Hey, friend! Have you noticed that things look a little different around here? Well, we have a new business name and a new podcast look, but the same vision.

082 You’re Not Saving Money if Bookkeeping is Slowing You Down12 Aug 202500:08:39

Most people DIY their bookkeepping to save money right? And here, you'll find lots of episodes where I actually support you DIYing your bookkeeping for a season in, but if you're doing it wrong it might be costing you more than you realize.

As you're weighing the cost of bookkeeping keep these hidden costs in mind:

  • The emotional and mental drain of worrying about your numbers.
  • Errors can cost you money literally if you're paying more taxes that you need to.
  • Messy records make your CPA fees higher.
  • Mistakes in bookkeeping can lead to you making hiring or spending decisions based on faulty information.
  • And don't forget the opportunity cost of all the time you no longer have available to work creatively in your business.

080 - How Long Does It Take to Clean Up My QuickBooks?29 Jul 202500:10:04

Hey, hey, bookkeeping besties! Well, it's summer and we've been traveling a little bit more than we typically do. You know that feeling after a trip when your suitcase sits by the door for a few days? Maybe it's just me and my four kids, but we leave our things a little longer than we should.

Maybe you keep thinking, "ugh, unpacking is going to take forever." And so it just sits there, but then when you finally tackle that suitcase, it only takes a few minutes, and it's done! Well that's what I see when I'm cleaning up QuickBooks accounts. Once we start, it often goes faster and sometimes easier than you'd expected.

Today we're talking about how to figure out what kind of clean-up you're facing and how long it might take you to get it caught up. So let's jump in.

There is zero shame in asking for help. This is what I am exactly here for. I have looked at over 80 QuickBooks files at this point. There is not much that I have not. You are not too far gone, and most of the time I actually find business owners are in better shape than they think they are. Let's hop on a call and we can chat about it so that you can note the best next steps for you. You don't have to figure this out alone. No matter whether your clean-up needs to take two hours or 20 hours, it's just important that you start. You've got this. I'm here for you as your bookkeeping bestie when you need me, and until next time, happy bookkeeping.

079 - Should I Try to Fix My Books Myself or Hire Help?22 Jul 202500:08:31

Hey, hey, bookkeeping besties! Trying to fix your own bookkeeping is a lot like deciding whether to pull your own weeds or hire a landscaper. Both are totally valid at certain stages of life.

I have some clients who have come to me, and just with a little bit of direction, education, and support have done fantastic DIYing of their own bookkeeping. I teach them to clean it up, then catch it up, and then keep it all straightened out.

Actually, one of my very first clients who I taught how to use QuickBooks has circled back around, and now I'm doing full service bookkeeping for her, and when I got back into her QuickBooks, she had kept it up so well.

I want to give you encouragement that it's doable to keep your own books, but I've also seen people with thousands of transactions left to be categorized, no reconciliations done, and a deadline for their tax preparer. They've been really stressed out and they have much more success hiring someone to do it for them. So in both of those scenarios, you just have to know what season of life you're in. We're gonna break this down even more in this episode. Let's dive in!

078 - What Does It Mean That My Books Aren’t “Clean”?15 Jul 202500:07:24

When a bookkeeper tells you your books aren't clean, what does that even mean? Are we in need of a little tidying up or a total deep scrub? Well, in this episode we're gonna break it down so you know exactly what's going on and how to fix it.

It really comes down to how easy or difficult it is to read and rely on your numbers. Hearing that you have "messy books" would just mean that there's probably some red flags, and it's hard to trust your profit and loss statement or any of your other reports.

The good news is that it's fixable and very common. You are not alone if you've ever been told this about your financials.

So let's just run through some most common signs of messy books in this 7-minute long episode!

I offer a clean-up and catch-up service that's done for you, and it'll get things back on track.

No judgment, no shame. I've worked on 80 different sets of QuickBooks at this point, so I've seen it all. I'll show you how to keep moving forward with your nice cleaned-up, caught-up books. If you're ready to hand off the mess that you have created or the issues that you're having, just send me a message and say, "Help, I think my books are messy" and we'll take it from there!

077 - How Bad Is It If I’m Months Behind on My Bookkeeping08 Jul 202500:09:09

Falling behind on your bookkeeping doesn't make you a bad business owner.

You're running your business, wearing a million hats, putting out fires, and sometimes your numbers just take a back seat.

Let's talk about how bad it really is if you're behind, and more importantly, what you can do next.

If you're overwhelmed by how far behind you are with your bookkeeping for the year, or if you feel like there's a lot of things that need to be cleaned up that you don't know how to fix, you don't have to do that alone. My clean-up service is a done-for-you solution to get your QuickBooks caught up, cleaned up, and back on track. We will dive into your files, clean things up behind the scenes, and then send you custom video tutorials, walking you through what we did, what you need to do moving forward, and exactly where your books stand. And then from there we'll give you clear options to either keep doing your bookkeeping on your own and other levels of support so that you can feel really good about keeping your books.

So if the thought of catching up your bookkeeping is stressing you out and overwhelming you, let me take that off your plate. Check out the link in the show notes to learn more.

075 - Stay Caught Up: The Monthly QuickBooks Routine That Actually Works24 Jun 202500:13:39

You know how necklaces somehow tangle themselves just by existing in the same drawer?
Yeah... I’m weirdly good at untangling them. It’s a skill I actually take pride in—probably because I’ve watched a lot of Survivor, and untangling knots under pressure is practically a life skill on that show.

But here’s the thing—we don’t want our QuickBooks to be that tangled mess in the first place.

When you let things pile up—uncategorized transactions, unreconciled accounts, mystery expenses—it’s like throwing all your business finances into a drawer and shaking it up. Then, when tax time or decision time comes you’re stuck untangling a mess that didn’t have to be a mess.

So in today’s episode, I’m giving you a super simple monthly routine to keep your QuickBooks smooth, organized, and totally untangled.

We’ll walk through a 5-step flow—categorize, reconcile, review your numbers, and two things people always forget: tracking mileage and uploading receipts.

If you’re ready for a QuickBooks system that actually works and keeps you caught up in under an hour a month, this one’s for you!

“Each month, run through this checklist:”

  1. Categorize your transactions

  2. Reconcile your accounts

  3. Review your reports

  4. Track your mileage

  5. Upload those receipts

→ “Put this on your calendar—it can be a date with your numbers. Light a candle. Turn on a playlist. Make it part of your CEO routine.”

074 - Use QuickBooks Data to Check If Your Pricing Works17 Jun 202500:14:54

When is the last time you used your actual data to reassess your pricing?

Are you charging enough for what you do?

Are your clients getting the full value?

And more importantly, do you know if your pricing actually supports the kind of income you want to bring home?

That's what I want to help you with today. We're gonna look at how to use QuickBooks data to answer those questions, and I'll walk you through some sneaky costs that might be eating into your profit without you even realizing it.

And, if you're not sure how much you should be taking home or what your sales goal should be to support that, I've got a resource that'll help you. It's called Take Home Target, and I'll tell you more about it in just a bit, but let's jump in!

073 - What QuickBooks Reports Are Actually Telling You10 Jun 202500:17:13

Hey, bookkeeping besties. Welcome back to the show. I currently have two toddlers. I have a 1-year-old and a 2-year-old, and honestly, a lot of my day feels like I'm just trying to interpret what they're saying.

My 2-year-old for the most part is getting more and more clear, but there are still days where I'm like, "Baby, I'm so sorry, but I have no clue what you're saying to me. Can you point to it? Can you show me? Can you help me out?" And my 1-year-old currently just shouts for things, which is lovely. So you can imagine my house is a little bit crazy and if that's how you feel when you look at your QuickBooks reports or any financial reports, you are not alone.

And so in this episode of the QuickBooks Summer Reset Series, we're going to make sense of these confusing reports, your profit and loss report, and your balance sheet. We're gonna break it down in plain English and help you interpret what it is actually telling you about your business and also point out a few red flags that may mean that something is off.

So if you've ever opened a QuickBooks report and thought, "This looks really important, but I have no clue what it's telling me or trying to tell me," this one is for you.

Welcome to part one of the QuickBooks Summer Reset. I often have clients come to me who set up their QuickBooks on their own, and they're like, "Erika, I kind of tapped through the suggested settings, but I don't really know if my QuickBooks is set up right." 070 - What to Do After Sending an Invoice (And Why Most Biz Owners Skip This Part)20 May 202500:10:11

I did some research and found out that you will get paid 33% - 42% faster with automated systems! If that is not incentive enough, to set up automated payment links to your clients I'm not sure what is, because getting paid faster is everything when it comes to managing your cash flow.

Hey, bookkeeping bestie. Do you feel like as a business owner, or even just as a person, that you are constantly following up on things? I feel like that is half of the tasks on my to-do list: making sure that that appointment did get scheduled or that I did actually sign up for the snack to bring to the end-of-the-year school party. All of those types of things we're constantly following up on are starting to pile up, and I am starting to see business owners leaving money on the table when they don't follow up after they send out their invoices.

So a question that I want to ask you today is, "Okay, you've sent the invoice, but are you following through?" So let's get into it!

067 - The #1 QuickBooks Setting Most Business Owners Overlook29 Apr 202500:15:20

Today we’re diving into one tiny QuickBooks setting that can make a BIG difference for whether your books make sense, and most people don’t even know it’s there! Did you know there are two accounting methods: Cash basis and Accrual basis?

Cash basis: Income and expenses show up when money moves (you get paid or you pay).

Accrual basis: Income and expenses are recorded when they’re invoiced, not necessarily paid.

Choosing the right method and using it consistently will ensure that your books for calendar months and years are accurate, which is of course always our goal! Also though, using the right method will enable you to compare your months from one year to the next and watch for seasonal patterns.

Reach me here https://erikamillard.com/contact so that I can talk this out with you and help you choose the right method for your business.

064 - Bookkeeper vs CPA: How Both Work Together to Save Business Owners Time & Money08 Apr 202500:11:03

Understanding the roles of a bookkeeper and a CPA is crucial for business owners and it's super common to get it mixed up so let me make this easy for you!

A bookkeeper's role is day-to day financial tracking, categorizing transactions, reconciling accounts, and preparing financial reports.

A CPA's role is tax preparation, financial analysis, compliance, and strategy.

There will be times when the responsiblities of your bookkeeper and your CPA overlap. This is why it's so important to have an organized bookkeeping system so that your CPA has clean numbers to work from.

Listen all the way through the episode to hear my take on why you need both a bookkeeper and a CPA and what the most efficient and cost-saving work flow would look like!

060 The Easy Way to Price Your Services and Reach Your Sales Goals04 Mar 202500:09:23

You have your sales goal now let's figure out how we are going to meet that goal.

I want you to look at the packages that you offer in your business. Even if you are just working with the average prices of your low, medium and high offers, whether they be packages, products or services.

Then start to play around and calculate how many of these would you need to sell in order to meet your sales goal?

Step back & ask:

  1. R: Is this realistic? Would you be able to make these sales within the time frame you're looking at?

  2. A: Average dollar per hour? Are you comfortable with the average amount you're earning in an hour?

  3. V: Value reflect your expertise & experience? Gut check? Does it feel like a fair and clean exchange for your level of expertise?

  4. E: Equivalent to competition? How to your prices compare to others in your industry?

058 Your Business Wish List: Dream Big & Spend Smart18 Feb 202500:15:31

Have you ever felt like you want to invest in your business but aren't sure where the money will come from? Today I’m teaching you how to prioritize and qualify your wish list, align it with your sales goals and make sure your investments don’t mess with your take-home pay.

We love lists and organization, but we don’t always feel warm and fuzzy around the idea of a budget. So, from now on we’ll refer to our budget as our “business wish list.”

Think of everything you’d love to invest in: new software, a VA, branding photos, courses, coaching, office space, upgraded equipment, etc. We’re just brainstorming here so feel free to think big.

Once you have your business wish list, prioritize the ideas that will generate revenue, save you time, and move you forward professionally.

I hope you accept my challenge to organize your business wish list. DM or tag me on Instagram with your ideas!

056 What I'm Spending Money on in Q1 & How to Feel Good About It04 Feb 202500:13:06

New year, new you! (Even for your business.) I’ve recently been inspired by Mara Kucerik and her transparency about her business spending. Today I’m sharing with you my really intentional spending plan for Q1, how I chose the ways I want to spend on my business, and how I saved for them.

I love to get all of my thoughts down on paper. I make a list of everything I want to buy and I research the average cost.

Here are the ways I’m investing in my business in 4 ways in Q1:

  1. A new team member!
  2. Automation with Beth
  3. Zapier
  4. Rebranding

I’m so excited. I knew exactly how much I would need to save up for the investments I wanted to make this quarter and made sure was ready.

Bottom line, having a list helps. I knew the goal amount of money I should be saving for and it felt fantastic.

I would love to hear from you what you’re investing in this quarter?

055 Is QuickBooks the Right Choice for Your Nonprofit?28 Jan 202500:12:24

Nonprofits receive income through grants and donations as opposed to sales, so and these need to be tracked different.

Nonprofits have to maintain exceptionally accurate records to answer to their donors and maybe even their board of directors.

Donors sometimes specify how they want their donation to be used. This is called a restricted donation. So good systems are even more important here on the nonprofit side of things.

QuickBooks is still the tool I’d recommend for your bookkeeping, but you’ll also need to use a donor management system.

052 5 Valuable Money Lessons Learned in 202410 Dec 202400:13:12

Let me give you a quick update on BOI Reporting. Just this week there have been some developments in the news and it appears that fines will not be issued for not completing BOI reports. I'll keep you posted as new information is released.

OK today I'm sharing the most important money lessons I learned this year:

Lesson 1: Don’t Be Pressured into Making a Buying Decision

Lesson 2: Don’t Buy Something Just Because It’s on Sale

Lesson 3: Always Embrace Delayed Gratification. Purchases that you make for your business will have a bigger impact if you're primed to appreciate them!

Lesson 4: I Spend Too Much. Notice where your overspending happens.

Lesson 5: Don’t Be Tight-Fisted About Money. Being generous in your business feels really good. So, just like with spending, remember moderation is key with saving and giving as well!

051 Understanding BOI Requirements: What Small Business Owners Need to Know03 Dec 202400:10:46

By January 1st 2025 businesses need to submit their Beneficial Ownership Information in the form of a BOI report.

This is part of an anti-money laundering effort by the Federal Crime Enforcement Network (FinCEN).

Listen in to hear how this applies to you and whether you need to submit a BOI for your business. Basically businesses that are sole proprietorships do not need to file a BOI and businesses that are LLCs or S-corporations do need to file a BOI.

Businesses that don’t comply by January 1st 2025 are potentially subject to penalties.

You’ll need to provide the name, address, date of birth, and social security number or other identification of those with beneficial ownership of your business.

Check to see if you need to comply with BOI requirements and seek professional guidance if you’re still not sure https://fincen.gov/.

047 Make the Most of Black Friday Without Overspending in Your Business05 Nov 202400:12:01

Want to make the most of Black Friday deals? Make sure you follow this strategy for your purchases. Let me show you what I mean!

I want you to start out by making a wishlist. Whether it’s a software, a tool, a new hire, a template or a mastermind, write it down.

Then, go research what the average price of each of your wishlist items is. Sometimes Black Friday sales aren’t really discounts at all so double check!

Next, prioritize your list. You can even do this with a friend so you can talk things out.

Would this purchase buy back some of your time?

Would this purchase lower your stress?

Is this purchase a good fit for you in your business now?

Do you have the cash it might take to skip the payment plans and take advantage of the better deals you’re seeing?

Expect lots of emails the week of Thanksgiving that feel very urgent. You’re prepared for that because you already prioritized your wishlist.

Then, once you buy make sure you maximize the savings that you’re qualifying for on the purchases that you make, for things like: email newsletters, promos, affiliate codes to stack, cash back?

There you go. With this strategy you’ll feel confident that you are being smart with your money this Black Friday!

046 Scary Tax Surprises & How to Prepare29 Oct 202400:10:57

1. Unexpected Tax Bills - Receiving a tax bill that’s much higher than expected.

  • Why It Happens:
    • Miscalculating quarterly taxes.
    • Not setting aside enough for taxes throughout the year.
  • How to Prepare:
    • Regularly estimate your tax liability.
    • Set aside a portion of your income for taxes each month.
    • Work with an accountant to ensure you’re paying the correct estimated taxes quarterly.

2. Tax Penalties for Misclassifying Workers - Penalties for treating employees as independent contractors.

  • Why It Happens:
    • Misunderstanding the difference between employees and contractors, or intentionally misclassifying to avoid taxes.
  • How to Prepare:
    • Learn the differences between contractors and employees.
    • When in doubt, consult a tax professional to ensure proper classification.
    • Use IRS guidelines to help clarify the classification rules.

3. Failure to File or Pay Penalties - Penalties that pile up when taxes aren’t filed or paid on time.

  • Why It Happens:
    • Forgetting the filing deadline, not having the money to pay, or simply procrastinating.
  • How to Prepare:
    • Set reminders for important tax deadlines.
    • File your taxes even if you can’t pay the full amount—partial payments help reduce penalties.
    • Work out a payment plan with the IRS if needed.

4. Audits & the Fear of Being Unprepared - The fear of receiving an audit notice and not having your records in order.

  • Why It Happens:
    • Incomplete records, claiming large deductions, or mistakes in your tax return can trigger an audit.
  • How to Prepare:
    • Keep organized and thorough financial records all year round.
    • Double-check deductions to ensure they are accurate and justifiable.
    • Don’t panic if you’re audited—respond promptly and provide the requested documentation.

045 You Have Time with Lissa Figgins22 Oct 202400:34:09

Lissa Figgins is here with us today to help us get to the heart of our issues around time, scarcity, organization and priorities.

We all have 24 hours each day and we all see ourselves as busy. We become reactive with time (and money) instead of acting in charge.

Lissa was quite anxious about time, and just life in general, until she had a little wake-up call in a doctors office one day. What shifted? She worked on finding the inner peace around time that she would need to calm her anxiety.

If you’re anything like her, your busy business is not due to a disordered calendar, it’s due to a disordered heart. And when we get our heart in the right place our time will organize itself.

Multitasking weakens us. It’s our kryptonite. It weakens our focus. Here’s the reminder you need: “You have time.”

We share tips for keeping tabs on our screen time, and stewarding our time as opposed to managing out time.

What mistakes are business owners making everyday with their time? Listen to the end to hear some great tips to avoid these mistakes!

044 What Types of Bank Accounts Do I Need for My Business?15 Oct 202400:08:13

Quick favor… Can you please leave me a review right here? I would really appreciate it!

OK - What bank accounts do you need?

I strongly recommend that you open a business checking account that is separate from your personal checking account. Even in you don’t have an LLC yet, do this.

Now, this is optional: It’s a good idea to be able to put some money aside in your business so that’s why I’m going to recommend that you also have a savings account for your business. You probably have goals for your business like hiring someone in the future, purchasing a course, or attend an event, etc. Transfer some money each month from your business checking account to your business savings account so your business can be building up its own safety net.

The Profit First Method would have you open 7 accounts and I can do another episode about that later if you want!

Lastly, you know the perks of a credit card so if that will benefit you in your business go ahead and take advantage of that account as well!

043 Loved, Not Loved & Learned After One Year of Podcasting08 Oct 202400:11:49

Celebrating our one year anniversary at Get Comfy with Numbers! Let me give you all of the highlights from my first year of podcasting.

As an accountant I don’t get a lot of time to teach about what I do and that’s why I’ve loved sharing this podcast with you. Talking with you each week has helped me hone my signature topics, meet other entrepreneurs and create content that I can use in so many different ways.

It’s been a lesson in consistency to make the time to record, but it’s getting easier.

042 2 Financial Reports Smart Business Owners Review Each Month01 Oct 202400:14:38

Time to push past your fear of bookkeeping reports! Let’s do this together. OK, want to learn about balance sheets and income statements?

Reviewing both reports gives a complete financial picture — one shows what you have and owe (Balance Sheet), and the other shows how you’re earning and spending (Income Statement).

Your balance sheet tells what you own, owe, what’s left. Key sections of the balance sheet will tell you:

  • Assets: Cash, accounts receivable, inventory, etc.
  • Liabilities: Loans, unpaid bills, etc.
  • Equity: Owner’s equity, retained earnings.

Why review your balance sheet? We’re looking for how liquid you are and your debt to assets ratio.

OK on to the income statement. This report shows your revenue, expenses, and profits or losses over a period of time. Key sections of the income statement will tell you:

  • Revenue: Income from sales or services.
  • Expenses: Costs like rent, payroll, and utilities.
  • Net Income: Profit or loss after expenses.

Why review your income statement? We want insight into the profitability and operational efficiency of your business so you can understand where money is coming from and where it’s going.

Listen to the end for more smart tips on how to evaluate profit margins, control expenses, and identify trends (e.g., comparing month-over-month revenue).

My challenge to you: Go run these 2 reports. What do you notice in your business?

  • Is there something wrong that needs to be fixed?  Reach out here!
  • Did you gain any new insights into your business?

I’d love to hear from you so let me know!

040 New to Business? Set Up Your Finances Right from the Start!17 Sep 202400:11:32

Congratulations on starting your very own business! Today I’m going to explain the basics of bookkeeping so you can keep things clean and simple right from the start.

Business Structure:

Identify your business structure. OK, your business is either going to be a sole proprietor, an LLC or an S Corporation. Know this from the beginning so you can pay yourself correctly.

Separate Business Accounts:

You definitely want to have a checking account that is separate from your personal checking account. And then you might also want to have a business savings account, too.

Profit First Method:

Check into the Profit First method to see if you’re interested in that.

Do You Need a Credit Card:

You don’t need to have a credit card. That’s up to you. It depends on what your beliefs are around debt.

Bookkeeping System:

Set up a system for your bookkeeping. You can use a spreadsheet at first, but the decide what kind of software might make your life easier.

Tracking Your Cashflow:

You need to keep the actual receipts. I bank statement isn’t enough. Set up a routine so you are regularly attending to your bookkeeping and looking at your finances. Understand your cashflow. When is money coming in? When is money going out? What is your budget? And of course, please pay yourself. Make sure that your business supports you!

038 The Simple Trick to Catching Most Bookkeeping Errors03 Sep 202400:09:07

Do you know the BEST way to double check if you have errors or duplicates in your bookkeeping? We are going to cover that in this episode & demystify a common term that really confuses people so grab a yummy drink & tune in.

The best way to get started is to do a Bank Reconciliation. This will help you not only catch duplicates and missing items, but also catch FRAUD.

I talked with 2 clients this year who had discovered that a bookkeeper was stealing from them and this is just heartbreaking.

Once again, I’m here to educate you and walk you through it so you can do it yourself!

A Bank Recon is matching bank records to your books:

  1. Gather your documents
  2. Compare your transactions
  3. Look for discrepancies
  4. Resolve issues

I know you’re thinking, “OK but do I really have to do this?”

YES

Errors in bookkeeping hurt your business. It’s a disservice to you if records aren’t correct. And, that’s the whole point of records; you want them to be accurate so you can make smart business decisions and avoid overpaying in taxes if the errors would keep you from counting deductions.

If need help when go to do this in Quickbooks, let’s hop on a call!
