Today we’re diving into one tiny QuickBooks setting that can make a BIG difference for whether your books make sense, and most people don’t even know it’s there! Did you know there are two accounting methods: Cash basis and Accrual basis?

Cash basis: Income and expenses show up when money moves (you get paid or you pay).

Accrual basis: Income and expenses are recorded when they’re invoiced, not necessarily paid.

Choosing the right method and using it consistently will ensure that your books for calendar months and years are accurate, which is of course always our goal! Also though, using the right method will enable you to compare your months from one year to the next and watch for seasonal patterns.

You have your sales goal now let's figure out how we are going to meet that goal. 

I want you to look at the packages that you offer in your business. Even if you are just working with the average prices of your low, medium and high offers, whether they be packages, products or services.

Then start to play around and calculate how many of these would you need to sell in order to meet your sales goal? 

Step back & ask:

  1. R: Is this realistic? Would you be able to make these sales within the time frame you're looking at?

  2. A: Average dollar per hour? Are you comfortable with the average amount you're earning in an hour?

  3. V: Value reflect your expertise & experience? Gut check? Does it feel like a fair and clean exchange for your level of expertise?

  4. E: Equivalent to competition? How to your prices compare to others in your industry?

Nonprofits have to maintain exceptionally accurate records to answer to their donors and maybe even their board of directors.

Donors sometimes specify how they want their donation to be used. This is called a restricted donation. So good systems are even more important here on the nonprofit side of things.

QuickBooks is still the tool I’d recommend for your bookkeeping, but you’ll also need to use a donor management system.

051 Understanding BOI Requirements: What Small Business Owners Need to Know03 Dec 202400:10:46

By January 1st 2025 businesses need to submit their Beneficial Ownership Information in the form of a BOI report.

This is part of an anti-money laundering effort by the Federal Crime Enforcement Network (FinCEN).

Listen in to hear how this applies to you and whether you need to submit a BOI for your business. Basically businesses that are sole proprietorships do not need to file a BOI and businesses that are LLCs or S-corporations do need to file a BOI.

Businesses that don’t comply by January 1st 2025 are potentially subject to penalties.

You’ll need to provide the name, address, date of birth, and social security number or other identification of those with beneficial ownership of your business.

Check to see if you need to comply with BOI requirements and seek professional guidance if you’re still not sure https://fincen.gov/.

Want to make the most of Black Friday deals? Make sure you follow this strategy for your purchases. Let me show you what I mean!

I want you to start out by making a wishlist. Whether it’s a software, a tool, a new hire, a template or a mastermind, write it down.

Then, go research what the average price of each of your wishlist items is. Sometimes Black Friday sales aren’t really discounts at all so double check!

Next, prioritize your list. You can even do this with a friend so you can talk things out.

Would this purchase buy back some of your time?

Would this purchase lower your stress?

Is this purchase a good fit for you in your business now?

Do you have the cash it might take to skip the payment plans and take advantage of the better deals you’re seeing?

Expect lots of emails the week of Thanksgiving that feel very urgent. You’re prepared for that because you already prioritized your wishlist.

Then, once you buy make sure you maximize the savings that you’re qualifying for on the purchases that you make, for things like: email newsletters, promos, affiliate codes to stack, cash back?

OK - What bank accounts do you need?

I strongly recommend that you open a business checking account that is separate from your personal checking account. Even in you don’t have an LLC yet, do this.

Now, this is optional: It’s a good idea to be able to put some money aside in your business so that’s why I’m going to recommend that you also have a savings account for your business. You probably have goals for your business like hiring someone in the future, purchasing a course, or attend an event, etc. Transfer some money each month from your business checking account to your business savings account so your business can be building up its own safety net.

The Profit First Method would have you open 7 accounts and I can do another episode about that later if you want!

Lastly, you know the perks of a credit card so if that will benefit you in your business go ahead and take advantage of that account as well!

Time to push past your fear of bookkeeping reports! Let’s do this together. OK, want to learn about balance sheets and income statements?

Reviewing both reports gives a complete financial picture — one shows what you have and owe (Balance Sheet), and the other shows how you’re earning and spending (Income Statement).

Your balance sheet tells what you own, owe, what’s left. Key sections of the balance sheet will tell you:

  • Assets: Cash, accounts receivable, inventory, etc.
  • Liabilities: Loans, unpaid bills, etc.
  • Equity: Owner’s equity, retained earnings.

Why review your balance sheet? We’re looking for how liquid you are and your debt to assets ratio.

OK on to the income statement. This report shows your revenue, expenses, and profits or losses over a period of time. Key sections of the income statement will tell you:

  • Revenue: Income from sales or services.
  • Expenses: Costs like rent, payroll, and utilities.
  • Net Income: Profit or loss after expenses.

Why review your income statement? We want insight into the profitability and operational efficiency of your business so you can understand where money is coming from and where it’s going.

Listen to the end for more smart tips on how to evaluate profit margins, control expenses, and identify trends (e.g., comparing month-over-month revenue).

Congratulations on starting your very own business! Today I’m going to explain the basics of bookkeeping so you can keep things clean and simple right from the start.

 

Business Structure:

Identify your business structure. OK, your business is either going to be a sole proprietor, an LLC or an S Corporation. Know this from the beginning so you can pay yourself correctly.

 

Separate Business Accounts:

You definitely want to have a checking account that is separate from your personal checking account. And then you might also want to have a business savings account, too.

 

Profit First Method:

Check into the Profit First method to see if you’re interested in that.

 

Do You Need a Credit Card:

You don’t need to have a credit card. That’s up to you. It depends on what your beliefs are around debt.

 

Bookkeeping System:

Set up a system for your bookkeeping. You can use a spreadsheet at first, but the decide what kind of software might make your life easier.

 

Tracking Your Cashflow:

You need to keep the actual receipts. I bank statement isn’t enough. Set up a routine so you are regularly attending to your bookkeeping and looking at your finances. Understand your cashflow. When is money coming in? When is money going out? What is your budget? And of course, please pay yourself. Make sure that your business supports you!

Hey, bookkeeping besties. Welcome back to the show. I currently have two toddlers. I have a 1-year-old and a 2-year-old, and honestly, a lot of my day feels like I'm just trying to interpret what they're saying.

My 2-year-old for the most part is getting more and more clear, but there are still days where I'm like, "Baby, I'm so sorry, but I have no clue what you're saying to me. Can you point to it? Can you show me? Can you help me out?" And my 1-year-old currently just shouts for things, which is lovely. So you can imagine my house is a little bit crazy and if that's how you feel when you look at your QuickBooks reports or any financial reports, you are not alone.

I lived in the stuck for a while, but after attending a retreat I've finally gotten out of that frustrating place. Since getting out of that stuck place myself, I've found what you need to do to get unstuck and feel passionate about what you are doing again. If you are finding yourself stuck, then I encourage you to listen up and try these tips!

  • Get determined. Sometimes it's as simple as admitting that "it's just time” to get it done!
  • Be ready to be uncomfortable and put yourself out there.
  • Do something different.
  • Find what you are passionate about and do it.

When is it finally going to be time to hire a tax professional for your small business?

 

Well, it depends on:

 

How hands-on you want to be?

How strong your background is in understanding taxes in general?

And of course, what can you afford?

To help you answer these questions I’m excited to introduce you to Bethany Prignano

 

Today we cover:

Estimated taxes and how to know if you might need to pay quarterly taxes in advance. This is pretty hard to the average person to figure this out on their own.

 

When does it make sense to become an S Corp?

In becoming an S Corp owner the savings come from you getting to put yourself on payroll and deduct your wage and payroll taxes as opposed to being an LLC on a schedule C or a sole proprietor where your ending profit is essentially taxed at the individual’s rate and the self employment rate. You just don’t get the benefit of the expense off your wage or payroll taxes.

 

It’s recommended to make the shift from LLC to S Corp when you hit the $45,000 net revenue mark.

 

Common expenses that people forget:

Home office space

Phone cost

Milage

 

Common expenses people aren’t sure about:

Can I deduct beauty expenses?

Can I deduct my coffee if I want to work from a coffee shop?

Can I deduct childcare?

 

We also cover best practices to follow in case you’re ever audited. Always make sure you could explain your expenses. The peace of mind this brings will be well worth it!

031 Prices are up! Is QuickBooks Still Worth the Money?16 Jul 202400:09:15

QuickBooks Raised Their Prices Again. I know; it’s a bummer. But fear not! I’m going to walk you through the changes.

 

Prices are going up about $5 per month per subscription starting August 1st or September 1st.

The transaction fees on accepting payments is also increasing.

 

Even though it seems they increase their prices every 18 months or so, it shouldn’t be a big surprise. Prices are increasing across the board these days. Now, does this price change mean that it’s time to make a change? I’d say that you’d be better off finding another way to recoup the price difference. Listen in to hear how!

Do you love sales calls? I bet your customers can tell if you do! Camie Wilke loves sales calls. She loves that they make us grow as communicators and leaders. I’ve brought Camie onto the show today to talk to us about the number one thing we can do to improve our sales calls, the importance of tone, what kinds of guarantees we can include in our offers and how to incorporate visuals into our sales calls.

Main take-aways:

  • We’re really able to demonstrate to our customers how much we believe in our offer. They can sense our confidence in the tone of our voice. Camie recommends practicing keeping our tone nice and low to express authority and ease. Even if you’re asking a question, trail down with your tone. Try it!
  • Do you believe in your offer? Only sell offers that you 100% believe in. You’ve got to be sure that your offer would be a financial blessing to your clients.
  • One big mistake Camie’s seeing right now is that people are pitching their offers verbally only. Professional visual components to your sales calls really put your customers at ease.
  • What kind of guarantee could you include with your offer? What kinds of guarantees should accompany a high-ticket offer?
  • How can you slow down your pitch, your sales calls and your sales process?

Hey friend! 

Here are the main things that you'll want to consider if you're choosing between Wave and QuickBooks:

Who's been around longer? Wave has been open to the public since 2010, but QuickBooks has been around since 1992.

Wave is now going to be charging for several of their basic offerings like syncing with your bank.

Wave might feel simpler if you've never used a software before and might be a good fit if your business is very small and new.

What kind of robust reports could help you in your business?

How many finance and and expense categories do you need in your business?

How important are app integrations for you?

Finding a bookkeeper who can use QuickBooks will be easier than finding a bookkeeper who can use Wave.

Enough with the back and forth! Are you ready to finally decide between a DIY and a done-for-You Website? 

I’m so glad you tuned  in today to hear my conversation with Kate Hejde of DearKateBrandStrategy.com because she has so many insights to help business owners plan their websites.

So with the question of “Which type of website is right for you?” It comes down to time vs. money. 

With DIY you’re saving money, but spending your time.

And, with done-for-you, you spend money and still have to spend time figuring out your messaging and hiring some or all of the following: copywriter, branding designer, web designer, etc.  

Either way, you still want to understand the back end of your website. Especially at the beginning in your business, you’re still figuring out what your core offers are going to be, so you want to be able to make updates yourself on your website as you make tweaks. 



Kate’s tips for your website messaging:

Be clear about who you serve, how you serve them and why you’re the right choice. 

Put your Location on every page even if you’re not a local business

Can you see yourself and your business from the outside looking in so you can communicate what you do so that others actually click to purchase is different than the way you might simply describe what you do and how you feel about it?

With pricing, are you actually explaining the benefits of what you offer and not just what you offer? 

Use the free version of HotJar so you can actually see how people interact with your website. 

How do you see websites increasing sales? A website, if done well, is your little silent salesperson out in the world, whereas, social media posts are fleeting.
