Why Garden Designers Shouldn’t Have to Build Their Business Alone24 Sep 202600:17:38

Why Garden Designers Shouldn’t Have to Build Their Business Alone
You can be incredibly talented at garden design and still struggle with the business behind it.
Pricing confidently, finding the right clients, marketing consistently, managing enquiries and making a proper profit aren’t always covered when you learn how to design gardens. That can leave even experienced garden designers feeling as though they are making things up as they go along.
In this episode, I talk about the common business challenges I see garden designers facing and why trying to work everything out alone can lead to undercharging, poor-fit projects and a business that relies entirely on you.

I also share the three foundations of a stronger garden design business:

  • Knowing your numbers and pricing profitably
  • Creating a clear, repeatable client journey
  • Building simple systems that don’t rely on motivation

Finally, I introduce The Garden Designer Collective—a new business support community created specifically for garden designers.

The Collective will include monthly live Q&A sessions, practical tools and templates, focused business themes and a supportive community where you can ask honest questions about pricing, profitability, marketing, lead generation, systems and growth.
It isn’t another garden design qualification or a course to complete alone. It is practical, ongoing support for the business behind your creativity.

The Garden Designer Collective opens on 28 September. The first 25 people to join will secure the founding member price of £67 per month.

Bigger Builds Start with Better Suppliers: Inside Edensteel with The Landscaper's Coach16 Sep 202600:25:02

What actually separates a landscaper who lands bigger, better-paid projects from one who doesn't? Often, it isn't the design work — it's who they know, and what they're willing to specify. In this episode of The Limitless Landscapers Podcast, I sit down with David of Edensteel, the British manufacturer of handmade Corten steel garden features, to talk about building a business through supplier relationships, and why bringing premium materials like steel into your designs can open the door to bigger, more ambitious projects.
Edensteel is a client of mine here at The Landscaper's Coach, and this conversation is exactly why I wanted him on: he's living proof of what happens when a landscaping-adjacent business gets its relationships right — with trade partners, with designers, and with the clients who end up trusting them with statement pieces.

We cover:

● How Edensteel built a business around British-made Corten steel — and what bespoke means in practice

● Why the relationship between a designer and a bespoke fabricator matters more than most people think, and how to build one that works both ways

● What happens between a sketch and a finished piece landing on site

● Why specifying steel — planters, edging, water features — can be the difference between a good project and a genuinely bigger, more profitable one

● How to introduce premium features into your designs with confidence, even if you've never worked with a fabricator before

Can AI Really Quote a Landscaping Job in Minutes?04 Sep 202600:44:43

Can AI Really Quote a Landscaping Job in Minutes? | Ask Willow with Yasmin & Xavier Schaff
If quoting landscaping jobs is eating into your evenings, weekends and family time, this episode is definitely worth a watch.

I’m joined by Yasmin Schaff, founder of Hive Drive Digital and Ask Willow, and Xavier Schaff of Alchemy Landscapes in Melbourne, to look at a new AI-powered quoting assistant built specifically with landscapers in mind.
And this isn't just a conversation about AI — we actually put Ask Willow to the test with a live demo.

🎥 I’d recommend watching this episode on YouTube so you can see exactly how Ask Willow creates a landscaping quote in real time.

Why Ask Willow was created
The idea behind Ask Willow came from a very familiar problem.
Like so many landscapers, Xavier didn't start a landscaping business because he loved sitting behind a computer writing quotes.
Quoting was one of the most frustrating parts of running the business. It ate into evenings and weekends and took time away from being properly present with his family.
They wanted to find a way to get that time back.

That eventually led to Ask Willow — an AI-powered quoting assistant designed to make creating, amending and following up landscaping quotes quicker and easier

In this episode, we discuss:

  • Why quoting is such a huge hidden time cost for landscaping business owners
  • How Yasmin and Xavier came up with the idea for Ask Willow
  • How to set Ask Willow up for your landscaping business
  • How the AI-powered quoting assistant actually works
  • A live demonstration creating a landscaping quote
  • How quickly quotes can be amended when a client changes their mind
  • Why getting quotes back to clients faster can help you win more work
  • The impact Ask Willow has had on conversion rates
  • How it can help landscapers who are running the business, managing jobs, selling AND quoting
  • Its built-in goal-setting features
  • Understanding the true cost of your time
  • Quote follow-up features
  • What's coming next, including plans around job tracking and job costing
  • The wider CRM support available through Hive Drive Digital

One of the things I liked most about this conversation is that this isn't technology for technology's sake.
It's about solving a very real problem in landscaping businesses:
How do you spend less time doing the admin that comes with running the business and more time doing the things that actually matter?
Because saving hours on quoting isn't only about efficiency.
It could mean getting your quotes to potential clients faster, following up more consistently, improving your sales process and ultimately winning more of the right work — while getting some of your evenings and weekends back.
At around £40 per month, it's also an interesting comparison when you calculate what your own time is actually worth and how many hours you're currently losing to quoting.
Willow is an AI quoting tool built by a landscaper, for landscapers. Walk the site, talk through the job, and have a professional branded proposal in your client's inbox before you've left the driveway.
Built on 25 years of real landscaping trade data, Willow protects your margin, catches the line items that slip through, and gives you your evenings back.

Try it free for 14 days — no credit card needed:
And if you're listening on Spotify or Apple Podcasts, I'd definitely recommend heading over to YouTube for this one — seeing the live demo is probably the best way to understand exactly what it can do.
The Limitless Landscapers Podcast is for landscapers, garden designers and landscaping business owners who want to build more profitable businesses, improve their sales and systems, and create a business that doesn't consume their entire life.

Landscaping Sales Pipeline: Turn More Enquiries and Quotes into Paying Clients19 Aug 202600:23:44

Do you know the total value of the live quotes currently sitting in your landscaping business—and how likely they are to turn into paying projects?

Many landscapers assume they need more leads when, in reality, they already have potential work sitting in their inbox, phone notes or quoting system. The real problem is that those opportunities aren’t being tracked, followed up or managed consistently.

In this episode of The Limitless Landscapers Podcast, I’m talking about how to build and manage a simple sales pipeline for your landscaping business.Your sales pipeline should show you exactly where every potential client is—from their first enquiry through to qualification, site visit, quotation, follow-up and final decision.

In this episode, you’ll learn:

● What a landscaping sales pipeline is and why your business needs one

● The difference between an enquiry and a qualified sales opportunity

● The key stages from initial enquiry to confirmed landscaping project

● Why the total value of your outstanding quotes can be misleading

● How to follow up landscaping quotations without feeling pushy

● Why old and dead quotes shouldn’t remain in your pipeline● How poor tracking can create the panic that you need more leads

● The simple information you should review every week

A good sales pipeline doesn’t need complicated software. A clear spreadsheet can be enough, provided you use it consistently and record:

● The client and project

● The estimated project value

● The current stage

● The date of your last contact

● The likelihood of the project proceeding

● The next action and follow-up date

Before spending more money on landscaping lead generation or marketing, review the opportunities you already have.

You may not need another ten enquiries. You might need to manage the ten opportunities already sitting in your business far better.

If your enquiries are spread across your inbox, phone and memory—or you’re sending plenty of quotes but not converting enough of them—book a free 20-minute discovery call with me.

Stop Giving Away Your Time For Free: Should You Charge For Site Visits?31 Jul 202600:23:28

Are free site visits costing your landscaping or garden design business more than you realise?

A “free” visit might be free for the potential client, but it certainly isn’t free for you. Once you include the initial conversation, preparation, travelling, time on site, sharing your expertise and following up afterwards, a one-hour appointment can easily take three hours out of your working day.

This episode was inspired by a recent conversation at my Garden Designers Round Table. One designer shared that she charges £350 for her initial consultation—and people are paying it.

That sparked a much bigger conversation about why landscapers and garden designers are so willing to give away their time, ideas and professional knowledge before a client has made any commitment. In this episode, I explore:

● The true cost of providing free landscaping site visits

● The difference between giving a quotation and providing professional consultancy

● Why charging for initial consultations can improve lead quality

● How a consultation fee can help filter out unsuitable or uncommitted enquiries

● Why paying clients are often more prepared, engaged and committed

● The connection between lead qualification and a healthier sales pipeline

● What to do if you are worried potential clients will not pay

● Different ways landscapers and garden designers can introduce consultation fees

● Why you don’t need to immediately start charging £350

● How to calculate whether free site visits are genuinely benefiting your business

I’m not suggesting that every landscaper should suddenly charge the same fee—or that free quotations should disappear completely.

But offering free site visits should be a deliberate commercial decision, not something you continue doing simply because that is how it has always been done.

Your time, knowledge and experience have value before any physical landscaping work begins.

After listening, review your last five site visits. Calculate how much time they really took, how many resulted in profitable projects and whether your current approach is helping your business—or simply filling your diary.

If you need help reviewing your sales process, client journey, lead qualification or pricing, book a free 20-minute discovery call with me.I help landscapers and garden designers build more profitable, better-organised businesses through practical 1:1 coaching based on real landscaping-business experience—not textbook theory.

Should Landscapers Open a Showroom? The Truth About Growing a Landscaping Business15 Jul 202600:15:07

Should every landscaping business have a showroom?
It's a question that came straight from a listener, and the answer might surprise you.

In this episode of The Limitless Landscapers Podcast, I'm sharing my honest thoughts on whether investing in a showroom is the right move for your landscaping business—and why the real question has very little to do with porcelain displays or paving samples.

Having run an award-winning landscaping business myself, I've dreamt about creating a showroom. But not just any showroom.
I wanted to build a destination. A hub where landscapers, garden designers, suppliers and homeowners could connect, learn, collaborate and do business together.
Because a showroom shouldn't simply display products.
It should create opportunities.

In this episode we explore the difference between opening a showroom because it looks impressive and creating a commercial strategy that generates multiple income streams and long-term business growth.

In this episode you'll learn:

● Whether a showroom is the right investment for your landscaping business.

● Why a showroom is a platform—not a business strategy.

● How to think like a business owner before making major investments.

● The power of creating multiple income streams within your business.

● How a showroom could become a community hub for landscapers, garden designers and homeowners.

● The questions you should ask before committing to a significant business expense.

● Why relationships, collaboration and community can become your biggest competitive advantage.

Whether you're a sole trader, growing a team or planning the next stage of your landscaping business, this episode will help you think differently about growth and where your next investment should be.

Key Takeaway
Don't build a showroom because you think successful landscaping businesses have one. Build one because it supports a clear business model, creates multiple revenue streams and gives your customers and your industry a reason to keep coming back.

What Does it Take to Become the Best at What You Do?01 Jul 202600:23:34

What Does It Take to Become the Best at What You Do?
Everyone wants to be successful.
More enquiries. Better projects. Higher profits. A business that people recommend.
But becoming one of the best isn't about finding a shortcut or having one breakthrough moment.
It's about making hundreds of small decisions over time.
In this episode, I share what I've learned from building businesses, coaching landscapers across the UK and reflecting on what it really takes to achieve long-term success.
We talk about why the businesses that win aren't chasing immediate gratification—they're playing the long game.
In this episode, you'll learn:

  • Why success is built through hundreds of decisions, not one defining moment.
  • Why the best businesses focus on long-term growth instead of quick wins.
  • The importance of investing time into building genuine relationships that create referrals, trust and repeat business.
  • Why great customer service is a competitive advantage that's often overlooked.
  • How having a consistent sales pipeline and a repeatable sales process removes the feast-or-famine cycle.
  • Why systems create freedom, consistency and growth.
  • Why you don't have to do something different to your competitors—you simply have to do it better, more consistently and for longer.

The landscaping businesses that thrive aren't usually the loudest or the cheapest.
They're the ones that turn up every day, improve constantly, look after their customers and keep doing the right things long after everyone else has lost interest.
Success isn't built overnight.
It's built through consistency.

How to Convert More Landscaping Enquiries Without Dropping Your Prices21 May 202600:27:30

Are you getting enquiries but struggling to turn them into signed landscaping projects?

In this episode of The Limitless Landscapers Podcast, I dive into one of the biggest challenges facing landscaping businesses right now: sales conversion.

Many landscapers believe they have a lead generation problem when, in reality, they have a sales process problem. As the market becomes more competitive and homeowners take longer to make decisions, the businesses that communicate best, follow up consistently and build trust quickly are the ones winning the work.

In this episode, I share the practical sales strategies I use with my coaching clients to help them convert more enquiries into profitable landscaping projects without discounting their prices.Whether you're quoting £5,000 patios or £50,000 garden transformations, these simple changes can have a huge impact on your conversion rate, cashflow and confidence.

In This Episode You'll Learn:

✅ Why most landscapers lose jobs before they've even sent the quote

✅ How to qualify enquiries properly and avoid wasting time The question every landscaper should ask during a site visit

✅ Why clients buy outcomes, not paving slabs and patios

✅ How to position yourself as a trusted adviser rather than "just another landscaper"

✅ The secret to creating proposals that stand out from the competition

✅ A follow-up system that helps you win more jobs without being pushy

✅ How to handle common objections around price, timing and competing quotes

✅ The one question that can dramatically improve your close rate

Key Takeaway

The landscapers winning the most profitable projects aren't always the cheapest and they aren't always the best builders. They're the businesses that create the most confidence throughout the buying journey.Improve your qualification process, communication, proposal structure and follow-up, and you'll convert more of the enquiries you're already receiving.

How to Build a Landscaping Business That Doesn’t Rely on You30 Apr 202600:34:38

If you’re looking to scale efficiently, this episode dives into landscaping business systems, automation for landscapers, and proven landscaping business tips UK owners can apply right away. We break down smarter approaches to pricing landscaping jobs, using the right landscaping software UK tools, and improving job management for landscapers so you can save time, reduce stress, and ultimately improve profitability in your landscaping business while setting up sustainable growth.

If your landscaping business feels chaotic, relies entirely on you, and you’re constantly firefighting — this episode is for you.
In this episode of The Limitless Landscapers Podcast, I’m joined by a guest, Yasmin from Hive Drive, who sits at the intersection of tech, automation, and real-life landscaping — and understands exactly what’s really going on behind the scenes in most businesses.
We unpack why so many landscaping businesses lack structure, where systems typically go wrong, and how simple automation (when done properly) can give you back time, reduce stress, and improve profitability.
This isn’t about complicated software. It’s about building a landscaping business that actually supports your life — not one that consumes it.

Key Takeaways

  • Most businesses don’t have a systems problem — they have a clarity problem
  • Software won’t fix broken processes — it will amplify them
  • Simplicity always wins when it comes to systems and automation
  • The goal isn’t just efficiency — it’s freedom
  • Small structural changes can create big improvements in time, stress, and profit

Practical Actions You Can Take This Week

  • Document one repeatable process (quotes, scheduling, enquiries)
  • Identify one area where everything depends on you — and start removing yourself
  • Simplify before you automate — don’t add more tools without clarity
  • Review your pricing alongside your processes (they’re closely linked)

If you’re not sure where to begin, this is a great first step.

Alongside running her business, she is also homeschooling three children — giving her a unique perspective on building systems that support both business growth and family life.
She is the founder of Hive Drive, helping landscaping businesses implement smarter systems, automation, and pricing tools to improve efficiency and profitability and host of the Married to Landscaping podcast.

The Real Reason Your Team isn't Performing17 Apr 202600:18:20

Most landscaping business owners think their biggest challenge is finding good people.

But in reality, the issue usually isn’t the team…It’s the lack of structure, clarity, and leadership around them.

In this episode of the Limitless Landscapers Podcast, I break down why team performance often falls short — and why it’s rarely about capability. Drawing on my experience scaling a landscaping business to 15 staff (and making plenty of mistakes along the way), I share what actually drives a high-performing team.

If you’ve ever felt like:

● You’re constantly answering questions

● Jobs aren’t being done how you expected

● You end up re-doing work yourself

● Or it just feels easier to “do it yourself”This episode will help you understand why — and more importantly, how to fix it.

In This Episode You’ll Learn

● Why team performance is usually a leadership and systems issue

● The most common mistakes landscaping business owners make with their team

● Why unclear roles and expectations create constant problems

● How to stop being the bottleneck in your business

● Simple ways to improve team performance without replacing people

Key Takeaway

Most teams aren’t underperforming.

They’re under-led.When you put the right structure, expectations, and systems in place, performance improves quickly — without needing to constantly chase, fix, or firefight.

Practical Questions to Ask Yourself

● Have I clearly defined what “good” looks like for my team?

● Do my team know exactly what they’re responsible for?● Am I the bottleneck in day-to-day decisions?

● What relies on me that shouldn’t?

If these questions hit home, that’s your starting point.

In This Episode You’ll Learn
• The most common places landscapers underestimate costs
 • Why labour creep quietly destroys project margins
 • The hidden costs of plant, materials, and wasted time
 • The emotional pricing trap that many business owners fall into
 • Simple changes you can make to improve job costing and protect profit

Key Takeaway
A landscaping business rarely struggles because of a lack of work.
More often, it struggles because the work being won isn’t priced profitably enough.
Understanding your true job costs is the difference between being busy and building a business that actually rewards your hard work.

Practical Questions to Ask Yourself
As you listen, think about your own business:
• Do you know your average job margin?
 • Do you track estimated labour against actual labour on projects?
 • Do you review jobs after completion to learn where margins were won or lost?
If the answer is no, that’s the best place to start.

Why Turnover Is Lying to You26 Feb 202600:17:29

Welcome to The Limitless Landscapers Podcast – the show for owner-led landscaping businesses who want more profit, more control, and less stress. I’m Paula - The Landscaper's Coach, and after scaling a landscaping business to 15 staff, winning 38 industry awards, closing it due to unsustainable overheads, and rebuilding a lean, profitable company — I’ve learned this: turnover doesn’t build freedom. Profit, systems, and smart decisions do. And that’s exactly what we talk about here.

In this episode, we dive into a critical issue almost every small landscaping business faces: thinking that high turnover equals success — when it often hides financial weaknesses.

What You’ll Learn in This Episode:

• Why busy, high-turnover landscaping businesses are often the least profitable

• The hidden costs that eat into your margin on every project

• How labour creep, underpriced jobs, and overheads can quietly drain your profits

• The 3 numbers every landscaping business owner must know weekly to truly measure success:

●True job margin

●Monthly overhead break-even

●12-week cashflow forecast

• How to shift your focus from chasing more jobs to improving profitability and control

Why This Matters for You

Many landscaping business owners focus on winning as many projects as possible, but without clear insight into their numbers and cashflow, all that work can leave them exhausted, stressed, and barely profitable. In this episode, I share both my lived experience — scaling a business to 15 staff and 38 awards, then collapsing under overhead pressure — and the patterns I see repeatedly in my clients, so you can avoid the same mistakes.

Actionable Takeaway

Instead of asking, “How do I get more work?” ask: “How profitable is the work I’m already winning?

”Understanding this will help you make smarter decisions, reduce stress, and start building a business that works for you — not the other way around.

From Solo Operator to a Self-Running Landscape Company

If you’re a solo landscaper or owner-operator doing everything yourself — quoting at night, working all day, and still putting out fires — this episode is for you.

In this episode, we break down how landscapers can grow their business without burning out, by shifting from being the business to leading the business. You’ll learn why most landscaping businesses hit a ceiling, how leadership and systems create freedom, and what to focus on before hiring your first crew member.

This episode is all about building a landscaping business that can run smoothly — even when you’re not on-site.

How to Make Confident Business Decisions Without Overwhelm (For Landscapers)24 Jan 202600:19:28

Many landscapers invest in mentoring programmes hoping they’ll bring clarity, confidence and growth — yet often walk away feeling frustrated, overwhelmed, or no better off than before.
In this episode of the Limitless Landscapers Podcast, I share a real message from a former client that stopped me in my tracks and sparked an honest conversation about why generic mentoring programmes don’t always suit landscaping businesses.
We explore the difference between information, advice and true coaching — and why context matters so much when you’re running a landscaping, gardening or garden maintenance business.
This episode isn’t about bashing mentoring programmes. It’s about helping you understand what kind of support actually moves the needle in your business.

What you’ll learn in this episode
● Why so many landscapers feel disappointed after joining big mentoring programmes
● The difference between information, advice and coaching — and why it matters
● Why “being in the industry” isn’t enough on its own
● How lack of personal context can stall progress
● Why confidence, not knowledge, is often the real issue
● How catastrophising stops landscapers from taking necessary next steps
● How to step outside your comfort zone without overwhelming yourself

A practical exercise you can use straight away

In this episode, I also walk you through a simple but powerful exercise I’ve used with clients this week to help them move forward without panic or paralysis.

You’ll learn how to:

● Identify one uncomfortable decision you’ve been avoiding

● Separate genuine risk from imagined worst-case scenarios

● Calm the mental noise that stops you taking action

● Make progress without forcing yourself into drastic or stressful changes

This exercise is especially useful if you’re:

● Struggling with pricing confidence

● Avoiding difficult conversations with clients

● Stuck overthinking your next move

● Feeling overwhelmed by change in your business

Planning 2026 & Taking a Break: How Landscaping Business Owners Can Finish the Year Strong18 Dec 202500:22:43

In this episode, I talk through the two things I’m prioritising in my own landscaping business between now and the New Year: planning ahead for 2026 and protecting my energy by taking a proper break. This episode is specifically for small landscaping business owners and garden designers who want to finish the year feeling organised, financially stable, and clear about what’s coming next.

I share practical, actionable end-of-year planning tips for landscapers, including how to review the past year honestly, identify profitable landscaping jobs, set realistic business and lifestyle goals for 2026, and make simple plans that support both income and work-life balance. We also cover why winter is the ideal time for pricing reviews for landscaping and garden design businesses, and how to confidently adjust prices before the new season starts.

We also talk about the importance of taking a proper break as a landscaping business owner, setting boundaries with clients, switching off over the holidays, and avoiding burnout so you don’t start the new year exhausted. To reduce financial stress, I share my top survival tips for this time of year, including chasing unpaid invoices, improving cash flow, and securing deposits for landscaping and garden design work booked in for next year.

If you run a landscaping, garden design, or outdoor maintenance business and want to head into the New Year with more clarity, better cash flow, and a sustainable plan for 2026, this episode will help you finish the year strong.

Bonus for Listeners: End-of-Year ChecklistTo make it even easier to put these ideas into action, I’ve created a downloadable End-of-Year Checklist for UK landscaping and garden design business owners. It covers:

• Reviewing 2025

• Planning your 2026 goals

• Taking a proper break

• Chasing unpaid invoices and securing deposits

• Key mindset and planning tips

✅ Print it, tick boxes as you go, and finish the year organised, financially secure, and ready for a strong 2026.

Pricing for Profit – Stop Undervaluing Your Services07 Nov 202500:15:53

In this episode, Paula dives deep into one of the biggest challenges in the landscape and garden design industry: pricing your services for profit. Many landscapers and garden designers undercharge because they fear losing clients or compare themselves to competitors. Paula shares practical strategies and mindset shifts to help you finally charge what you’re worth — and feel confident doing it.If you’re ready to stop undervaluing your expertise and start building a truly profitable design business, this episode is for you.

  5. Raise your prices — and see how your ideal clients respond.

Before your next client meeting, increase your quote by 5-10%.Notice how you feel — and how your client reacts. Often, the only thing holding you back from higher profits is your own mindset.

In this episode, I dive into one of the most powerful skills that defines your success in business — decision-making.After recently returning from Thailand and preparing for a big relocation, I’ve been reflecting on how every result we see in business (and in life) comes down to the choices we make — or avoid making.Whether you’re a landscaper running a busy crew or a designer managing client expectations, your ability to make clear, confident decisions will determine your growth, profitability, and peace of mind.

What You’ll Learn

  • Why indecision is often the most expensive choice in business.
  • The key frameworks for making smarter, faster, more confident decisions.
  • How to balance intuition and data when choosing your next move.
  • Lessons from my time in Thailand — and what it taught me about clarity, simplicity, and perspective.
  • How making bold personal moves (like relocating) mirrors the courageous decisions you need to make in business.

Key Takeaways

  • Every result in your business is a reflection of a past decision.
  • Clarity and courage go hand-in-hand — you can’t make good decisions in confusion.
  • Indecision drains energy, time, and opportunity.
  • Sometimes you need distance (or a new perspective) to make the right call.
  • The best leaders create decision frameworks, not just goals.

Action Steps for You

  1. Identify one decision you’ve been putting off — big or small.
  2. Write down what’s holding you back (fear, uncertainty, lack of clarity).
  3. Set a 48-hour deadline to make that decision or delegate it.
  4. Reflect on how it feels to move forward with intention.

Momentum4™ – How Landscapers Build Unstoppable Business Growth

Host: Paula Warman, The Landscapers Coach

In this episode, Paula Warman breaks down two game-changing frameworks designed to help landscapers and trades business owners create consistent growth without burnout: Momentum4™

Paula explains why focusing on just one key action per week is the fastest, most sustainable way to move your business forward. Instead of long, overwhelming to-do lists, you’ll learn how four small but strategic actions each month can transform your business over the course of a year.

👉 Why it works:
• Focus, not overwhelm: One achievable task each week cuts through firefighting and distractions.
• Consistency beats intensity: Small, regular wins outperform unsustainable big pushes.
• The compounding effect: 48 meaningful actions per year = transformational growth.
• Builds unstoppable momentum: Success fuels confidence, energy, and progress.

Paula also shares practical examples tailored for landscapers and trades businesses, including:
• Posting client testimonials and updating your Google profile (Marketing).
• Reviewing cash flow and chasing invoices (Finance).
• Creating job checklists and supplier reviews (Operations).
• Planning seasonal campaigns and booking rest time (Growth & Strategy).

💡Example Monthly Action Plan:
• Week 1: Collect 1 new testimonial (Marketing).
• Week 2: Review cash vs receivables (Finance).
• Week 3: Build a job checklist for staff (Operations).
• Week 4: Identify 1 upsell per job (Growth).

Whether you’re looking to increase sales, streamline operations, or simply regain control of your time, this episode shows how small, consistent steps compound into unstoppable business momentum.

Growth with SEO & Email20 Nov 202400:19:13

This week’s podcast is all about the two of the most powerful tools you can use to take your business to the next level: SEO and Email Marketing. Why these strategies are so effective and how you can make the most of them—without feeling overwhelmed by tech or jargon? Whether you’re a complete beginner or you’ve dabbled before, there’s something here for you.

I’ll start with SEO (Search Engine Optimisation). This isn’t about chasing algorithms or trying to outsmart Google. It’s about making your website work for you, so the right people find you when they’re searching for what you do. I break down the basics in simple steps and share tips to help you improve your rankings, boost your visibility, and get more of the right leads through your digital door.

Then, we shift gears to email marketing—my personal favourite for building real, meaningful connections with your audience. I show you how email can be a game-changer (without actually using that word). From nurturing relationships to encouraging repeat business, emails can help you grow sustainably and stay top-of-mind with your clients. And it doesn’t have to be complicated or time-consuming to get started!

The best part? SEO and email work brilliantly together. Imagine someone finding you online through search, then joining your email list, where you can continue to offer value, share your expertise, and gently guide them towards working with you. It’s like having a sales funnel that runs itself in the background while you focus on what you do best.

Throughout the episode, I’ve shared real-world examples, practical advice, and a few common mistakes to avoid. It’s all about making these strategies work for you—your business, your goals, and your way of doing things. Because when you get them right, they’re not just tactics—they’re long-term investments in your growth.

So, if you’re ready to stop waiting for leads to magically appear and start creating a strategy that actually delivers, this episode is for you. Have a listen, take a few notes, and let’s make growth happen.

Spread the Word: Boost Your Business with Testimonials & WOM13 Nov 202400:22:01

In this week’s episode, I’m breaking down some key strategies to really grow your business using client referrals and testimonials—two massively underrated tools. It’s something that often gets overlooked in favour of flashy marketing tactics, but the reality is, nothing builds trust faster than a recommendation from someone who’s experienced what you offer firsthand. And it doesn’t cost you anything extra. I mean, imagine having people do the promoting for you, simply because they believe in your work that much.

Let’s be honest, getting referrals isn’t just about asking someone to drop your name now and then. It’s about creating a service and experience that people want to share. Think about those businesses you can’t stop talking about—there’s a reason for that. I’m covering exactly how you can make your service so memorable that clients practically become your brand ambassadors.

I also talk about the power of testimonials. But here’s the trick: it’s not just about collecting them; it’s about displaying them in a way that connects with potential clients. It’s easy to have a nice blurb on your website, but if you can use these testimonials as stories that demonstrate real results, it’s a game changer. People love stories—they want to know what you’ve achieved for others like them, not just see a few sentences on a page.

Another focus is on making asking for referrals a natural part of your process. When you wait too long or only ask once, you’re missing out. There’s an art to it, and I’m diving into the best ways to do it without feeling pushy or uncomfortable. The goal is to weave it seamlessly into your interactions so that it feels completely natural—and your clients are more than happy to spread the word.

I also share a few personal anecdotes from my own journey, because I know just how powerful referrals and testimonials have been for growing my own business. These strategies aren’t just theory—they’re real, practical ways I’ve used, and I know they can work for you too. And the best part is, these aren’t time-consuming tactics; they’re just smart business.

Finally, I want you to see referrals and testimonials as not just another tool, but as a core part of building a trusted brand. When clients vouch for you, they give your business credibility that no ad spend can match. So, take these insights, apply them to your own process, and watch the difference it makes.

Remember, growth doesn’t always mean more marketing spend or bigger budgets. Sometimes, it’s just about deepening the trust that’s already there.

Goal Achieved! What Now? Crafting Your Next Chapter30 Oct 202400:16:01

For this week's episode, I’m talking about the feeling you get after hitting a big goal and the mix of emotions that come with it – the elation, the excitement, and sometimes, the inevitable crash afterwards. It's been on my mind a lot these past few days, and I reckon many of you will relate, especially when you've pushed yourself hard to reach something important.

To give you some context, I’ve just wrapped up my first season competing as a natural wellness bodybuilder, meaning no performance-enhancing drugs – which makes the journey tougher, but all the more rewarding. I set four big goals with my trainer 18 months ago: to step on stage and enjoy it, look incredible, stay sober, and win. This weekend, I competed in my second and final show of the season, where I came first in the over-40s and second in the novice category. So, yes! I smashed every single goal I set out to achieve, and that’s a pretty incredible feeling.

But, like in business, hitting those milestones brings its own challenges. Right after the competition, I was buzzing, calling my mum and the kids, and feeling on top of the world. But then, slowly, reality set in. That question of “what’s next?” loomed large, and the doubts crept in. You know the kind – “Was it a fluke? Can I ever look like that again?” It’s fascinating how our minds can try to sabotage us just when we’ve accomplished something we thought impossible.

In both business and personal life, when you’ve reached a major goal, the aftermath can feel like a bit of a come-down. And it’s okay to feel that way! I’ve learnt that it’s important to allow yourself to process these emotions rather than brushing them off. For me, it meant taking a few days to rest, go off-plan with my food, and release those built-up emotions. Once that was done, I could refocus, get back to my routines, and start planning the next chapter.

Today, I’m meeting with my coach to set new goals. I know what I want – to keep competing, to get my pro card – but I need a solid plan to make it happen. And that’s what I encourage all of you to do, too. In business, when you reach a big goal, take time to reset and then start planning your next move with clarity. Having a mentor or a coach can help point out the best steps forward, which is what I aim to do with my clients at TLC. It’s about having someone in your corner who can see things from an outside perspective.

Finally, if you’re feeling a bit stuck after achieving something significant or you’re not sure where to go next, remember that it’s all part of the journey. Recognise your achievements, surround yourself with support, and set those new goals. Growth happens outside your comfort zone, but it doesn’t have to happen alone. So, take that time to reflect, plan, and prepare for your next chapter – because there’s always more to come!

Reflections on 14 Years of Landscaping: One Thing I’d Do Differently23 Oct 202400:25:03

In this week's podcast, I reflect on the past 14 years of running a landscaping business and share one big thing I’d do differently if I could go back. Running a business is full of ups and downs, and looking back, there’s always something you wish you had handled differently, isn’t there?

Aura Landscapes started as a small dream and grew into an award-winning business. Over the years, we’ve transformed countless outdoor spaces, and I’ve learned more than I could’ve imagined when I first started. It wasn’t always smooth sailing, though. In fact, there were some tough lessons along the way, and I’ve realised that one of the biggest improvements I could’ve made early on was putting systems and processes in place right from the start.

The one thing I’d do differently? I’d have put systems in place from day one. I can’t stress enough how important it is to have the right processes and structure from the start. In those early days, we were winging it, and while it worked to an extent, it led to a lot of unnecessary stress and firefighting. If I had the knowledge I have now, I would have spent more time building a solid foundation with clear systems to manage everything from client enquiries to project execution.

Another thing I touch on is the power of understanding your numbers. Financials are the backbone of any business, but in the early years, I wasn’t as on top of it as I should have been. Cash flow forecasting, pricing correctly, and making data-driven decisions can make or break a business. I share how we eventually turned things around, but it would have been far smoother if I’d focused on this from the get-go.

And that’s not all—having the right team around you is absolutely key. In the early days, I was trying to do it all myself. But as the business grew, it became clear that I needed the right people in the right roles. Finding and trusting the right team members took time, but it made such a difference. Once you have a solid team who believe in the vision as much as you do, it lightens the load and helps the business move forward more smoothly.

Whether you’re just starting out or have been in the game for years, you’re always evolving, and so is your business. The key is to stay open to change and growth, even if it means admitting that you didn’t get it perfect the first time around.

To wrap things up, I leave you with this: no matter where you are in your journey, remember that it’s never too late to make changes. If you’re feeling overwhelmed, step back and take stock. What’s the one thing you’d do differently if you could start again? That’s where your next step lies.

In Business Mindset Matters16 Oct 202400:22:29

In this week’s podcast episode, I talk about one of the most important keys to success: mindset. If you’re not in the right headspace, it doesn’t matter how hard you work – you’ll keep hitting the same walls. So, if you want to make real progress in your business and life, you’ve got to start by working on what’s happening up here (points to head).

I share personal stories about the power of mindset and how it has shaped my own journey. Whether you’re trying to grow your business, smash through fitness goals, or tackle personal challenges, it all comes down to your thinking. I talk about how, when I changed my mindset, everything else followed – from my business results to my health. It wasn’t an easy switch, but it was worth it.

How to start shifting your mindset, even if it feels impossible right now? I’ve been there, stuck in that negative loop, wondering why things aren’t working out despite the hard work. But the truth is, sometimes it’s not about what you’re doing, but how you’re thinking about it. I’ll guide you through practical steps to change your inner dialogue and start seeing different results.

I also talk about the importance of having a strong support system. It’s one thing to work on your mindset alone, but having people around you who lift you up and keep you focused is a massive part of the process. I share why it’s crucial to surround yourself with people who believe in you, push you to be your best, and help you stay on track when things get tough. After all, mindset isn’t just about what’s happening in your own head, it’s about who you’ve got around you to support and encourage you.

Now, the connection between mindset and self-belief. If you don’t believe in yourself, who else will? The way you think directly impacts your confidence and your ability to take action. I explain how building a strong, positive mindset creates the foundation for success in every area of life.

I also touch on the common struggles many of us face – self-doubt, fear of failure, and feeling stuck. These are all signs that your mindset needs a reset. I give tips on how to turn these obstacles into opportunities for growth, so you can stop holding yourself back and start moving forward with confidence.

So, if you’re ready to take control of your mind and see the results you’ve been dreaming of, start mastering your mindset today.

Growth only Happens Outside Your Comfort Zone09 Oct 202400:26:06

In this week’s episode, I talk about something I know resonates with so many of us – the idea that growth only happens outside your comfort zone. I’ve been there myself, running two businesses and prepping for a bodybuilding competition, all while juggling life’s demands. It’s not easy, but that’s exactly why stepping outside our comfort zones is so important. We can’t expect to grow or reach our full potential if we stay in the same place, doing the same things that feel safe and easy.

Why prioritising is key? We often feel overwhelmed by the number of things we need to get done, but part of pushing beyond our comfort zone is learning how to manage that. It’s about looking at what truly matters in both the short and long term, and giving those tasks the attention they deserve. Yes, some things will be tough, but facing those challenges head-on is what drives progress. There’s no room for growth if we’re constantly putting off the hard stuff!

Mindset is everything. You can have all the plans and goals in the world, but if your mindset isn’t in the right place, you’ll struggle to push past the limits you’ve set for yourself. I share how I’ve worked on this in my own life, especially in my bodybuilding journey. It’s been all about confronting those inner barriers and knowing that stepping into discomfort is part of the process – whether it’s lifting heavier weights or taking bold steps in business.

But let’s not forget the importance of rest. We tend to think that pushing ourselves non-stop is the only way to grow, but that’s not true. There’s a fine line between pushing yourself and burning out. I talk about how taking a step back to rest and recharge isn’t a setback – it’s essential. You’ll be amazed at how much more energy and clarity you have after giving yourself the time to breathe. This is part of getting uncomfortable too – accepting that rest is productive.

We can’t also overlook the importance of a support system. As a coach, I know how important it is to have the right people around you. Having a mentor, a coach, or a supportive community, or others who can push you, guide you, and lift you up is absolutely critical to success. Growth might happen outside your comfort zone, but that doesn’t mean you have to do it alone. Surround yourself with those who believe in you, and you’ll be amazed at how much further you can go.

Moreover, it’s important as well to get comfortable with saying “no” or stepping away from things that don’t serve your growth. We’re conditioned to think we have to do it all, but real growth comes when you focus on the right things. Whether it’s in business or personal life, sometimes the hardest step is learning to let go of what’s holding you back, even if it feels safe or familiar.

So, let me leave you with this: the challenges you’re facing now are part of your story. They’re not permanent, and they’re definitely not a sign that you’re not cut out for this. Keep going, keep pushing, but also, remember to breathe. You’ve got this!

Pitch & Prosper: Sales, Investment & Support Strategies for Landscaping Entrepreneurs02 Oct 202400:19:38

In this episode, I'm talking about something super important: SIS – Sales, Investment, and Support. These three areas are absolutely key when it comes to running a successful landscaping business or any business, for that matter. I often get asked how to balance these three, and today, I’m here to break it down for you. We’ll cover why you need to focus on each of them equally, and how they all tie together to push your business forward.

Let’s start with sales – the lifeblood of any business. You’ve got to make sure that you’re bringing in enough work, consistently. But it’s not just about selling any old thing; it’s about selling what’s right for you, your clients, and your business. You don’t want to waste time chasing the wrong kind of jobs. I’ll share some tips on how to ensure your sales process is smooth and effective, making sure every lead counts.

Then there’s investment. And no, I’m not just talking about money, although that’s a big part of it. I’m talking about investing your time, your energy, and yes, your finances, into the right areas of your business. It’s about being smart with where you put your resources to get the best return. I'll walk you through how to prioritise what’s going to give you the biggest impact, whether it’s tools, training, or technology.

Support is often overlooked, but it’s very important. Whether it’s support from your team, your mentors, or even your clients, you can’t do this alone. Building that network around you can make all the difference when things get tough, or when you’re ready to take things to the next level. I’ll explain how to create the right support system, so you’re not just holding things together, but thriving.

I’ve seen far too many business owners focus too heavily on just one of these areas and wonder why they’re not progressing as they should. When you get the balance of SIS right, that’s when the magic happens. Your business starts to flow, and you’ll find yourself hitting your targets without burning out.

So, if you’re feeling like you’re stuck, maybe it’s time to take a step back and evaluate your SIS balance. Once you’ve got that sorted, there’s nothing stopping you from taking your business to new heights.

When Things Don’t go to Plan25 Sep 202400:23:14

In this week's podcast episode, I'm discussing about a topic that hits close to home—dealing with change in business. Now, let's be honest, we all love the idea of growth and progress, but when it comes to change, it can really throw us off balance, can’t it? The truth is, change is inevitable, and whether you're running a landscaping business or doing something completely different, learning to embrace it is key.

I start by talking about why resistance to change is so common. It’s human nature to stick with what’s comfortable, but the problem with that is you end up staying stuck. I’ve experienced this firsthand in both my businesses and personal life. I used to hold on tight to routines and systems, thinking, "If it ain't broke, why fix it?" But when you hold on too tightly, you miss out on opportunities that could really take things to the next level.

One of the biggest lessons I've learned is that sometimes, change comes from the outside—maybe it’s the market shifting, a new competitor popping up, or even something as simple as a client wanting something different. Whatever it is, you have to be ready to adapt. It's all about mindset, right? Keeping an open mind and being ready to pivot can mean the difference between staying ahead or falling behind. And trust me, I know how hard it can be to get out of your comfort zone.

Now, I don’t just talk about business here. I bring this back to personal growth, too. You know I’m into bodybuilding, and prepping for competitions has taught me so much about change and how to handle it. Whether it’s changing my training routine, diet, or even how I handle my rest days, I've had to make adjustments constantly to keep moving forward. It’s about recognising that change doesn’t have to be scary—it can be a powerful tool for growth.

I also share some really useful tips on how to make change easier to manage. It’s all about planning, being flexible, and having clear goals. You’ll hear me talk a lot about goal setting, but that’s because it’s so important. If you don’t have a clear idea of where you’re heading, then change will feel like chaos. When you know your goals, you can break them down and see how change can fit into the bigger picture.

I want to leave you with this thought: Change is going to happen whether you’re ready for it or not. The key is how you respond to it. Will you resist it and let it hold you back, or will you embrace it and let it propel you forward? At the end of the day, growth is about moving through change, not avoiding it. So, let's stop fighting it and start working with it.

Trio of Triumph: The Art of Self Belief & Goal Setting18 Sep 202400:14:37

In this week’s podcast, I am discussing about self-belief, a huge factor in why we either achieve or fall short of our goals. Many of us as business owners often struggle with doubts that have been ingrained in us from childhood or our past experiences. It’s these doubts that can really hold us back. After completing my NLP course recently, which focused on helping clients change their behaviours and set better goals, it’s clear that self-belief plays a massive role in shaping our reality. We can all achieve anything – but it all starts with believing it’s possible for us.

Over the last 18 months, my bodybuilding journey has been a personal example of setting a big, scary goal and learning how to work through those doubts. I decided to compete in bodybuilding to push myself out of my comfort zone, setting myself a huge goal. And it wasn’t just about reaching the finish line – it was about growing, changing habits, and developing as a person. I didn’t set a timeline initially because I had no idea how long it would take, but I surrounded myself with the right people who believed in me and helped me through the process.

Now, when we set goals, it’s important to look at them from three angles. We’ve all got the inner dreamer – the one who comes up with the big, exciting ideas. But then we’ve got the realist, who steps in and asks, ‘How are we going to achieve this?’ And finally, the critic, who looks for gaps and potential challenges in the plan. I’ve used this process in both my personal life and business, and it’s helped me map out realistic and achievable steps to reach my goals. It’s about knowing what’s possible, what habits need to change, and surrounding yourself with the right support.

For me, the realist made me give up alcohol and find a new coach who could push me further. It wasn’t easy, but it was necessary to achieve my goal. The critic in me identified that posing on stage would be my biggest challenge – I’m naturally shy in front of crowds. So, I worked with a posing coach who told me to practise every day, even if just for a few minutes. It didn’t come naturally, but with consistent effort, it’s slowly becoming more comfortable. This is a lesson we can all take into our goals – practice and patience are key.

Now, with just days to go before I step on stage, I can confidently say that my self-belief has grown massively. I didn’t start this journey looking or feeling like a bodybuilder, but through consistent work and support, I’m now ready to go for it. I’ve learned that surrounding yourself with people who believe in you can be a game-changer – and that belief, both from yourself and others, is what can drive you forward.

So, as we head into the last quarter of the year, take some time to review your goals. Think about your dreamer, your realist, and your critic. And remember, if your goals aren’t a little bit scary, they might not be big enough.

Let’s keep pushing towards those dreams!

Cash, Clients and Operations - The Key Indicators in Your Business11 Sep 202400:17:27

In this week’s podcast, I discuss the theme of getting back to school, back to work, and most importantly, back to focusing on your business. With the kids finally settled into their routines, it’s the perfect time for us, as business owners, to take a proper look at where our businesses stand and what needs attention. Whether you’ve got children or not, September is a great time to reflect on the busy summer period and start thinking about the future.

I talk about the three key signs that your business might need some work—cashflow, customer relationships, and operational efficiency, which I like to call the CCO. If your cash flow is struggling, if your customer relationships are tense, and if your operations are inefficient, it’s a clear signal that something needs to change. I share a personal story from my own business, Aura Landscapes, where we faced these exact issues and had to take a step back to reassess and make some tough decisions.

Operational efficiency was a major challenge for us, and it had a domino effect on our cash flow and customer relationships. Jobs were overrunning, customers were getting annoyed, and the whole business felt like it was spiralling. To turn things around, I had to take responsibility as the business owner and work closely with my team, especially my admin superstar, Annmaree. She helped me dig into the data and see where we were going wrong, which led to some major restructuring in our business.

One of the biggest changes we made was downsizing our team to the smallest it’s ever been since we started 14 years ago. It wasn’t an easy decision, but it was necessary to get our cash flow and operations back on track. We also had to communicate openly with our clients about delays and changes, which helped smooth things over. Communication is key, especially when things aren’t going to plan, and it’s something I can’t stress enough.

I also emphasise the importance of knowing your numbers and using cash flow forecasting to make informed decisions. I’ve seen firsthand how liberating it can be for business owners when they finally understand their cash flow and can plan for the future with confidence. It’s not just about making decisions on the fly; it’s about having a clear, real-time picture of your business’s financial health and using that to guide your strategy.

To wrap up, I encourage all of you to take a good look at your business and think about where you might need to put in some work. Remember, it’s not just about keeping things ticking over—it’s about making sure your business is thriving and that you’re on track to reach your goals. If you’ve got any questions or need help with anything, you know where to find me. And on a more personal note, I share a bit about my own recent loss, reminding us all that it’s okay to feel and that business and life are deeply intertwined. So, until next time, keep pushing forward, keep looking after your business, and most importantly, keep looking after yourselves.

The Ultimate Marketing Hack04 Sep 202400:14:00

In this week’s episode of the Limitless Landscapers Podcast, I’m discussing about a powerful marketing hack that can transform your business and make your marketing efforts so much easier. It all starts with one thing – market research. Even though I’ve been in the landscaping industry for nearly 15 years and have a strong background in marketing and sales, I still make it a point to keep my ear to the ground. Doing competitor research and getting to know your potential clients is crucial, no matter how long you’ve been in the game.

You might think you know what your clients want just because you’ve spoken to a few of them, but the truth is, people’s needs and wants change over time. That’s why it’s so important to regularly engage in market research. I realised I hadn’t done this in a while, and with plans to develop TLC in new ways, I’m turning to you for help. I want to get to know you better, understand what you need in your business right now, and provide you with the support and resources that will truly benefit you.

To make this happen, I’ve launched a ‘Feedback for a Freebie’ campaign. I’m asking you to take 10 minutes to fill in a Google form or book a quick call with me. By sharing your insights, you’ll not only help me tailor my content and services to your needs, but you’ll also receive a freebie as a thank you. It could be a coaching session, a template, a masterclass, or any other resource that fits your current needs. This exchange is all about creating value for both of us.

Now, market research isn’t just about gathering information – it’s about using that information to shape your marketing messages so they truly resonate with your clients. By understanding the exact words your clients use and the specific challenges they face, you can create marketing content that speaks directly to them. This removes the guesswork and makes your marketing more effective. It’s a strategy I’m applying not just to TLC but also to my landscaping business, Aura Landscapes.

But remember, market research requires effort. It’s not enough to just ask the questions; you need to really listen to the answers and use that information to improve your products, services, and marketing. This isn’t about surface-level tactics; it’s about going deeper, understanding your clients’ true desires, and then delivering on that. From Stage to Strategy: Bridging Competition Prep and Business Success28 Aug 202400:26:45

In this week’s podcast episode, I talk all about getting the most out of your business by using some proven strategies. I kick things off by talking about the importance of systems and processes in your business. It's not the most glamorous subject, but it’s one of the most essential. I share how having the right systems in place can save you time, reduce stress, and help you deliver a consistent service to your clients. You can’t just rely on memory or a to-do list; you've got to have a proper system that keeps everything ticking along smoothly.

I then touch on the subject of pricing. It’s something I see a lot of people struggle with, but I’m here to tell you that getting your pricing right is important if you want to make a profit and grow your business. I discuss how to approach pricing in a way that ensures you’re covering all your costs while also making a healthy margin. If you’re undercharging for your services, you’re not doing anyone any favours—not yourself, not your clients, and certainly not your business.

Next, I get into the nitty-gritty of client relationships and how to build strong, lasting connections with the people you work with. It’s all about communication, setting expectations, and delivering on your promises. I share some tips on how to handle difficult clients and situations that might arise, and I emphasise the importance of always being professional and maintaining your integrity, even when things get tough.

Moreover, the importance of mindset in business. I talk about how having the right mindset can help you push through challenges and stay motivated, even when the going gets tough. I share some of my own experiences on how to cultivate a positive mindset and keep your eyes on the prize.

Towards the end of the episode, I bring everything together by discussing how all these elements—systems, pricing, client relationships, and mindset—work together to create a strong, successful business. I encourage you to take a step back and look at your own business with fresh eyes, to see where you might need to make some changes or improvements.

So, if you’re ready to take your business to the next level, this episode is for you. Remember, it’s all about taking action and making those small, consistent changes that lead to big results. Let’s get to work and make it happen!

Growth by Design: Buy Back Your Time with Key Hires21 Aug 202400:14:24

For this week's episode, I want to talk about something really important—buying back your time with the right hires. This topic came up in my mastermind group this morning, where we were discussing pivotal moments in business and what we’d do differently if we could start over. We all agreed that hiring the right people, particularly admin and project management staff, is absolutely key to growing your landscaping or design business.

When you first start your business, you’re doing everything yourself—wearing every hat, handling every role. But as you grow, you realise that you need help, and that’s when hiring becomes crucial. The two hires we all agreed on as being the most important are admin staff and project managers. These roles free you up to focus on what you do best—growing the business, bringing in sales, and steering the ship.

I shared my own experience with hiring an admin. For both TLC and Aura Landscapes, having someone I trust in that admin position has been invaluable. It’s one of those things where, in hindsight, I wish I’d done it sooner. My admin, Annmaree, takes care of all the tasks that used to cause me stress and overwhelm—things like invoicing, payroll, and even dealing with client issues. She’s become a barrier between me and the day-to-day chaos, allowing me to focus on the bigger picture.

Overwhelm is something we all face as business owners. It’s easy to get bogged down with everything, and when that happens, you can find yourself either fighting to keep up or wanting to bury your head in the sand. Delegating those anxiety-inducing tasks to someone like Annmaree has made a world of difference for me. She handles the things I used to dread, which has not only reduced my stress but also made the business run smoother.

Another key hire we discussed was a project manager. If you’ve got a team, having a good project manager is worth their weight in gold. They can save you time and money by managing projects more efficiently, keeping things on track and under budget. This not only frees up your time to focus on growing the business but also ensures that everything runs like clockwork.

So, as you think about growing your business, consider who can support you on that journey. Don’t be afraid to bring in the help you need, whether that’s an admin, a project manager, or both. It’s all about making sure you’re using your time wisely and focusing on what really matters. And remember, if you need support or guidance, I’m here as The Landscapers Coach, ready to help you take your business to the next level.

Time or Excuses: Is Your Goal Worth the Commitment?14 Aug 202400:16:37

In this week's podcast, I talk about an ever-important topic of time management and how it ties into achieving our goals. We all struggle with time, don’t we? But the real question is whether we’re making time for what truly matters to us. It’s easy to say, “I didn’t have time,” but is that really the case, or are we just not prioritising what’s important?

Today, I had a bit of a wake-up call. With the six-week school holidays in full swing and childcare practically non-existent, plus Mike being busy on the tools, I was faced with a choice. I could skip the gym because I didn’t have time, or I could get up at 4:30 AM to fit it in before the day kicked off. I’m not a morning person, but my goal of competing in six weeks is so important to me that I made the choice to rise early and get it done. That choice reminded me of how often we let time slip away because we don’t prioritise our goals.

I’ve been thinking a lot about how we prepare for success. It’s not just about setting goals; it’s about making sure we’ve set ourselves up to achieve them. Last night, I prepared everything – my gym kit, supplements, even my coffee cup – so when the alarm went off at 4:30, all I had to do was get up and go. Without that preparation, it would have been so easy to hit snooze and miss the gym, which would have set the tone for a frustrating day.

It got me thinking – are we preparing ourselves in our businesses the same way? Are we setting aside time for the actions that will move us closer to our goals, or are we getting bogged down in day-to-day tasks that don’t actually move the needle forward? It’s so easy to let others dictate our time or to spend our days putting out fires rather than focusing on what really matters.

I also had a productive meeting with Annmaree, my admin superstar, where we tackled some of those necessary but non-goal-related tasks like cash flow and finance agreements. These tasks are important, but they’re not going to push Aura Landscapes to the next level. What will push us forward are the actions I’ve set for myself, like setting up our calendar to start Facebook ads and generating new enquiries.

One thing that’s become clear to me is that we need to be intentional with our time. By mapping out our goals and working backwards to identify the key actions, we can make sure we’re spending our time wisely. It’s not about sacrificing other things but about making sure we’re focused on what truly matters. I’m going to experiment with those early starts, maybe once a week, to see if I can get a few hours of focused work done before the day’s chaos begins.

So, I’ll leave you with this: are you making time for what’s important to you? And are you preparing yourself to succeed? If your goals are truly important, you’ll find a way to fit them into your schedule. And don’t forget, if you want to help you better, fill out this feedback form: https://forms.gle/dESf5TWJ8ne8fziSA. Let’s make sure we’re all moving towards our goals, whatever they may be. Remember, time is what we make of it, and preparation is the key to making it work for us. Let’s smash the rest of August together and make it count!

KISS - Keep It Simple Stupid07 Aug 202400:20:36

For this episode, I want to share a bit about my week. We just got back from a lovely holiday in Devon. The sunshine was out, the location was brilliant, and it came at the perfect time because we had to put our 15-year-old dog to sleep two weeks ago. It was a tough decision, but it was the right one as she was suffering from bone cancer and could hardly walk. It was heartbreaking, but the holiday gave us a bit of a break from it all.

Now we're back, and it's full-on with the school holidays. With two kids at home, it's a bit of a juggle, isn't it? I was chatting with a client who's facing the same struggles. Every year, I tell myself I’ll plan better for this, but here I am again. I want to spend time with my children during their break, but the business doesn’t stop, does it? Plus, we've got a hectic football schedule that doesn’t take a holiday either. But I keep reminding myself that we only have a few more weeks until we get back to some sort of routine.

All this got me thinking about the old sales acronym KISS—Keep It Simple, Stupid. It’s something I used to apply to sales systems, but now I see it applies to life as well. Lately, things have been a bit chaotic with the landscaping business, and Mike and I have had to make some big decisions about how we run things. I keep coming back to the idea of keeping it simple. We've tried all sorts of complex setups with lots of services and staff, but maybe it’s time to strip it back to basics and focus on what truly matters.

I’ve been doing a lot of reflecting lately, especially as Mike and I think about our future. What do we really want out of life? More time together as a family, more simplicity, and definitely more joy. I used to think success meant having the biggest business, making millions, and always striving for the next big thing. But now, I see that my definition of success has changed. I want a life where we’re not just working ourselves into the ground. I want to focus on being healthy, growing our own food, and maybe even having a farm where we can have more dogs and live more self-sufficiently.

It's all about balance, isn’t it? I’m not saying we’re going to up and move to the countryside tomorrow, but I am saying that it’s time to re-evaluate. What do we actually want? How can we simplify our lives to achieve those goals? For me, success is now about having a business that runs smoothly and gives us the life we want without all the stress and hustle. It’s about enjoying our hobbies, spending time with our kids, and just living a life that feels fulfilling.

So, I want to challenge you to think about your own life and business. Are you making things more complicated than they need to be? Are you still chasing goals that don’t really resonate with who you are now? It’s okay to change your mind and to redefine what success means to you. The key is to keep it simple and focus on what truly makes you happy.

RANT: Betrayal & Lies: A Business Owners Life24 Jul 202400:18:07

This week’s episode is a bit different, as I’m dealing with some heavy emotions. Our 15-year-old dog is scheduled to be put to sleep, and it’s been an emotional rollercoaster. We’re trying to make her as comfortable as possible, and she’ll be at home where she feels safe.

Running a business is never without its challenges. Recently, we’ve had issues with employees not showing up to work, taking home essential equipment keys, and being unreachable. It’s been quite stressful, and I’ve reached a breaking point. As a business owner, I’m fed up with being mistreated by employees.

We’ve invested in HR guidance because I believe in outsourcing what you’re not an expert in, to save time and money. But what happens when employees treat you poorly? It feels like there are no consequences for them. For instance, we decided to close down the soft landscaping side of our business, partly due to the resignation of the manager. He tried to poach our employees and emailed himself a copy of our client database after resigning, which is incredibly disrespectful.

I’ve reported this to the ICO, but there’s little I can do unless I catch him using the data. This isn’t the first time I’ve had to send cease and desist letters for similar breaches. It’s infuriating to see employees feel entitled to take what we’ve worked so hard to build.

One of our employees didn’t show up today without any notice, affecting our clients and operations. There seems to be no consequence for their actions, which is unfair. I’ve consulted our HR department, but it’s another layer of frustration for small business owners like us. We want to create a positive environment for our employees, offering decent pay, pension schemes, and career progression opportunities. Yet, we’re often painted as villains.

I’ve faced betrayals before, like when some landscapers set up a competing business while I was in hospital after having my second child. They timed their actions perfectly to exploit our vulnerable situation, demanding a pay rise and manipulating circumstances. This incident still stings, reminding me of the challenges in trusting employees.

Recently, our apprentices need to be placed in different roles because we’re no longer offering soft landscaping. One apprentice wanted to continue as a hard landscaper but then changed his mind without communicating openly. This lack of honesty complicates everything and undermines the trust we try to build. It’s disheartening, especially when you’ve invested so much in building a business and providing for your team.

As business owners, we face countless challenges, but it's how we rise above them that defines our success. While it’s easy to feel disheartened by setbacks and betrayals, remember that our resilience and dedication are what keep our businesses thriving.

If you’ve faced similar struggles or have any thoughts to share, please reach out. We are stronger together, and your stories and support can make a difference.

Overcoming Business Hurdles with Real Life Experience17 Jul 202400:15:47

For this week’s episode, I wanted to give you an update on what’s been happening with Aura Landscapes. Recently, one of our senior team members resigned, which set off a chain of events and decisions. It’s never easy when someone leaves, but it’s essential to adapt and move forward for the business’s sake.

When something like this happens, the first thing I always do is turn to my cashflow forecast. If you don’t have one, you’re not fully in control of your business. The cashflow forecast helps me make informed decisions, especially in times of unexpected changes. Reviewing income, expenses, profit levels, lead generation, and conversion rates gave me a clear picture of where we stand.

After reviewing everything with my admin, Annmaree, it became clear that the soft landscaping and maintenance side wasn’t bringing in the necessary income. So, we decided to close that part of the business as of 5th August. This meant having tough conversations with employees, apprentices, and customers, ensuring we fulfil existing commitments and manage the transition smoothly.

Another super important aspect during times like these is HR. When I started Aura Landscapes, I handled HR myself, but now we outsource it to a professional company. This investment has been invaluable, especially when dealing with resignations, redundancies, and apprenticeships. It ensures we handle sensitive matters correctly and comply with employment laws.

Besides financial and HR considerations, I’m constantly reviewing and improving our systems and processes. This includes everything from daily log sheets to job packs and the overall sales process. Regularly revisiting these processes ensures we stay efficient and continue to improve.

In terms of sales, having a structured process and regular meetings with the team has given me more control and insight. We’re experimenting with different approaches to see what works best, aiming to improve conversion rates and response times. It’s all about finding what fits our business model and helps us grow.

Finally, I can’t stress enough the importance of trying new things. Whether it’s marketing strategies or operational changes, it’s better to try and fail than to never try at all. Business is a continuous work in progress, and learning from both successes and failures is key.

Remember, it’s all about balance. We’re moving forward by focusing on hard landscaping, but the goal is always to support a life we love, not just to hustle endlessly. Keep reviewing your cashflow, consider outsourcing where it makes sense, and constantly improve your processes. I’ll keep sharing updates and insights to help you navigate your own business challenges.

Growth Focus: How You Can Manage Everything & Grow What Matters03 Jul 202400:18:53

Have you caught up with the last two episodes leading to this final part of our trilogy? We aim to help you grow your business, stay focused, and add a bit of woo. Today, we’re discussing the power of focus and managing everything as a business owner. The idea is to set up systems so you can eventually step back from daily operations. Your ultimate goal should be for your business to run smoothly without you, giving you more options for the future, including exit planning.

What you focus on grows. It might sound a bit woo, but it’s true. Focus on something, and it will flourish; neglect it, and it will wither. I’ve seen this proven in my own business, Aura Landscapes. Recently, I started running a weekly sales meeting with my department heads. These brief 45-minute sessions review where we are, where we want to be by month’s end, and the KPIs and activities needed to get there. This consistent focus on sales has led to noticeable improvements, showing that what you focus on indeed grows.

Effective time management, clear goals and prioritised tasks are important. Delegate or outsource tasks whenever possible to buy back your own time for more strategic activities. Effective communication with your team is also vital. Regular meetings and clear communication help maintain a cohesive team.

Implementing systems and processes is key, as is resolving conflicts quickly and maintaining a strong, harmonious team. Regularly review your finances, manage cash flow, and reinvest profits wisely. Financial stability allows you to focus on growth and improvement.

Avoid burnout by maintaining a healthy work-life balance. Adopt a positive mindset and be aware of your self-talk. Focus on joy, happiness, and solutions rather than negativity. This mindset will attract abundance and resilience.

Developing a growth mindset is essential for overcoming challenges. Approach obstacles as opportunities for growth and improvement. Stay positive, focus on solutions, and keep your goals in sight!

Balancing Growth: Self-Development, Accountability, and Business Success25 Jun 202400:13:44

Last week, we discussed two essential elements for personal and business growth: planning and gratitude, specifically gratitude journaling. It was a mix of practical advice and a bit of the "woo" side of things. For part of our three part series, I have another two tips to share with you. Again, there will be a mix of practical advice and a touch of "woo." This time, it’s perhaps less "woo" than last week, but still highly valuable.

1. Utilising Time Pockets

The first topic is about utilising "time pockets" in your day for self-development. This is the "woo" element for today. We all have various things we want to do—meditate, journal, exercise, walk, enjoy nature, read books, and listen to podcasts. However, we often feel overwhelmed and end up doing nothing.

I had a similar experience when I found a webinar on planning. Despite my tendency to sign up for webinars and not attend them, I decided to schedule this one into my day. I knew I would be picking up my kids and taking them to football practice, so I planned to listen to the webinar on my phone while on the go. This made me realise how many pockets of time I had in my day that I could use for self-development.

Here’s how you can identify and utilise these time pockets:

  • Walking to the Gym: I walk to the gym, do my workout, and walk back. During this time, I listen to podcasts about mindset and self-development.
  • Driving or Commuting: Use this time to listen to audiobooks or podcasts. You can even create content or brainstorm ideas.
  • Evening Reading: Before bed, I read one of the books I’m working on, which helps my brain start to wind down.

These small pockets of time add up and can significantly impact your mindset and productivity. Try to find these pockets in your day and fill them with activities that contribute to your personal growth.

2. Keeping Yourself Accountable

The second topic is about the importance of accountability. It’s one of the most practical tips I can share with you. Accountability ensures that you stay on track with your goals and commitments. Without it, tasks often remain undone because no one cares if you don’t complete them.

Here are some ways to hold yourself accountable:

  • Hire Coaches: I have a business coach, a trauma coach, and a personal trainer. I check in with them weekly, and they hold me accountable for my progress.
  • Weekly Meetings: I have regular meetings with my team to discuss our weekly progress, future plans, and any issues that need addressing. We set actions for each person and review them in the next meeting.
  • Public Goals: Share your goals with others. It creates a sense of commitment and makes it embarrassing to back out. This pressure can motivate you to follow through.
  • Daily Check-ins: For specific goals, like my bodybuilding journey, I will have daily check-ins, which will increase to after every meal as the competition date approaches. This intense level of accountability ensures I stay on track.

Accountability stops excuses and keeps you focused. Whether it’s through coaches, team meetings, or sharing your goals publicly, find a way to integrate it into your routine.

The Growth Equation: Mastering Planning, Time and Gratitude in Business19 Jun 202400:17:16

For this episode, I've decided to do a three-part series, focusing on two key things each week. One will be a practical tip you can apply directly to your business, and the other will be a bit "woo" – something to get you thinking outside the box. I believe this combination will help you not only run your business more effectively but also approach it with the right mindset.

First, let's talk about the practical tip: the importance of planning every minute of your day. Now, I know it sounds tedious, but it's something I've recently started doing religiously, and it has made a huge difference. By planning every detail, including meals, gym time, and appointments, you stay focused and realistic about what you can achieve. For example, yesterday I had a packed day with my father-in-law visiting and other errands, but because I planned everything meticulously, I managed to get all my tasks done efficiently. Planning every single minute might sound extreme, but it ensures you make the most out of your time and get closer to your goals.

Now, onto the woo tip: keeping a gratitude journal. Every evening, I jot down what I'm grateful for that day. It might be the same things often, like my family, my business, and my health, but that's okay. Reflecting on why you're grateful helps shift your mindset to a more positive outlook. This positivity can attract more good things into your life. For instance, even on tough days, finding small things to be thankful for – like a nice moment with family or a productive meeting – can make a big difference in how you feel and how you approach the next day.

I challenge you to try both tips this week. Plan your days meticulously and start a gratitude journal. It only takes a few minutes each day, but the impact on your productivity and mindset can be tremendous. You'll find yourself more focused, positive, and ready to tackle whatever comes your way. When you plan every detail of your day, you eliminate the chaos and ensure that you are moving forward with intention. And by practising gratitude, you keep yourself grounded and appreciative of the good things in your life.

Keep pushing forward and stay positive! Remember, persistence and planning are your best friends in business, and a positive mindset will always lead you to greater things.

Mastering Sales and Accountability for Landscaping Success12 Jun 202400:20:53

In this week’s episode, I want to share my interesting journey, starting back in my early days in retail sales and eventually moving up to sales manager in a gym. I loved working in health and fitness, especially with the free access to gym facilities. My career took off there, and I learned a lot about managing staff and hitting sales targets. Fast forward to now, I’m applying those skills to my current business, Aura Landscapes.

Recently, I’ve been working into our figures with Annmaree, our fantastic admin lady. We’ve been analysing profitability by looking at different teams and setting KPIs, which are key performance indicators. These KPIs help us understand how much money each team is bringing in and, more importantly, the profit margins. We’re also looking at job costings to see if we’re staying within budget and how efficient we are.

I’ve noticed that our soft landscaping team, for example, has some inefficiencies. They spend a lot of time driving between jobs, which isn’t billable. To fix this, we’re thinking about better scheduling and possibly changing work hours. It’s all about finding ways to be more efficient without compromising on service quality.

One big change is that I’m stepping back into a more hands-on sales management role. We’ve set up weekly sales meetings every Tuesday with key team members. These meetings are designed to review figures, set goals, and discuss how I can support the team better. It’s about holding everyone accountable and ensuring we hit our targets.

In these meetings, I’ll be asking for weekly job costings, sales figures, and site visit reports. This information will help us track performance and identify areas for improvement. I’m also interested in how many quotes have been sent and followed up on, and the conversion rates from these quotes.

To maximise our efficiency, we’ve also implemented trackers on our vans and a timesheet app. This helps us monitor how time is spent and ensures accurate job costing. It’s crucial for understanding how much time is billable and how much is lost to things like driving.

Marketing efforts are also a big focus. Each team member is encouraged to engage in activities like networking and distributing leaflets. I handle the broader marketing strategy, but their input is valuable for generating new ideas. We’re also working on building our email list and creating referral campaigns.

Overall, I’m excited about these changes. Stepping back into a sales manager role feels right, and it’s essential for driving our business forward. By staying organised, holding regular meetings, and focusing on both sales and profitability, I’m confident we can grow Aura Landscapes successfully. Sales are the lifeblood of any business, and with a clear focus and strategy, we can achieve great things!

Systems: Boring but Essential for Your Business (trust me!)05 Jun 202400:16:21

This week’s topic is about Systems, which might seem boring or overwhelming at first, but they are absolutely essential for running a successful business. I want to share my personal experiences with implementing systems in my landscaping business. Hopefully, this will help you make some positive changes in your own business.

Recently, I hired Nicola De Piazzi, a systemologist, to help me figure out what systems we need and how to implement them. This made the process a bit easier, although there's still plenty of work to do. One key takeaway from Nicola was that many of our business problems are due to a lack of systems. If we document and follow systems, many issues can be prevented.

If you're like me, you might find the idea of documenting all your systems overwhelming. But you’ve got to start somewhere. My advice is to begin by listing all your services and mapping out the process from inquiry to sale. This will give you a basic framework. It’s important to brainstorm with your team about what tasks can be systemised, then develop and test these systems regularly.

Setting aside time each week to work on systems is crucial. It’s not just about creating them; you also need to ensure they are followed by your team. Making systems easy to access and attractive to use is essential. Remember, the goal is for the systems to run the business, while the people run the systems.

Systems are not just about making daily operations smoother. They allow you to step back from the business when needed. Whether it’s taking a holiday or dealing with an emergency, well-documented systems ensure that your business continues to function smoothly in your absence. This is especially important if you plan to grow or eventually sell your business.

One thing to keep in mind is that if your team is constantly asking the same questions, it’s a sign that you need a system in place to address those issues. This empowers your staff to find answers on their own and improves overall performance. It also aligns everyone with the business goals.

Think about the future vision for your business. If you plan to grow and expand, having systems in place is non-negotiable. They make onboarding new staff easier and ensure everyone is on the same page. For me, having systems in place is the only way to achieve my vision of stepping back from the day-to-day operations eventually.

Systems are the key to solving many business problems, growing your business, and achieving a better work-life balance. If you feel overwhelmed or need support, don’t hesitate to reach out. I’m here to help you streamline your operations and take your business to the next level.

Making BIG Decisions in a Small Business22 May 202400:18:19

This week’s episode is about making big decisions in small businesses.

First, a quick update on Aura Landscapes, the business I run with my husband, Mike. We've been doing this for 14 years now, and, as many of you know, it’s been quite a journey. Recently, we've added a skilled landscaper and a new in-house garden designer, also named Mike. We've also taken on a couple of apprentices.

However, not all changes have gone smoothly. We hired another team member who didn't stay long, so Mike had to pick up the extra work. This meant he was working full-time on the tools and often away from home, which affected family time and left him very tired.

It all came to a head recently when Mike said he was fed up with the lack of time to work on the business, spend time with the family, or enjoy his personal interests. He was thinking about cancelling a long-term contract to free up his time. This contract has been a reliable source of income, so his suggestion was quite serious. I advised him to consider all options before making such a big decision.

We thought about different solutions, such as rescheduling jobs to allow for more breaks, sharing work among team members, and focusing on closer projects to reduce travel time. It was important to look at all these options rather than make a quick decision.

We've noticed that growth in our business tends to follow a cycle. It’s like a rollercoaster, both in terms of success and the personal toll it takes. These cycles repeat, often bringing the same challenges until we address the root problems. For us, many of these challenges relate to systems and processes.

We’re currently working with Nicola De Piazzi, a systemologist, to put effective systems and processes in place. The goal is to separate ourselves from daily operations, allowing the business to run smoothly without our constant involvement. This shift will enable us to focus more on planning and strategy, which is essential for long-term growth.

We've also learned from past experiences, like our recent attempt to expand our hard landscaping teams. We quickly realised that adding more teams wasn’t the right move at the time. Instead, we decided to focus on improving our current teams and possibly expanding our soft landscaping team, where we see more potential for manageable growth.

HR and health and safety have also been areas of focus. Outsourcing these aspects to Annmaree has made our hiring process easier and ensured compliance, making growth more manageable.

One of my favourite recent initiatives has been setting KPIs and closely monitoring our numbers. This approach has provided valuable insights into how we can increase efficiency and profitability. Our new garden designer, Mike, has also contributed fresh ideas for improving our systems and processes.

Lastly, I encourage all of you to think about your role within your business and how you can delegate tasks you dislike. This delegation can revive your passion and free up time for strategic planning. Whether you love site visits, like one of my clients, or prefer project management, like my husband, it’s about structuring your business to suit your strengths and interests.

Remember, being a small business owner is incredibly rewarding despite the challenges. You have the power to create the life you want, make impactful decisions quickly, and adapt as needed.
