, there is a LOT of hesitation for planning a ceremony this far in advance. As I wrote about in Wedding 2022 Trends, backyard weddings have greatly increased in their popularity. If you want a plan wedding that can happen regardless of COVID guidelines, maybe a backyard wedding is your move!  While hosting can seem daunting, you should ask yourself:

It is no secret. After the past two years of pivoting and rescheduling, downsizing, canceling, and social distancing, couples are excited and anxious to finally get married.  There are a ton of couples who got engaged years ago, and are only now getting married.  Consequently, everyone is itching to have their special moment with families and friends.  So today, I am sharing my 2022 wedding trend predictions. 

Vendors are included in this too. Some of us have couples that have been waiting to get married for 2 years, which means they’ve been planning for three!

Suffice it to say, 2022 is going to be an explosive year for weddings. It’s also going to be a reflection of what’s currently happening in society. So, I’m excited to share with you our predictions for trends in 2022. 

These predictions are based on a little research and a lot of observations from what I’m seeing and experiencing in the industry. 

Full disclosure, these are still opinions, and nothing is guaranteed. I’m going to start out by looking at what I predicted in 2021 really quickly and seeing if I think any of those trends will apply in 2022, and then move on to new trends for 2022. 

But I have to make sure I say that you should plan a wedding that YOU want. If you feel pressured to do something because other people are doing it, let them have it. Your wedding is an expression of you and your partner at this moment in time.

So, today we're interviewing a very special personality in the wedding and entertainment industry to get the inside scoop on one of the most recent celebrity weddings, the union of Hollywood socialite Paris Hilton to her longterm boyfriend, Carter Reum.

Rev. Clint Hufft is the officiant to the stars.  Consequently, the ceremony was a social media phenomenon - reporters producing news articles, paparazzi publishing photos, and Peacock TV network broadcasting "Paris in Love," the newest TV production. Whether you’re getting married in the spring, summer, fall, or winter, there will likely be some elements of your day that will be outside. Whether it’s the whole ceremony and reception, or if you just want to take photos in a variety of locations, some part of it will be outside.

Today I’m sharing with you seven tips on how to have the best outdoor wedding, from what to wear to what to plan for, we’re covering it all.

1)     Plan for the worst and hope for the best
2)     Talk through your photo locations and think about back-up locations and permits
3)     Prepare for extended exposure outside – hot or cold.
4)     Order umbrellas
5)     Provide a beverage station with either flavored waters, sparkling waters, champagne or warmed drinks liked mulled cider, hot cocoa, etc.
6)     Incorporate coordinating scarves, wraps, blankets, or jackets
7)     Bring Hot Hands hand warmers for your fall or winter wedding to stay warm – this is also a great tip for engagement photoshoots!

Regardless of where you are in your wedding planning journey, this episode will be helpful for you as you think through how the elements will affect your plans.

Make some rules about who you invite and don’t invite and stick to them. Be consistent with who receives a plus-one, or which kids may attend.

This episode is a follow-up to Episode 36: 6 Things to Do Before You Get Engaged. The time when you become engaged is a roller coaster of emotions. You feel excitement and joy, but possibly also overwhelmed by the many questions people will ask you about your coming nuptials. In today's post, I'm sharing with you what you should think about first, second, and third so that you're able to enjoy the wedding planning and feel in control. 

  1. Enjoy your engagement! Drink that champagne and have fun.
  2. Pick 3 words to describe your dream wedding to guide you through the decision-making process
  3. Pick 3 words to describe how you want to feel during the wedding planning process. These will also help you gain focus when you start to feel overwhelmed. 
  4. Pick 3 goals you want to focus on for the wedding
  5. Discuss your guest list and budget with your partner
  6. Seriously consider hiring a wedding planner!

These 6 items will give you a great foundation to help you tackle all those wedding planning decisions. As long as you keep them in mind, you will be refreshed, relaxed, and ready to party when your wedding day finally arrives.

You're not officially engaged, but you know or hope it's coming soon, so you're looking around, getting some ideas, etc. You’ve been in a relationship for a while, you’ve had the talk, maybe looked at some rings, so you’re just starting to get a feel for this whole wedding planning thing.

NO, I do NOT think you’re crazy. My now-husband and I TOTALLY talked about some of our wedding ideas before we got engaged. We had fun fantasizing and dreaming!

So what should you do now? Below are the five things to do before you get engaged. 

  • Think about your guest list.  
  • Put together a budget range that you’re comfortable spending on the wedding  
  • Decide a part of the country or state where you want to get married.
  • Research and reach out to wedding planners.
  • Look at wedding venues. 
  • Save inspiration to a Pinterest board.

You might think it’s interesting that I’m a wedding planner that chose to record an episode on why someone might not want to work with a wedding planner.

But I think it’s a question that a lot of couples and families grapple with. Who should or should not hire a wedding planner? Why hire a wedding planner? Why do we need one?

What does a wedding planner even do? 

Will they be able to execute the vision we have in our heads?

What will they do that I can’t?

Would I get along with a wedding planner or will they control too much? 

These are all great questions and I’m going to answer them in today’s episode.

I get a little heated in some parts because, as you can imagine, I’m pretty passionate about this topic. 

Also, this is the LAST episode of Season 1 of the Ask the Planner podcast. I’m going to take the next few months to focus on my clients and make sure the wedding season is the best one yet.

NOTES:
Following up on Tip 32, today's last-minute details tips focus on supplies, back-up plans, and contingencies.  

  1. Have some open seats in your floor plan (and know where they are or tell your planner/caterer) in case someone shows up without an RSVP
  2. Put aside sentimental objects that you'd like included with your "details shots" and put them all together for your photographer to shoot at one time
  3. Pack a good emergency/supply kit, which includes tape, fishing wire, needle and thread, extra black socks, floral wire, post-its, sharpies, scissors, bandaids, mints, and dental floss. 
  4. Double-check the weather forecast and see if it's going to affect any of your locations.

Today's last-minute details tip focuses on the where and when.

  1. Tell speakers they have 2-3 minutes for their toast. They'll probably run about 5-7 minutes, but less is always more. Make sure you tell the DJ when they're speaking, too.
  2. Tell all family if you plan on taking group photos with them and when/where that will happen.
  3. Send your timeline for the day to ALL service providers

Floral can take up a big part of your budget, so it's important to ask the right questions at the beginning. These questions include:

  1. What's the setup/take-down feed and what services does it include?
  2. Does this estimate include anyone moving arrangements from one site to another? 
  3. Does this estimate include any vessels to keep or do we need to return them all? If so, by when do they need to be returned?
  4. Are the inspiration images in your proposal accurate in terms of scale or would mine be bigger or smaller?

Today’s topic is important because your food and alcohol take up a huge percentage of your budget. Depending on your total budget, it can be 30-45%!

Putting together your wedding menu and figuring out the logistics of your food, alcohol, and catering can be pretty intricate and requires a lot of thought and attention. This part of your wedding planning takes more than just tasting food and deciding what you like and don’t like. 

Whether you’re searching for a caterer or you’ve already booked one and signed the contract, this episode will give you a lot to think about and help you decide just what kind of meal you want to serve and the type of caterer you want to work with. 

Whether you’re having a rustic backyard wedding or a formal, elegant dinner in a ballroom, all these questions will apply.

Some of these questions I share with you in one of my products in the Resource Shop - the Wedding Vendor Email Templates and Interview Questions. But this episode talks specifically about catering questions.

  • What kind of meal are you serving (formal or casual) and how many guests will there be?
  • What kind of bar are you going to have? Hosted or open bar (where you pay for it), a cash bar (where the guest pays for it), or a combination of the two and for how long?
  • How does the caterer handle tastings and is there a fee to attend one? Also, how many guests may attend?
  • When is the final guarantee due?
  • When is the caterer arriving on the day of the wedding?
  • How will the food be served at cocktail hour?
  • And finally, when picking out your menu, have you chosen a variety of options to satisfy a majority of your wedding guests?

Today’s topic is an important one because your wedding venue affects so much of your wedding planning and your wedding budget!

If you’re near the beginning of your planning, it’s important to ask these questions ahead of time so you get the entire picture. And if you’ve already signed the contract, it’s totally fine. You can make sure you have the answers to all of these questions as you continue your planning so there aren’t any big surprises on the wedding day. 

  • May we store items at the venue prior to our wedding day? And is there a storage fee?
  • At what time are my vendors allowed to access the space to begin setup? I like to arrive no later than 10 am. But if you’re at a property like a hotel, they might try to squeeze in a morning breakfast into the space before your vendors can set up, which might cost you extra if they have less time to set up than they normally would. 
  • Going along with that, if they’re a larger property, ask them how many other events could be happening simultaneously with yours? Do they have multiple weddings happening? If so, how do they space them out? 
  • Is it possible for guests from other parts of the venue (public spaces or other private events) to mix with yours? Maybe there’s a restaurant on the property that’s open to the public, or a swimming pool, or something else. 
  • If you want an exclusive feeling event, you’ll want to avoid this. You also want to make sure the property’s staff can give your wedding enough attention while you’re there.
  • At what time do we and our vendors have to vacate the space? May we store items overnight or do we need to take everything with us that night?
  • Are there noise restrictions we should be aware of? At what time does the event have to end or by when does amplified music need to be turned off?
  • Do you have a floorplan that’s to scale of our event spaces with the number of guests you want to invite that’s similar to what you envisioned in terms of tables?
  • How big is the dance floor with the number of guests we expect and do you think that’s big enough? 
  • Are there service fees on top of any of your venue rental fees? If so, how are they calculated?
  • Do we need to hire a valet service or transportation company or can all of our guests fit in the parking lot?
  • If the venue doesn’t have its own chef or caterer, or you’re allowed to bring in an outside caterer, ask them where does the caterer prep, do they ever need to build a kitchen tent or can they use kitchen space at the venue?
  • What tables, chairs, linens, glassware, china come with the venue rental? And may we see them? 
  • Do you have any exclusive or required vendors, such as caterers, decor, etc.?

Who's excited to plan the "average" wedding of their dreams?! Nobody.

How many times have you read an article that starts with something like, "On average . . . couples spend x amount on their wedding." Or, the average couple spends x amount on wedding flowers or wedding photography. 

I don't know about you, but I'm not excited to plan someone's average wedding. I don't think you've been dying to plan an average wedding either. 

So why should you expect to spend an "average" amount on your wedding vendors? All those inspirational images you're saving on Instagram or pinning on Pinterest were not from "average" weddings. Just saying.

When putting together your budget, ask yourselves, "What are our priorities?" Some couples really value aesthetics, such as stationery, the tabletop, and decor. Others prioritize having a really good live band. It all comes down to what has the greatest impact for you and structuring the budget around that. If you think about it, when you go out for a nice meal, how much are you spending per person with alcohol? Think of your wedding as a nice meal, but you have to pay for the venue, invitations, and even the flowers, tables, and chairs. The costs quickly begin to add up.

According to The Knot, 45% of couples spend more on their budget than they originally planned by $7,000. The best way to avoid this kind of budget creep is to have realistic expectations about your wedding budget - and that doesn't mean using a wedding budget calculator on a website like The Knot or Wedding Wire. In the next set of tips, I'm going to expose the lies behind wedding budget calculators. 

Like Lie #1, A Magical calculator can predict how much you should spend on your wedding. 

I don't care how good their algorithm is or whatever they use to calculate your budget. An online calculator can't accurately predict how much you should spend on each item. There's no one-size fits all.

I use Trello to both communicate with my couples and track all of our tasks. I like Trello because the basic version is free so anyone can use it, and it has a lot of features that make project management and organization fun and super easy. 

You could also do a lot of this with other project management tools like Asana, which I use in my business, or a Google spreadsheet. 

But after you listen to this episode, I think you’re really going to want to switch to Trello.

On average, my couples hire 12-15 service providers, depending on their venue and the level of specialization. These vendors can include the planner, venue, caterer, photographer, hair & makeup, stationer, florist, tabletop rentals, videographer, lighting designer, transportation, entertainment, officiant, cocktail hour musician, ceremony musicians. Some people hire live entertainment acts, food trucks, and even people just to provide ice. That's a lot of coordinating!

There are so many wedding photographers out there. It's hard to know which one will be the best fit for you. In this case, Instagram is your friend. Start with a local hashtag such as #hudsonvalleyweddingphotographer or #newyorkweddingphotographer. Look at people's portfolios and try to understand what you like and don't like about their photos. All photographers have different editing styles. Some like their photos to look lighter and brighter. Others like their photos to be a little warmer. Some like their photos darker and moodier. If you don't know what you like, knowing what you don't like will still be helpful. Interview your top 3 prospects either in person or with a video call. They'll be with you for the majority of the day and capturing your most intimate moments, so you want to make sure you're not just comfortable with them, but love them too.
