50 | ChatGPT Took the Stress Out of My Tax Season: A Faster Way to Categorize Receipts and Total Deductions19 Feb 202600:07:11

Tax season used to stress me out every single year.

I would promise myself I’d enter receipts monthly… and then by April or May, I’d fall off. Fast forward to January and I’d be in full panic mode trying to organize everything for my CPA.

This year I tried something different.

In this short episode, I walk you through exactly how I used ChatGPT to:

  • Extract text from receipt photos

  • Categorize expenses by deduction type

  • Organize farm and business receipts separately

  • Calculate totals by category

  • Prep everything for my CPA in about two hours

⚠️ Important: AI can make mistakes. I share how I double-checked everything and why you should never skip verification — especially when it comes to taxes.

If you’re a busy mom entrepreneur juggling farm life, business, and family, this might save you hours during tax season.

What I Did (Step-By-Step)

  1. Took photos/screenshots of all receipts (farm + business kept separate)

  2. Uploaded receipts into ChatGPT (5–10 at a time)

  3. Gave ChatGPT my deduction categories first

    • Example: animal feed, fertilizer, supplies, etc.

  4. Asked it to:

    • Extract title + price

    • Categorize each expense

  5. Copied results into a Google Doc

  6. Uploaded the completed document back into ChatGPT

  7. Asked it to total spending per category

  8. Entered those totals into my bookkeeping software

  9. Sent everything to my CPA

What would have taken hours of manual entry took about two hours total.

Important Reminders

  • AI can make mistakes — always double-check numbers

  • Keep your original receipts (I store mine digitally)

  • Don’t rely on AI blindly for tax-related tasks

  • Verify math before sending anything to your CPA

Taxes require precision.

AI isn’t just for business owners or tech experts. In today’s episode, I’m sharing three real-life ways I use AI as a busy, homeschooling, farm-living mom—and they might surprise you.

These aren’t systems I read in a manual. These are the actual ways I use my AI assistant every day to save time, simplify decisions, and make space for what matters most.

    We’ll talk about:

    • How I use AI to identify wild plants and plan my garden
(Including what herbs to plant with squash, which ones repel bugs, and the surprising mistake I almost made with tomatoes and rosemary!)

    • How I’ve turned ChatGPT into a memory keeper
for storing stories about my mom, recording answered prayers, and documenting the legacy of our farm—so I can turn them into a book one day.

    • Why the new ChatGPT reminders feature is saving my seedlings
(and how it helps me stay consistent with vitamins, Threads posts, and other everyday tasks I’d otherwise forget).

This episode is for you if:

      • You’ve ever felt scatterbrained and wanted a second brain.

      • You wish someone could just tell you what goes with what in your garden.

      • You’re trying to preserve memories or track blessings but don’t know where to start.

      • You’ve got too much on your mind and keep forgetting the little things.

This is the kind of stuff I use AI for every day. No tech jargon. No complicated setup. Just a smart, simple tool that fits right into the chaos and beauty of mom life.

    48 | 3 Ways I Don’t Use AI (and What I Do Instead)23 Oct 202500:13:14

Ever wondered where to draw the line with AI?
In this episode, Samantha shares three specific ways she doesn’t use ChatGPT or AI tools—and how setting boundaries has actually made her business, faith, and family life stronger.

She opens up about the difference between using AI as a helper and letting it think for you, how she protects her authentic voice in writing, and why her kids aren’t allowed to use AI just yet.

If you’ve ever felt torn between using technology to simplify your life and wanting to stay grounded in what’s real—this one’s for you.

✨ In This Episode, You’ll Learn:

    • Why Samantha never lets AI make moral or life decisions for her

    • How to use AI for brainstorming without losing your own discernment

    • Why authentic voice matters more than ever in an AI-driven world

    • The reason she doesn’t let her kids use AI (and what she’s teaching them instead)

    • A practical way to let AI help you start messy—but finish in your own words

💬 The Prompt I Use to Clean Up My Rambling Episodes

(Copy and paste this into ChatGPT whenever you record a messy brain dump or voice note and want to turn it into a clear, podcast-ready script while keeping your real voice intact.)

👉 "I'm going to share with you a very rough draft of a podcast transcript where I just rambled and I want you to take it and without rephrasing or rewording or removing any of my ideas help me clean it up a little bit to where it can be a podcast episode that flows better. But it is super important that you leave all the details and all the ideas intact so that it is my original content."

This is the prompt Samantha used to turn her rough recording for this episode into what you’re hearing today!

    Designated Days for Designated Tasks:

Assign specific tasks (laundry, deep-cleaning, etc.) to specific days. Helps reduce decision fatigue and keeps you on track.

    The One-Minute Rule:

If it takes one minute or less, do it immediately. Prevents little tasks (like putting dishes away or hanging clothes) from piling up. Rotating Chore Charts:

    Resources Mentioned:

Practical Application Suggestions for Homeschool Moms:

    1. Start Your Day with Movement:
Wake up 30-60 minutes before your kids and dedicate this time to exercise, whether it’s a workout video, garage gym session, or stretching.

    2. Hydration Hack:
Invest in a large water jug (e.g., 64 oz) to track your daily water intake. Staying hydrated helps with focus and energy levels during busy homeschooling and business days.

    3. Make Protein a Priority:
Have quick protein options like Fairlife shakes or Orgain shakes readily available. Aim for 100g of protein daily to stabilize energy and regulate blood sugar.

    4. Habit Stack for Success:
Combine health routines with existing habits, such as doing breathwork while your kids eat breakfast or squats during their worksheet time.

    5. Schedule Rest and Recovery:
Block off time to relax and recharge, whether it’s during your kids’ quiet time or a designated afternoon nap. Rest is as important as productivity!

9 | The #1 Way You Are Wasting Time in Your Life and Business (And What to Do Instead)20 Nov 202400:13:04

Do you feel like you’re working hard but not getting anywhere in your business or homeschool life? Chances are, overplanning without execution is stealing your time and leaving you overwhelmed.

    • Why overplanning feels productive but actually isn’t.
    • How to simplify your planning process and stick to what’s essential.
    • My 15-minute weekly planning method to keep your week clear and manageable.
    • The exact ChatGPT prompt I use to create a flexible schedule that works for my homeschool and business.

Whether you’re a detailed planner or someone who avoids planning altogether, this system will help you move the needle forward in your life and business—without the overwhelm.

Time management for homeschool moms, simplify planning, ChatGPT for moms, time-saving tips for moms in business, productivity hacks for homeschool moms, flexible schedule for working moms, homeschool business planning, managing business and homeschool life.

    1. ChatGPT Prompt for Weekly Scheduling
Use this prompt to create your flexible weekly schedule:

"This is the week of [insert dates]. I’ll be working [insert working hours]. I’ll be homeschooling from [insert homeschooling hours], but I can do tasks like [list tasks you can do while homeschooling]. Here are my appointments and tasks for the week. Write me a realistic schedule I can follow, including my top three goals for each day and a task list for each goal."

    2. How to Create a Free ChatGPT Account
To get started with ChatGPT, visit OpenAI’s website. Sign up for a free account using your email, Google, or Microsoft login. While the free version works great, I recommend upgrading to ChatGPT Plus for $20/month to unlock faster responses and advanced features.

Try my simplified planning method this week, and let me know how it works for you! Message me on Instagram or email me with your experience—or even better, share any improvements you’ve made to the system. I’d love to hear from you!

Authentic photos connect; AI supports the process.
