CBL EP 176 The Secret to Repeatable Quality in a Cleaning Business07 Mar 202600:27:34

This podcast is powered by Klean Freaks University.com — where real cleaners build real empires. From mop buckets to million-dollar systems, we teach you how to clean smarter, lead stronger, and scale faster.

In this episode of the Cleaning Business Life podcast, Shannon Miller and Jamie Runco discuss one of the biggest challenges cleaning business owners face: maintaining consistent quality as the company grows.

Many cleaning companies start with the owner doing the work. But once employees are hired, quality can become inconsistent if systems are not in place. Shannon and Jamie explain why repeatable quality is the key to building a real business instead of just creating another job.

The conversation covers the three core systems every cleaning company needs in order to create consistent results for clients.

Key topics include:

• Why cleaning quality often drops when companies start hiring
 • The difference between training and simple shadowing
 • How a structured cleaning order prevents missed tasks
 • Why checklists are essential for consistency and scalability
 • The importance of inspection systems for quality control
 • How repeatable systems allow owners to step back and grow their business

If your business only looks perfect when you personally do the cleaning, this episode will help you understand how to build systems that allow your company to deliver consistent results every time.

Repeatable quality is what turns a cleaning job into a real company.

Episode #57 - Safeguarding (Preventing) Your Cleaning Business from Client Poaching: Strategies and Communication Tips for Cleaning Entrepreneurs20 Apr 202400:25:48

This podcast is powered by Klean Freaks University.com — where real cleaners build real empires. From mop buckets to million-dollar systems, we teach you how to clean smarter, lead stronger, and scale faster.

Have you ever felt the sting of your hard-earned clients being snatched away by the very staff you trained? This week on Cleaning Business Life, Kimberly Gonzalez and I tackle the all-too-common hazard of client poaching and arm you with strategies to fortify your operations. We discuss the importance of sturdy policies like finder's fees and ironclad contracts, sharing personal stories where these tools have been our saving grace. Charging a $2,500 finder's fee isn't about profit—it's a necessary deterrent reflecting the cost of nurturing a new team member. Our experiences underscore why clear boundaries aren't just helpful; they're essential.

As we continue our candid conversation, the focus shifts to preemptive strategies that ensure your business's protection. Imagine a world where late fees aren't a taboo but a standard practice, reminding clients to respect your time and services. Kimberly and I pull back the curtain on the dual finder's fee system, a policy promoting accountability on both ends of the spectrum. We'll also walk you through crafting a cancellation policy that's as much a shield for your business as it is a declaration of your professional standards. Real-life anecdotes bring these concepts to life, illustrating the power of clearly communicated terms and consequences.

Communication is the thread that binds a successful business together, so let's talk about talking. This episode is peppered with insights on fostering genuine connections, the underestimated power of a voice call, and why a Zoom check-in can go a long way. You'll hear how my own commitment to open dialogue has led to delightful moments, from clients gifting baked goods to heartfelt tokens of appreciation. And as a special treat, join in my excitement for the weekend's anticipated chick availability and the pure joy of gardening. Tune in for these heartfelt stories and practical advice, and remember—it's not just about cleaning; it's about building a community that cleans together.

I'll open up about the sting of discovering a trusted lead employee siphoning off clients for years, a revelation that reshaped my approach to business protection. Kimberly Gonzalez joins me, bringing her own tale of deception that underscores the necessity for solid systems and the complexities of non-compete agreements, especially for 1099 workers.

Moving beyond the cautionary tales, we examine the bedrock of any service enterprise: trust and integrity. The character of a leader casts long shadows, influencing culture and success in profound ways. I'll discuss the painstaking process of crafting and regularly updating service agreements, learning from missteps like that infamous cat litter incident, to ensure that your business stands on firm ethical and legal ground. Have you ever wondered what happens when a simple cleaning job goes disastrously wrong? Picture this: a beautiful chandelier crashing to the ground, leading to a staggering $45,000 claim. Join me, alongside the insightful Kimberly Gonzalez, as we unravel the world of liability insurance and the often overlooked, yet vital role it plays in safeguarding your cleaning business. From sharing my nerve-wracking personal stories to discussing best practices, we delve into how to protect your assets and keep both employees and clients out of harm's way.

Safety is no accident, and in this heart-to-heart, we tackle the nitty-gritty of safety protocols, from the handling of hefty furniture to the specific dos and don'ts of product usage on various household surfaces. We've got the lowdown on how to navigate these dangers with care, as well as how to approach cleaning homes that house high-value items with the precision and respect they require.

Wrapping things up, we can't help but chuckle at the oddities of insurance policies, like why your landlocked cleaning business might be covered for marine accidents – go figure! Despite the laughter, we know that the topic of insurance is no joke. We ensure you walk away with an understanding of when it's wise to file a claim, the difference between accidental damage and negligence, and why having an emergency fund can save you from hiking up your premiums. So, why not pull up a chair (carefully, of course) and join our conversation? It's an episode packed with humor, cautionary tales, and indispensable advice for anyone with a mop, a mission, and a business to protect.

This podcast is powered by Klean Freaks University.com — where real cleaners build real empires. From mop buckets to million-dollar systems, we teach you how to clean smarter, lead stronger, and scale faster.

Price increases are a necessary part of running a business, but they can be intimidating. However, if done correctly, they can help you grow your business and improve your bottom line.

The first step in implementing a price increase is to evaluate your current pricing structure. Are you pricing your services competitively? Are you covering all of your costs and making a profit? If not, it may be time to consider a price increase.

When deciding on the amount of the price increase, it’s important to consider factors such as the cost of materials, labor, and overhead. You should also consider the current market conditions and the prices charged by your competitors.

Once you’ve decided on the amount of the price increase, it’s important to communicate it to your customers effectively. Be transparent about the reasons for the increase and emphasize the value that your services provide.

Finally, be prepared for some pushback from customers. Some may be resistant to the price increase, but if you can demonstrate the value of your services and the reasons for the increase, most customers will understand.

That's it for today's episode of Cleaning Business Life. Thank you for listening, and we'll see you next time.

Episode #48 - Dealing with Difficult Clients16 Feb 202400:49:58

This podcast is powered by Klean Freaks University.com — where real cleaners build real empires. From mop buckets to million-dollar systems, we teach you how to clean smarter, lead stronger, and scale faster.

How to Handle Difficult Clients in Your Cleaning Business Like a Pro

Running a successful cleaning business comes with its fair share of challenges, and one of the biggest hurdles is dealing with difficult clients. Whether they’re demanding, expect discounts, request extra services for free, or are outright rude, knowing how to handle these situations professionally can protect your reputation and keep your business running smoothly.

In this guide, we’ll cover effective strategies to manage tough client interactions, set clear boundaries, and maintain professionalism—all while ensuring your cleaning business remains profitable and stress-free.

Understanding Difficult Clients in the Cleaning Industry

Difficult clients come in many forms, and if you’ve been in the house cleaning business long enough, you’ve likely encountered a few. Here are some common types of challenging clients and how to handle them:

1. The Discount Seeker

These clients constantly ask for lower prices, compare you to competitors, or try to negotiate rates. While offering occasional promotions is fine, constantly discounting your services can hurt your bottom line.

✅ How to Handle It:

  • Clearly communicate your pricing and why your services are worth it.
  • Offer service packages instead of discounts to maintain value.
  • Politely but firmly state that you don’t negotiate prices.

2. The “Extras” Expectation

Some clients assume that small additional tasks should be included for free, like washing dishes, organizing, or laundry.

✅ How to Handle It:

  • Set clear service boundaries in your cleaning contract.
  • If a client requests extra services, offer an add-on price list.
  • Reinforce expectations before each cleaning appointment.

3. The Rude or Disrespectful Client

No one likes dealing with rudeness, but unfortunately, some clients can be dismissive, condescending, or outright hostile.

✅ How to Handle It:

  • Stay calm and professional—don’t let emotions dictate your response.
  • Politely remind them of your policies and expectations for mutual respect.
  • If the client continues to be rude, consider terminating the relationship.

4. The Last-Minute Canceler

Cancellations can disrupt your schedule and cost your business money. Some clients make a habit of canceling at the last minute or expecting reschedules without notice.

✅ How to Handle It:

  • Have a clear cancellation policy with fees for last-minute changes.
  • Require deposits for new clients to prevent repeated cancellations.
  • Stand firm on your policies and enforce them consistently.

5. The Constant Complainer
